The Vice President/President Elect supports the President and Board while learning and preparing to assume the role of President in the following term. This position provides leadership across PTO activities and helps ensure continuity from one Board year to the next.
Responsibilities may include:
Support the President in leading the PTO and carrying out Board priorities.
Preside over meetings or perform the duties of the President when the President is unavailable.
Assist with coordinating Board members, committees, volunteers, and PTO activities.
Take an active leadership role in PTO events, programs, fundraising, and family engagement initiatives.
Work with the President to develop and implement goals and plans for the organization.
Build relationships with school staff, families, volunteers, sponsors, and community partners.
Assist with identifying opportunities to improve PTO programs and increase family involvement.
Help recruit, train, and encourage volunteers and future PTO leaders.
Become familiar with PTO bylaws, financial procedures, operations, programs, and ongoing projects.
Participate in Board decision-making and strategic planning.
Work alongside the President throughout the year to ensure a smooth leadership transition.
Prepare to assume the responsibilities of President at the beginning of the next term, subject to the PTO's bylaws and election procedures.

The Secretary helps keep the PTO organized, informed, and connected. This position is responsible for accurately documenting PTO meetings, maintaining important organizational records, and helping share PTO news and information with the school community.
Responsibilities may include:
Take and prepare minutes for PTO Board and General Body meetings.
Maintain meeting agendas, minutes, and important PTO records.
Keep track of official correspondence and organizational documents.
Assist with communicating meeting information and important updates to PTO members.
Manage and maintain the PTO's social media presence.
Create, schedule, or share social media posts that promote PTO events, programs, volunteer opportunities, fundraising, and important announcements.
Help ensure PTO communications and social media information are accurate, timely, and consistent.
Maintain accurate records of Board decisions and votes.
Support the Board with organization, planning, and follow-up on action items.
Help ensure members and families have access to important PTO information.

The Treasurer helps ensure the PTO's finances are handled responsibly, accurately, and transparently. This position works closely with the Board to manage funds that support students, teachers, and school programs.
Responsibilities may include:
Maintain accurate financial records for the PTO.
Track income, expenses, donations, and fundraising proceeds.
Prepare regular financial reports for the Board and PTO membership.
Help develop and monitor the PTO budget.
Manage deposits, payments, reimbursements, and financial documentation.
Ensure financial procedures and records follow PTO policies and applicable requirements.
Coordinate with a qualified accountant, tax professional, or other outside professional when needed to complete required filings and financial reporting.
Maintain records and documentation needed for tax, regulatory, and financial compliance.
Work with the Board to ensure funds are used responsibly to support the PTO's mission.
Assist with financial planning for events, programs, and fundraising activities.
Ideal for someone who: Is trustworthy, organized, detail-oriented, comfortable working with numbers and financial records, and committed to responsible financial stewardship. An accounting background is helpful but not required; professional assistance may be used for tax filings and specialized financial requirements.
A Member at Large is a flexible and valuable member of the PTO Board who helps wherever support is needed most. This position brings ideas, perspective, and additional leadership to help the PTO successfully serve the school community.
Responsibilities may include:
Attend PTO Board and General Body meetings.
Participate in Board discussions, planning, and decision-making.
Vote on matters presented to the PTO Board, as permitted by the PTO's governing documents.
Assist with PTO events, programs, committees, and special projects.
Serve as a liaison between PTO members, families, volunteers, and the Board.
Help identify needs and opportunities within the school community.
Take on special assignments or projects as needed.
Support the overall mission and goals of the PTO.
Ideal for someone who: Wants to make a difference, share ideas, get involved, and help the PTO—but may not want the specific responsibilities of a traditional officer position!

As a separate business entity, IVES PTO is honored to be recognized and welcomed by the administrators of IVES, as well as teachers faculty, and staff. The PTO serves to strengthen family-school relationships in hopes of providing our IVES students the best experience possible, and this is made possible thanks to our IVES admin team.
With extensive esperience serving on several PTO/PTA/PTSA/PTSO Committees and boards for more than ten years, past presidents graciously serve as council to current board members to keep decisions in line with the mission of our PTO.
The Teacher Appreciation Chair leads efforts to recognize, celebrate, and support the teachers and staff of Island Village Elementary throughout the school year.
Responsibilities may include:
Plan and coordinate Teacher Appreciation Week and other staff appreciation activities.
Work with teachers and staff to identify meaningful ways the PTO can show appreciation.
Organize donations, treats, meals, gifts, and other appreciation efforts.
Recruit and coordinate volunteers to assist with appreciation activities.
Communicate appreciation opportunities and needs to PTO families and community partners.
Work with the Board to establish budgets and obtain approval for expenses.
Coordinate with school administration to ensure activities are appropriate and follow school guidelines.
Look for creative, affordable ways to recognize teachers and staff throughout the year.
The Fall Festival ft. Trunk or Treat Chair leads the planning and coordination of one of the PTO's largest family events, creating a fun, welcoming fall celebration for the entire school community.
Responsibilities may include:
Lead planning and coordination of the Fall Festival ft. Trunk or Treat.
Develop activities, games, entertainment, food, and family experiences in coordination with the Board.
Coordinate Trunk or Treat participants, including recruiting and communicating with decorated vehicle participants.
Recruit and coordinate event volunteers.
Work with the Board to establish a budget and identify fundraising or sponsorship opportunities.
Coordinate with vendors, community partners, sponsors, and school staff as needed.
Help develop event schedules, layouts, supply lists, and volunteer assignments.
Promote the event and provide information needed for PTO communications and social media.
Coordinate event setup, activities, and cleanup.
Help ensure the event is welcoming, safe, organized, and appropriate for students and families.

The Wonderland Chair leads the planning and coordination of the PTO's holiday shopping experience, helping students experience the joy of choosing special gifts for the important people in their lives.
Responsibilities may include:
Plan and coordinate the Wonderland Shoppe with the PTO Board and school staff.
Coordinate the selection, ordering, receiving, organization, and presentation of merchandise.
Develop a system that allows students to shop comfortably and successfully.
Recruit and coordinate volunteers for setup, shopping days, restocking, checkout, and cleanup.
Help establish pricing, inventory, and purchasing plans within the approved budget.
Coordinate with vendors and community partners as needed.
Communicate important information and volunteer needs to PTO families.
Promote the event through PTO communication channels.
Maintain organized inventory and financial records in coordination with the Treasurer.
Help create a festive, welcoming experience for students and families.
The PBIS Chair works with school staff and the PTO Board to support positive behavior initiatives and help create meaningful rewards and celebrations for students.
Responsibilities may include:
Serve as the PTO's primary point of contact for PBIS-related support.
Work with the school PBIS team to understand upcoming themes, celebrations, and student needs.
Coordinate PTO donations and volunteer support for PBIS incentives and celebrations.
Help source and organize appropriate reward items for the Osprey Store and other PBIS activities.
Assist with planning monthly PBIS celebrations and special student recognition activities.
Help organize and maintain donated PBIS supplies and incentives.
Communicate volunteer and donation needs to PTO families and community partners.
Help identify creative, affordable, and equitable incentives that encourage positive student behavior.
Work with school staff to ensure PTO-supported PBIS activities align with the school's existing program and expectations.

The Grant Writing Chair helps the PTO identify and pursue grant opportunities that can provide additional resources for students, teachers, programs, and the school community.
Responsibilities may include:
Research grants and funding opportunities that align with the PTO's mission and school needs.
Maintain a calendar of grant opportunities, deadlines, and application requirements.
Work with school staff and the PTO Board to identify projects and needs that may be eligible for funding.
Prepare and submit grant applications in coordination with the Board and appropriate school personnel.
Gather information, quotes, budgets, supporting documents, and other materials needed for applications.
Maintain records of submitted applications, awards, deadlines, and reporting requirements.
Coordinate with the Treasurer and Board regarding grant funds, restrictions, and required documentation.
Monitor grant reporting and follow-up requirements.
Build relationships with foundations, corporations, and community organizations when appropriate.

The Osprey Night Out Chair coordinates PTO-sponsored community nights at local businesses and entertainment venues, creating fun opportunities for families to connect while raising money for the school.
Responsibilities may include:
Identify and coordinate potential Osprey Night Out locations and partners.
Communicate with businesses regarding dates, fundraising percentages, promotional opportunities, and event requirements.
Coordinate event details with the PTO Board and participating businesses.
Help ensure agreements and fundraising arrangements are clearly documented.
Promote Osprey Night Out events through PTO communication channels and social media.
Recruit volunteers when needed for events.
Provide the Board with event details, participation information, and fundraising results.
Build positive relationships with local businesses and community partners.
Look for new and creative opportunities to bring Osprey families together.
Help ensure each event is welcoming, family-friendly, and aligned with the PTO's mission.
Ideal for someone who: Is outgoing, enjoys connecting with local businesses, and loves creating fun opportunities for Osprey families to spend time together while supporting the school.
