# JIC HR Privacy Policy

JIC HR ("we", "us", "our") respects your privacy. This Privacy Policy explains

how we collect, use, store, and share information when you use the JIC HR

mobile app, web app, and related HR Assistant services.

## 1. Scope

JIC HR is an employee self-service app for HR tasks such as login, attendance,

leave requests, salary slips, documents, announcements, emergency contacts,

employee lookup, voice assistance, feedback, and notifications.

## 2. Information We Collect

We may collect the following information:

- Account and profile information, such as your name, username, employee ID,

  work email, phone number, job details, address, profile photo, and emergency

  contact information.

- Authentication and session data, such as tokens, session identifiers, login

  state, and demo workspace identifiers.

- HR and workplace data, such as attendance records, check-in and check-out

  data, leave requests, leave balances, approvals, documents, salary slip

  information, announcements, calendar items, and team or department data.

- Location data, when you use attendance features that require it.

- Camera, photo library, and file data, when you upload documents or profile

  images.

- Audio and voice data, when you use the HR Assistant voice feature.

- Device and app data, such as device type, operating system, app version,

  language, theme, biometric setting, and push notification token.

- Demo workspace data, if you create a free trial account. This includes the

  name, email, password, and workspace information needed to create and manage

  the demo workspace.

- Feedback and support data, such as your subject, message, feedback type, and

  locale.

## 3. How We Use Information

We use the information we collect to:

- authenticate users and maintain sessions;

- provide HR services and workflow features;

- process attendance, leave, requests, documents, and salary-related tasks;

- deliver announcements and push notifications;

- support the demo workspace;

- transcribe and process voice requests;

- respond to feedback, complaints, and support requests;

- protect the app from abuse and unauthorized access; and

- comply with legal, contractual, and HR-related obligations.

## 4. How We Share Information

We do not sell your personal information.

We may share information with:

- authorized HR, management, and support personnel within your organization;

- service providers that operate our systems, including the JIC HR backend,

  Firebase services, email or SMTP providers, and speech-to-text providers used

  by the backend;

- legal, regulatory, or government authorities when required by law or when

  necessary to protect our rights, users, or systems.

## 5. Local Storage and Security

- Some session data, preferences, demo settings, and related app state may be

  stored locally on your device.

- If you enable biometrics, your biometric information stays on your device and

  is handled by the operating system. We do not receive your biometric template.

- If you use biometric login, the app may keep your login username and password

  in secure local storage so the device can unlock the app later.

- We use reasonable technical and organizational safeguards, including HTTPS

  and access controls. However, no method of transmission or storage is fully

  secure.

## 6. Retention

We keep personal information only as long as needed to provide the app, support

HR operations, meet legal requirements, resolve disputes, and enforce

agreements.

- Demo workspaces are designed to expire after 14 days unless removed sooner.

- Local session data can be removed by logging out, deleting the account, or

  clearing app data.

- If you request deletion, we will remove or anonymize data where required and

  feasible, subject to legal retention obligations and your employer's HR

  policies.

## 7. Your Choices and Rights

Depending on your location and your employer's policies, you may have rights to

access, correct, delete, or restrict your personal data, and to withdraw

consent where processing is based on consent.

You can also manage:

- location permission;

- camera and photo permissions;

- microphone permission;

- notification permissions;

- biometric login; and

- language and theme preferences.

## 8. Children's Privacy

JIC HR is intended for employees and authorized users and is not directed to

children under 13. We do not knowingly collect personal information from

children under 13.

## 9. International Transfers

Your information may be processed in countries other than where you live,

including by cloud and messaging providers. We take steps intended to protect

that data.

## 10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated

version with a new effective date.
