This Privacy Policy explains how K.A.L.E. (“K.A.L.E.”, “we”, “us”, “our”) collects, uses, and shares information when you use the K.A.L.E. Android app (the “App”).

1) Summary (What this app does)
K.A.L.E. connects to your Google account to help you manage and automate email workflows. Depending on the features you enable, the App may:
- Sync email metadata and content from Gmail.
- Draft, send, label, move, trash, or delete emails based on rules you configure.
- Extract calendar events from emails and create/update/delete events in Google Calendar.
- Provide AI-assisted summaries, categorization, or drafting via a Google Cloud backend.
- Send you notifications and perform background processing so automations run reliably.
2) Definitions
- “Google User Data”: data obtained from Google APIs (e.g., Gmail/Calendar data) and/or your Google account.
- “Content”: the body of an email, attachments, and message parts.
- “Metadata”: headers and non-body information (e.g., From/To/Cc/Bcc, subject, timestamps, labels, message IDs).
- “Local storage”: data stored on your device (e.g., app database, cache, downloaded attachments).
3) Information we collect
We collect information in the following categories. Some data is required to provide core functionality; other data is optional and depends on the features you enable.
3.1 Account and authentication information
- Google account email address and basic profile info (as provided by Google Sign-In).
- Firebase Authentication identifiers and tokens (e.g., Firebase UID, auth tokens) used to authenticate requests to our backend services.
3.2 Gmail data (Google Gmail API)
If you connect Gmail, the App may access and process:
- Email metadata: sender/recipient fields, subject lines, timestamps, labels, thread IDs, message IDs.
- Email content: email body and message parts needed to display messages, generate summaries, perform search, apply rules, and draft replies.
- Attachments: when you choose to download attachments, the App retrieves attachment data from Gmail and stores it on your device.
Important: K.A.L.E. accesses Gmail only to provide the features you enable (sync, display, search, automation rules to include sending, and optional AI features). We do not sell Gmail data and we do not use it for advertising and most importantly - we cannot view it nor do we store it on our servers.
3.3 Calendar data (Google Calendar API)
If you enable calendar features, the App may access and process:
- Calendar list information (e.g., calendar name/ID and whether it is primary).
- Calendar events created or modified by your configured automations (e.g., event titles, times, attendees if you include them, and related event metadata).
3.4 Contacts derived from email (in-app contacts list)
K.A.L.E. may derive and store a contacts list from email headers (e.g., frequent senders/recipients) to support automation and UI features. This is based on your Gmail data (not your device address book), unless explicitly stated in the App.
3.5 App settings and user-provided content
We collect and store:
- App preferences and automation settings.
- Custom prompts/instructions you configure for AI features.
- Rules, filters, signatures, and similar settings you create within the App.
3.6 Device, diagnostics, and usage data (Firebase services)
We use Google Firebase services such as Firebase Analytics, Firebase Cloud Messaging (FCM), Firebase Authentication, and Firebase Firestore.
These services may collect:
- Device information (model, OS version, language, region).
- App usage information (e.g., basic analytics and engagement signals).
- FCM token and notification delivery metadata to deliver notifications.
- Diagnostic information necessary to operate and secure the App.
Note: We do not use advertising identifiers for behavioral advertising in the App.
3.7 Subscription and billing information (Google Play Billing)
If you purchase a subscription:
- Google Play processes your payment information. We do not receive your full payment card details.
- The App and our backend may process purchase-related data needed to validate entitlement (e.g., product ID, purchase token, package name, and subscription status).
- We may store your subscription plan status (e.g., “premium”) associated with your Firebase UID to enable premium features.
4) Permissions and access (Android)
Depending on your device and features you use, the App may request or use:
- Internet/network access: to connect to Google services and our backend.
- Notifications: to show email/automation alerts.
- Background/foreground processing: to run automation tasks reliably.
- Storage/media access: to save downloaded attachments to your device (e.g., Downloads/Documents/Pictures) using Android storage frameworks.
You can change some permissions in Android system settings. Some features may not work without certain permissions.
5) How we use your information
We use collected information to:
- Provide core email and automation functionality (sync, display, search, rules, sending).
- Provide calendar features you enable (creating/updating events).
- Provide AI-assisted features you enable (summaries, drafting, extraction, categorization).
- Deliver notifications and background processing.
- Maintain app security and prevent abuse.
- Provide customer support (when you contact us).
- Verify subscriptions and enforce premium entitlements.
6) AI processing and automated decision-making
6.1 AI processing (required as a core feature of this app)
By subscribing and installing this app you enable AI features. The App may send selected email content/metadata and your configured prompts/instructions to our backend in order to generate AI outputs (e.g., summaries, suggested replies, extracted tasks/events, tags, or routing decisions). Our backend server serves only to send this data to Gmail and Gemini servers and will not store the information on our servers.
6.2 Where AI processing happens
AI requests are sent over encrypted connections (TLS/HTTPS) to our Google Cloud backend services:
- Cloud Run service in the United States (region: us-central1)
- Cloud Functions in the United States (region: us-central1)
6.3 Your controls
You control what automations run and can change, pause, or disable rules and AI features in the App at any time.
6.4 No human review by default
We do not have humans read your Gmail content as part of providing AI features. We cannot access you Gmail content. It is sent via end-to-end encryption. If you contact support, you should avoid sending sensitive content; if you choose to share content for troubleshooting, it will be used only to address your support request.
7) How and when we share information
We do not sell your personal information.
We may share information in the following circumstances:
7.1 Google and Firebase services (processors/service providers)
We use Google services to provide the App:
- Google Gmail API and Google Calendar API (to access your Gmail/Calendar data as authorized)
- Firebase Authentication (account sign-in)
- Firebase Cloud Messaging (push notifications)
- Firebase Analytics (app analytics)
- Firebase Firestore (e.g., subscription plan status associated with your Firebase UID)
- Google Cloud Run / Cloud Functions (backend services for AI features, embeddings, subscription verification, and device notification registration)
7.2 Google Play Billing
Subscription purchases are handled by Google Play. We and our backend may receive limited purchase-related data necessary to validate your subscription (e.g., purchase token, product ID).
7.3 Legal requirements
We may disclose information if required by law, legal process, or to protect rights, safety, and security.
8) Google API Services User Data Policy (Limited Use)
K.A.L.E.’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
In particular:
- We use Google User Data only to provide user-facing features in the App (email/calandar functionality and features you enable).
- We do not sell Google User Data.
- We do not use Google User Data for advertising, including personalized advertising.
- We do not allow third parties to use Google User Data for their own purposes.
9) Data storage and retention
9.1 On-device storage
K.A.L.E. stores certain data locally on your device to operate efficiently, including:
- Synced email metadata and (in some cases) email content used for display, search, and automation.
- AI-generated fields (e.g., summaries, tags, scores) associated with emails.
- Downloaded attachments and file paths for attachments you choose to download.
- App settings, rules, prompts, and preferences.
You can remove on-device data using in-app options such as:
- “Clear all email data” (deletes cached emails and attachments from the local database)
- “Sign Out & Delete All Email Data”
9.2 Backend storage and retention
We minimize backend storage of Gmail content. Depending on features you use, our backend may temporarily process:
- AI prompts/requests (which may include snippets of email content/metadata you submit for processing)
- Subscription verification and entitlement information (purchase tokens are processed to validate subscriptions)
- Device notification registration information (e.g., FCM token and your Firebase UID/email for routing notifications)
We retain backend data only as long as needed to provide the service (typically processed and discarded within minutes for AI requests), maintain security, meet legal obligations, or resolve disputes. Subscription-related records may be retained as required for accounting, compliance, and fraud prevention.
Additionally, FCM Tokens are stored in our backend only to enable push notifications and are deleted when you sign out or revoke access.
10) Security
We use reasonable administrative, technical, and organizational measures to protect information, including encryption in transit (TLS/HTTPS) for communications with Google services and our backend. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
11) Your choices, controls, and rights
11.1 Revoke Google access
You can revoke the App’s access to your Google account at any time via your Google account security settings and by signing out in the App.
11.2 Notifications
You can control notifications through Android system settings and any in-app notification preferences.
11.3 Access, correction, and deletion
Depending on your location, you may have legal rights to request access, deletion, or correction of certain personal information. To request help, contact kale.ai.email@gmail.com.
12) Account deletion (in-app) and data deletion
12.1 Delete your account in the App
If you created/used an account in K.A.L.E., you can delete your account from within the App:
- Open K.A.L.E. → Settings → Maintenance → Delete Account
Deleting your account will:
- Delete your Firebase Authentication account (so you can no longer sign in to K.A.L.E. with that account)
- Delete your subscription plan record associated with your Firebase UID (when possible)
- Sign you out and remove locally stored email data (when you choose “Delete Account”, the App also clears local cached emails/attachments)
12.2 Delete local data without deleting your account
If you want to remove cached email data from your device but keep your account, use:
- Settings → Maintenance → Clear all email data
or
- Settings → Maintenance → Sign Out & Delete All Email Data
12.3 If you cannot access the App
If you cannot access the App to delete your account, contact us at kale.ai.email@gmail.com from the email address associated with your account. We may request additional verification to protect your account.
12.4 Subscription Cancellation
To cancel your subscription, go to Google Play Store > Subscriptions > K.A.L.E. > Cancel. After cancellation, premium features will remain active until the end of your billing period.
12.5 Data retained after deletion
We may retain limited data where required by law (e.g., financial/accounting records) or for fraud prevention and security.
13) Children’s privacy
The App is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child provided personal information, contact us and we will take appropriate steps to delete it.
14) International data transfers
Google and our backend providers may process data in the United States and other countries where they operate. When data is transferred internationally, we rely on appropriate safeguards as required by applicable law.
15) Do Not Track signals
There is no uniform industry standard for “Do Not Track” signals. We do not respond to Do Not Track signals at this time.
16) Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The “Last updated” date above will reflect the latest changes. Continued use of the App after changes means you accept the updated policy.
