Mellobi Privacy Policy

This Privacy Policy explains how Mellobi (“we”, “us”, “our”) collects, uses, and protects your information when you use the Mellobi mobile app and related websites.

By using Mellobi, you agree to the collection and use of information in accordance with this Policy.

1. What we collect

We collect the minimum information needed to run the app and provide its features.

1.1 Account information

• Email address

• Display name or nickname

• Password (stored in encrypted form; we never see your plain-text password)

1.2 App content you enter

Depending on how you use Mellobi, you may choose to enter:

• Tasks, to-dos, and notes

• Time estimates and categories for tasks

• Cycle information (period start/end dates, phases)

• Symptoms, mood, and brain-fog logs

• Self-care reflections or journal-style entries

• Body-doubling session names and basic settings (e.g., focus theme, duration)

• This information is stored so the app can show it back to you, build daily plans, and provide AI-based suggestions.

1.3 Calendar data

If you connect a calendar (for example Google Calendar), we may access:

• Event titles and times

• Event duration and basic metadata

• Free/busy blocks to understand when you are already committed

• We use this only to help Mellobi schedule tasks around your existing events. Mellobi does not automatically cancel, reschedule, or modify events in your external calendar.

1.4 Community content (user-generated content)

If you post or comment in Community, we store:

• Posts, comments, and reactions you share

• The topic/category you posted in

• Report and block actions (who reported what, and why)

• Community content is visible to other users according to the community design (public topics). Report and block events are used for moderation and safety.

1.5 Body Doubling sessions

Body-doubling sessions are focus sessions with optional audio/video. Depending on how the underlying service is implemented, we may process:

• Session name and duration

• Participant IDs

• Live audio/video streams (processed to deliver the call, not recorded by default)

• We do not record or store session audio/video unless we clearly say so in the app (for example, if a future feature explicitly offers recording and you opt in).

1.6 Device and usage information

We may collect limited technical information such as:

• Device model and operating system version

• App version and basic usage events (e.g., which screens are visited)

• Crash and performance data

• This helps us fix bugs and improve the app.

2. How we use your information

We use the information we collect to:

• Create and manage your account

• Display your tasks, cycle logs, and other entries back to you

• Generate suggested daily plans, schedules, and self-care ideas

• Sync with your calendar (when you choose to connect it) so Mellobi can avoid your existing events

• Provide community features, including posting, commenting, reporting, and blocking

• Power optional AI features (for example, planning suggestions or gentle tips)

• Maintain app security and prevent abuse

• Comply with legal requirements when necessary

• We do not sell your personal data.

3. AI features

Mellobi may use AI models to:

• Suggest daily schedules and task orders

• Provide supportive planning or self-care suggestions

• Summarize or rephrase your inputs when you ask for help

• Your inputs may be sent securely to AI processing services for this purpose. We only use your data to provide features inside Mellobi, not to create public profiles about you.

• AI suggestions are for wellness and productivity only, and are not medical or mental-health advice.

4. User-generated content, reporting, and blocking

The Community feature allows you to post and interact with others. To keep it safe:

• Users must agree to Community Guidelines before posting.

• We use a basic content filter to reduce obviously inappropriate language.

• You can Report posts that feel unsafe or violate the guidelines.

• You can Block other users; their posts will no longer appear in your feed.

• Reports and blocks are logged so we can review and, where appropriate, remove content or suspend accounts.

• We aim to review and act on reports within 24 hours. However, we cannot guarantee that all harmful content will be removed instantly. Please avoid sharing sensitive or identifying information in public posts.

5. Legal basis & sharing

We process your data based on:

• Your consent, when you choose to enter data, connect a calendar, or use community and AI features.

• Legitimate interests, such as improving the app, preventing abuse, and securing our systems.

  We may share data with:

• Service providers that host our backend, provide analytics, AI services, or calendar integration (for example, Google Calendar). These providers are only allowed to use your data to provide services to Mellobi.

• Authorities, if required by law or in response to valid legal requests.

• We do not share your personal information with advertisers to build targeted advertising profiles.

6. Data retention

We keep your data for as long as your account is active, or as needed to provide the service.

If you delete your account from within the app, we will:

• Remove or anonymize your personal account data from our active systems

• Retain only what is necessary for legitimate reasons (for example, moderation logs or aggregated analytics), where allowed by law

7. Your choices and rights

Inside the app you can:

• View and edit most of your profile and planner data

• Disconnect calendar integration

• Delete specific entries (e.g., tasks, logs, posts you created)

• Delete your account entirely from Settings → Account → Delete Account

• Depending on your location, you may also have rights to:

• Request a copy of your personal data

• Ask us to correct or delete data

• Object to certain types of processing

8. Children’s privacy

Mellobi is designed for adults and older teens and is not intended for children under 13 (or lower minimum age where local law applies). We do not knowingly collect personal information from children under this age. If you believe a child has created an account, please contact us and we will delete it.

9. Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections and restricted access to production data.

No app or website can be 100% secure, but we work to keep your information safe and review our safeguards regularly.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top. In some cases we may also notify you in the app.
