When you share items with others in OneDrive or SharePoint, you can give them access to view, but not download. Block download is available for view-only sharing links to Office documents and other file types, such as PDFs, images, audio, and other non-text and non-video file formats.

When you select Block download, people who access the file you shared won't see options to download, print, or copy the file. They can only view the files on the web, and won't be able to open them in desktop or mobile apps.

If you're the Microsoft 365 admin in your organization, you can control whether Block download appears only for Office files or other supported files by changing the BlockDownloadLinksFileType setting in the Set-SPOTenant or Set-SPOSite PowerShell cmdlets (ServerRendered (Office Only) and WebPreviewable (All supported files).

You may find that when you are opening files, they open as read-only. Read-only means you can only view or print. In some cases, this is for added security, such as when you are opening files from the internet, and other times, it can be due to a setting that can be changed. Here are some scenarios where a file opens read-only and some steps you can take to change that.

Some antivirus programs may protect you from potentially unsafe files by opening them read-only. You may need to check with your antivirus provider to learn how to adjust these settings. BitDefender, for example, has content on adding application exclusions here: How to add application or process exclusions in Bitdefender Control Center.

Files from the Internet and from other potentially unsafe locations can contain viruses, worms, or other kinds of malware that can harm your computer. This is also commonly the case with email attachments or files you've downloaded. To help protect your computer, files from these potentially unsafe locations are opened in Protected View. By using Protected View, you can read a file and see its contents while reducing the risks. For more information on Protected View and how to change settings, see this article: What is Protected View?

OneDrive for work or school users have the option to restrict the level of access. The default share options are "view only" to people in our organization. If you opt to disable editing, you can also opt to prevent viewers from downloading the file.

Limit Sharing - If you are sharing sensitive or confidential information, it's a best security practice to limit sharing by only providing temporary access to files. After you have confirmed that the recipient you've shared an item with has accessed the file for their use (i.e., has already downloaded and saved it to their own personal files), you can remove their access.

is it possible to open *pbix files in read only mode, so that the viewer isn't able to manipulate the report? Or is uploading the file to the Power BI service the only way to make reports available as "read only"?

You can create a link to a file or folder in your Dropbox account to share it with others. When you share a file or folder via link, you can choose to give people with that link edit or view-only access.

Hi all - just a thought, maybe train your staff to always click on the ... (elipse) and select Preview from the menu bar. This means it simply a view of the doc, and then at the top left you can choose to open in Word Online or the Word App. The X at the top right closes the doc. After playing around with Preview a bit, this seems fine. I still agree that this change isn't ideal, and preferred the old way.. but play around with preview, it may help many of you with this issue.

I had the same issue with PowerPoint decks always opening in 'Editing' mode. The only workaround I found that successfully solved this problem for me (in Office365) is by opening the slide deck in Desktop app, going to Review -> Always Open as Read-Only, then saving it. This results in the deck always opening in 'View' mode in SharePoint afterwards.

Hey, Scripting Guy! We have a number of files that we need to access at work from time to time. To protect these files, we make them read-only. This works great from a file protection standpoint, but it is really annoying when I need to make updates to the file because about half the time I will open a file, make the edits, and forget to clear the read-only attribute. When I go to save my changes, that is when I am reminded that the file is read-only and it forces me to save the changes to a new file. Then I have to go back to the folder, rename the original file, and then rename the modified file to the original file name. All this ends up costing me an extra five minutes of frustration and annoyance. I wish I had a script I could use that would clear the read-only attribute from all files in a folder. I could use that script before I start to work. Then if I had another script that would set the read-only attribute back to the files it would be great. What do you think? Could you hook me up with a couple of scripts or what?

Yes! We can download a file which does not allow us to make changes as the download option will be available for such type of file.ConclusionWe hope that the above discussed method will be helpful for you and you will be able to download view only OneDrive file whether it is PDF, Audio or Video.

Saving files in Google Drive is among the best ways to store important data. While it is easy to share your entire Google Drive with others, there can be instances where someone has shared a view-only file and you need to download it. Thankfully, there are workarounds you can try to download view-only files in Google Drive. Follow this guide to learn about them.

Many of my new Word documents are opening as read-only whenever I try and edit them on my iPad or iPhone. This is not happening to all of my recent files. It's not even happening to all the files in that particular folder. I can open some older files in the same folders and they are editable, but some files show up as read-only. I can save a copy of the file in the mobile apps and name it the same as the original and then edit that file, but that's a long workaround. Thanks for the help. [FWIW: I recently (last 4 months) got a new laptop, iPhone, and iPad.]

Documents (Word/Excel/PowerPoint files/PDF file types) linked in SharePoint Online pages, navigation menu, lists, etc., open in the browser (or in client application!) directly either in Read-only mode or in Edit mode, based on user permissions. What if you want to force download a file instead of opening it in the browser with Microsoft Office Online applications? Here are some workarounds to generate a link that downloads the document directly (or a force download link).

External sharing allows you to share documents, files, folders, lists, libraries, and complete sites in your SharePoint Online. You can also externally share photos, Microsoft Office documents, files, and entire folders from your OneDrive.

Working from mobile devices is an essential part of the modern workplace. The OneDrive app is quite excellent and offers many advantages for your employees, allowing them to access their work, personal and SharePoint files on the go.

Ensure that you have updated your OneDrive App to its latest version. The App has recently been updated to address a known issue with file corruption - which Microsoft initially mitigated by making files read-only.

When sharing a folder as read-only, there is even an option to turn off the download of files. OneDrive gives you a lot of flexibility for sharing files and folders. I'm using OneDrive for Work in this video. There is also OneDrive personal. OneDrive for Work or School for formerly called OneDrive for Business.

You can share OneDrive files from either the OneDrive folder on your computer (the "client interface"), or the Office 365 web interface, or the OneDrive mobile app. Which method is best depends on your situation and preference, but Microsoft is pushing its cloud offerings strongly, and that prioritization shows in the OneDrive interface. Not to be too blunt about it, but the Office 365 web interface and OneDrive app are much prettier and more refined than the client interface. The client interface also has at least seven different ways of sharing, some of which are hangovers from ways of sharing things in older versions of Windows. For those reasons, we'll concentrate here on sharing through the OneDrive app and OneDrive web interface.

This opens the sharing options. By default, OneDrive allows the people you share a file with to edit that file. You can change that to view-only by tapping the arrow next to "Can edit" and changing it to "Can view" instead. You also can "Set Expiry Date," which means that the file will only be shared for a specific period.

To change the permissions, such as making an editable file view-only or adding password protection, click the arrow underneath the link. To stop sharing the file, click the "x" next to the link. A warning message will pop up.

When Protected View is enabled, only basic navigation is allowed. For example, you can open PDFs, scroll through pages, and click links. You can enable Protected View in a PDF that you view in either stand-alone Acrobat or in a web browser.

Enables Protected View and displaysthe warning for all files originating from an untrusted location.Files and locations that you add to the Privileged Locations areaof the Enhanced Security panel are exemptfrom Protected View.

On the screen that appears, you get the option to send your file via email or copy the link and share it another way. If emailing, enter the name or email address and use the icon to change from "Can view" to "Can edit" if you want others to be able to edit the file. Type your message and hit send.

OneDrive is a perfect place for sharing your documents and collaborating with your colleagues. After someone has shared something with you, the next question is - where do I find those files? Searching emails for a sharing link is surely not the best way. Luckily, OneDrive displays all the items shared with you and by you in a special view.
