This policy applies to the Meldiq Android app and, where applicable, related websites and services that link to it.
The information we handle depends on the features you and your workspace use.
Account and profile information: Your name or display name, email address, profile image, authentication credentials, and account identifiers.
Workspace information: Organization or workspace names, membership, roles, team and channel membership, settings, and administrative records.
Messages and shared content: Messages, replies, reactions, voice messages, photos, videos, documents, files, polls, and contact or location information you choose to share. Content may also include file names and related metadata.
Calling information: Call participants, call times, connection status, technical diagnostics, and the audio or video streams required to provide live calls.
AI-agent submissions: Prompts, instructions, messages, files, or other context you choose to send to an AI agent, the agent’s response, and associated technical metadata.
Device and service information: IP address, device model, operating system, app version, diagnostic logs, crash reports, security events, and push-notification tokens, where generated or made available to our systems.
Permission-based information: Camera, microphone, photos, videos, files, contacts, or location information when you grant permission and use a feature that needs it.
For example, Meldiq may use your camera or microphone for a call or voice message, or share a location or contact card when you select that action.
We do not intend to collect precise location, address-book contents, camera images, or microphone audio in the background for unrelated purposes.
We use information as necessary to:
Create and authenticate accounts and provide access to workspaces.
Deliver messages, channels, notifications, file sharing, and collaboration features.
Connect users for voice and video calls and maintain call quality.
Provide AI-agent features when you choose to use them.
Maintain, secure, troubleshoot, and improve the service.
Prevent spam, abuse, fraud, and unauthorized access.
Respond to support requests and communicate important service changes.
Meet legal obligations and enforce our terms or protect users and the service.
Content is made available to the recipients, workspace members, channel members, or administrators appropriate to the conversation and the permissions configured for that workspace.
Workspace administrators may control membership, access, and retention settings. Before sending content, check the selected conversation, channel, and workspace.
Other recipients may copy, download, capture, or forward content they can access.
Encryption depends on the feature and its implementation. End-to-end encryption does not apply to every category of data or every feature.
In particular, content submitted to AI agents is not end-to-end encrypted. It is processed by Meldiq’s servers and by the AI service provider used for that feature.
When you use an AI agent, the prompt and any content or context you choose to include may be sent to the AI provider configured for that agent so it can generate a response.
That provider processes submitted information under its own terms and privacy practices, subject to our arrangements with it.
Avoid submitting passwords, payment credentials, highly sensitive personal information, or confidential material unless you are authorized to do so and understand the processing involved.
AI providers used in production: OPENAI, ANTHROPIC.
AI responses may be inaccurate and should be reviewed before you rely on them for important decisions.
We may share information in the following circumstances:
With your workspace and recipients: To deliver messages, calls, files, and other content to the people and organizations you choose.
With service providers: Infrastructure, hosting, object storage, database, notification, calling, diagnostics, customer support, and AI providers that help operate the service.
For security and legal reasons: When reasonably necessary to comply with law, respond to lawful requests, protect rights or safety, investigate abuse, or enforce our terms.
Business changes: In connection with a merger, financing, acquisition, or transfer of service assets, subject to appropriate protections and notices where required.
Production service providers: Hostinger, AWS, Google Cloud.
We do not sell personal information for money. We do not use private message or file content to serve third-party advertising.
We use technical and organizational measures intended to protect information against unauthorized access, loss, misuse, or alteration.
No system or transmission method is completely secure. Access controls, encryption, and other safeguards may vary by feature and service provider.
End-to-end encryption applies only where the product explicitly implements it. It does not cover AI-agent submissions described in this policy.
We retain information for as long as reasonably necessary to provide the service, maintain workspace history and security, meet legal obligations, resolve disputes, and enforce agreements.
Retention of workspace messages and files may also depend on workspace settings and administrator choices.
When personal information is no longer needed, we will delete it or de-identify it, subject to applicable law, legitimate security needs, active disputes, and technical backup cycles.
Some content already received, copied, downloaded, or exported by other users may remain with them. If a workspace organization controls content or has its own legal retention obligations, deletion of a personal account may not automatically erase every copy held by that organization.
Target period for account-deletion requests: Instant from in app or web-app.
Backup retention period: 7 days.
To request deletion, use the in-app option at You>Settings>Privacy & Security>Recovery key & Safety numbers>Delete Account.
You may also submit a request through https://web.meldiq.app/settings/account or email contact@meldiq.app.
We may ask for reasonable information to verify that you control the account before completing the request.
After verifying a request, we will delete the account and associated personal data we are required to delete, and request deletion of data processed on our behalf by relevant service providers, subject to legal retention requirements and the exceptions described above.
We will explain any material limitations that apply to a request.
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of your personal information. You may also have rights to object to or restrict certain processing, or withdraw consent where processing is based on consent.
To exercise a right, use the contact details in Section 1. We may need to verify your identity and may be unable to fulfil a request where an exception applies.
You can also manage device permissions through your operating system settings.
Meldiq and its service providers may process information in countries other than the country where you live. Those countries may have different data-protection laws.
Where required, we will use appropriate safeguards for international transfers and handle requests according to applicable law.
Meldiq is intended for business and team collaboration and is not directed to children below the minimum age required to use the service in their location.
We do not knowingly collect personal information from children where such collection is prohibited. If you believe a child has provided us personal information inappropriately, contact us so we can review the request.
Meldiq may connect with third-party services or include links to external websites. Their own terms and privacy policies apply to their services.
We encourage you to review those policies before providing information directly to those providers.
We may update this policy as Meldiq’s features, providers, or legal obligations change.
We will update the date at the top and, where required, provide additional notice or request consent.
