MeetiX – Privacy Policy
This Privacy Policy explains how ROOSTERX GLOBAL COMPANY LIMITED ("RoosterX", "we", "us") collects, uses and shares information when you use the MeetiX – AI Meeting Notes mobile application (the "App").
By using the App you agree to this Privacy Policy. If you do not agree, please do not use the App.
1. Information we collect
Information you provide:
• Account information: email address, name and profile photo when you sign up or sign in with email, Google or Apple.
• Your content: audio and video recordings you make or upload, documents and images you attach, text you paste, note titles, folders, comments and action items.
• Generated content: transcripts, summaries, translations and AI chat answers created from your content.
• Calendar data (optional): if you connect Google Calendar or Microsoft Outlook, we read your upcoming events (title, time, meeting link) to show your schedule and, if you turn it on, to send a meeting bot to record the meeting.
Information collected automatically:
• Device and usage data: device model, OS version, app version, language, and how you interact with app features.
• Crash and diagnostic data: crash logs and performance data to fix bugs.
• Advertising identifiers: Apple's IDFA (only if you allow tracking via the App Tracking Transparency prompt) and Google's Advertising ID on Android, used to serve and measure ads.
• Push notification token: to send you reminders and status updates.
Purchase information: subscription status from the App Store or Google Play. We never receive your payment card details.
2. How we use information
• Provide the core features: recording, transcription, summaries, translation, AI chat, folders and sharing.
• Create and manage your account and sync your notes across devices.
• Unlock Pro features and manage subscriptions.
• Send notifications you have enabled.
• Show ads to free users and measure ad and marketing performance.
• Keep the App secure, diagnose problems and improve the App.
• Comply with legal obligations.
We do not sell your personal data, and we do not use your recordings, transcripts or notes for advertising.
3. AI processing by third-party providers
To generate transcripts, summaries, translations and chat answers, your content is sent to the third-party AI providers below. We only send your content after you give consent inside the App.
• AssemblyAI — receives audio / video recordings — for speech-to-text transcription.
• OpenRouter — receives transcripts, attached documents and images, pasted text and chat messages — routes your text to the AI model that generates summaries, translations and chat answers.
• Recall.ai — receives audio / video of meetings you ask the bot to join — meeting bot that joins and records the call.
• Vexa — receives audio / video of meetings you ask the bot to join — meeting bot that joins and records the call.
OpenRouter forwards your content to the model provider for each feature. At the time of this update:
• Summaries of recordings, and of documents larger than 20 MB — MiniMax
• Summaries of documents up to 20 MB — OpenAI
• AI chat and summary translation — Alibaba Cloud (Qwen)
These providers are contractually required to protect your data at a level equal to or greater than this Policy and may not use your content to train their models. Your content is sent only to produce results for you.
Your choice: if you decline consent, no content is sent and no note is created. You can withdraw consent at any time in Settings → AI processing. Notes already created are not deleted.
4. Other third-party services
• Firebase (Google): Authentication, Cloud Messaging, Crashlytics, Analytics, Remote Config — sign-in, push notifications, crash reporting, usage analytics, app configuration.
• Google Sign-In, Sign in with Apple — account sign-in.
• Google Calendar, Microsoft Outlook — calendar connection (only if you connect it).
• Google AdMob and its mediation partners: AppLovin, Digital Turbine (DT Exchange), InMobi, Liftoff Monetize, Meta Audience Network, Mintegral, Moloco, Pangle — showing ads to free users.
• Adjust, Meta (Facebook) SDK — install attribution and marketing measurement.
• Apple App Store, Google Play — subscription purchases.
• Cloud hosting providers — storing your files, transcripts and notes.
Each service processes data under its own privacy policy.
5. Advertising and tracking
Free users may see ads. On iOS, we ask for permission through Apple's App Tracking Transparency prompt before accessing the IDFA. If you decline, ads are still shown but are not personalized using the IDFA. Users in the EEA, UK and Switzerland are asked for consent through Google's consent form, and can change their choice at any time in the App settings. Pro subscribers do not see ads.
6. Sharing your notes
If you create a share link for a note, anyone with the link can view that note. You can revoke the link at any time.
7. Data retention and deletion
We keep your content until you delete it or delete your account. You can delete your account in Settings → Delete Account; this permanently removes your account and content from our systems, except where we must retain data by law. Some notes over the free plan's limit expire and are deleted automatically, as shown in the App.
8. Security
Data is encrypted in transit (HTTPS/TLS) and at rest. Access to user data is limited to what is strictly necessary. No method of transmission or storage is 100% secure, but we work to protect your information.
9. Your rights
Depending on where you live (for example under GDPR or CCPA), you may have the right to access, correct, delete or export your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at the email below.
10. International transfers
Our service providers may process data in countries other than your own, including the United States, Singapore and China. We rely on appropriate safeguards for these transfers where required by law.
11. Changes to this Policy
We may update this Policy from time to time. We will update the "Last updated" date above and, for material changes, notify you in the App.
