Load Ledger — Privacy Policy

Load Ledger ("we," "us," "the App") is a financial tracking tool for truck drivers and owner-operators. This Privacy Policy explains what information we collect, how we use it, and your rights. By using the App you agree to this policy.
1. Information We Collect
We collect the following information when you use Load Ledger:
Account Information: Your name, email address, and password when you create an account.
Load and Expense Data: The load details, expense records, financial figures, and other data you enter into the App.
Receipt Images: Photos of receipts you upload to the App.
Profile Information: Your truck type, pay structure, and cost preferences that you provide during setup.
Location Information: With your permission, the App uses your device's location to detect when you arrive at a load's pickup or delivery — a feature called geofencing. Your live location is processed on your device to send you a notification asking whether to update that load's status; you always confirm, and a status never changes on its own. We request background ("always") access so this still works when the App is closed. Your live location is not uploaded to our servers, shared with anyone, or used for advertising. The only coordinates we store come from the pickup/delivery addresses you enter (used to set up the geofence), not from tracking your movements. You can grant or revoke this permission at any time in your device settings — the rest of the App works without it.
Usage Data: Basic analytics about how you interact with the App, such as which features you use, to help us improve the experience.
2. How We Use Your Information
We use your information to:
Provide and maintain the App's functionality.
Detect when you arrive at a load's pickup or delivery (geofencing) so we can notify you and offer to update that load's status — which you confirm.
Calculate financial summaries, reports, and metrics based on the data you enter.
Process subscription payments through the Apple App Store or Google Play, depending on your device.
Improve the App and develop new features.
Respond to your support requests.
3. Data Storage
Your data is stored securely on Supabase, a cloud-hosted database platform with industry-standard encryption. Receipt images are stored in secure cloud storage. All data transmission between the App and our servers is encrypted using HTTPS.
4. Third-Party Services
Load Ledger uses the following third-party services:
Apple App Store / Google Play Billing: To process subscription purchases. Apple or Google handles all payment information directly and we never see or store your payment details.
Supabase: To securely store your account data, load records, expense records, and receipt images.
PostHog: We use PostHog for anonymized product analytics — which features are used, how often, and where errors happen — so we can improve the App. PostHog receives an anonymous user identifier, your subscription tier, and basic interaction events (like "load_created"). It does NOT receive your name, email, load details, expense amounts, or any financial data.
On-device text recognition: When you use the Pro photo-scan feature on Take This Run?, image text recognition runs entirely on-device (Apple Vision on iOS, Google ML Kit on Android). Your photo is not sent to Apple, Google, or our servers — it never leaves your phone.
Address autocomplete: When you type a pickup or delivery address, the App asks your device's built-in mapping/geocoding service (Apple Maps on iOS, or your device's location service on Android) to return matching address suggestions; the text you type in that field is sent to that service for that purpose. This is governed by that service's own privacy policy.
These services have their own privacy policies that govern their handling of your information.
5. Data Sharing
We do not sell, trade, or rent your personal information to third parties. We do not share your load data, expense records, or financial information with anyone. We may disclose information only if required by law or to protect our legal rights.
6. Your Rights
You have the right to:
Access all data stored in your account through the App.
Export your data using the App's export features.
Correct or update your personal information at any time.
Delete your account and all associated data directly in the App under Profile → Delete Account (or Profile → Danger Zone → Delete Account). Deletion is immediate and permanent. You can also email us at developer.jerrymac@gmail.com if you need help.
Upon account deletion, all your data is permanently and immediately removed from our servers.
7. Data Retention
We retain your data for as long as your account is active. When you delete your account, we permanently and immediately remove your personal data, load records, expense records, and receipt images from our servers. We may retain anonymized, aggregated data that cannot be used to identify you.
8. Children's Privacy
Load Ledger is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will delete that information promptly.
9. Security
We implement reasonable security measures to protect your data, including encrypted data transmission, secure cloud storage, and access controls. However, no system is completely secure, and we cannot guarantee the absolute security of your information.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the App. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.
