The history of e-invoicing can be traced back to the development of EDI (Electronic Data Interchange). As an enabler of business transactions, EDI is a group of technical standards for e-documents that has been around for decades. A definition formulated by The United States National Institute of Standards and Technology in 1996 can still be considered valid today:

In B2B transactions, business partners that use different formats need to convert these before being able to manage e-documents, such as e-invoices, in their respective processes. These constitute technical and financial barriers still to this day.

An e-invoice can be defined as structured invoice data issued in electronic data interchange (EDI) or XML formats, possibly using Internet-based web forms.[3] These documents can be exchanged in a number of ways, including as EDI, XML, or CSV files.[4] The company may use imaging software to capture data from PDF or paper invoices and input it into their invoicing system. Many companies hire a third-party company to implement and support e-invoicing processes and to archive the data on their own servers.[5]

The Accredited Standards Committee X12, a standards institution under the umbrella of ANSI, moved to standardize EDI processes. The result is known today as the ANSI X12 EDI standard.[6]This remained the main way to exchange transactional data between trading partners until the 1990s, when companies began competing. New web-based applications allow for online submission of individual invoices as well as EDI file uploads, including in CSV, PDF, and XML formats. Suppliers could also see a history of all the invoices they submitted to their customers without having direct access to the customers' systems. This is because all the transactional information is stored in the data centers of the third-party company that provides the invoicing web app.[7]

Most VAT legislation around the globe originally assumed that a valid VAT invoice was a paper document. Over time, this changed from allowing digital options like PDFs and EDI to permitting digital structured e-invoices alongside paper-based invoicing, and most recently, requiring e-invoicing as a complete replacement for paper-based invoicing. Mandated e-invoicing often comes with additional digital real-time reporting requirements.

Italy mandated B2G e-invoicing in 2014, followed by their e-invoice clearance portal for B2B transactions in 2019 as part of an effort to counter VAT non-compliance and fraud. Until about a year ago, e-invoicing in the EU felt more like an Italian anomaly than an indication of upcoming of EU-wide e-invoicing. But that perception quickly faded, as more countries, such as France, Poland and Germany, began to consider mandatory e-invoicing and subsequently are moving ahead with formal proposals and final rules.

The introduction of e-invoicing is yet another step toward completion of the GST System project initiated by the government in 2017. It represents the most sweeping change made to the economy in the history of the Republic of India.

The GST e-Invoice System requires issuers to report e-invoices to the government for validation before they are delivered to the customer. For that purpose, the government has developed a series of Invoice Registration Portals (IRP). E-invoice issuers must report their invoices to the IRP. The IRP electronically signs the invoice and applies a unique code called an Invoice Reference Number (IRN), as well as a unique QR code. Only invoices with an IRN are valid.

Issuers must be registered in the GST portal and either the electronic invoicing or e-way bill portal. They must also have a valid GSTIN code. Finally, issuers must adapt their systems to be able to communicate with the government platform and to send and receive e-invoices in line with the tax authority specifications.

In the technical aspect, the requested format is the XML (UBL 2.1) in accordance with the RO_CIUS. e-Signature is not mandatory, yet the Ministry of Finance will implement e-Seal on the document for its validation and completion. Aside from that, the receivers are able to get their invoices manually, via APIs or through a service provider. In addition, archiving these e-invoices for 10 years is also mandatory.

China made history on 18th March 2019 with the first-ever rail transit invoice to be issued via blockchain. This historic moment occurred at Futian Metro Station in Shenzhen. This was the first of an estimated 170,000 similar blockchain e-invoices to be issued every day!

A full history of invoices and payments made is preserved and made accessible to users. The main drivers for this initiative have been cited as the cost and environmental benefits of reducing the 170,000 invoices previously printed each day.

e-Invoice must primarily adhere to the GST invoicing rules. Apart from this, it should also accommodate the invoicing system or policies followed by each industry or sector in India. Certain information is made mandatory, whereas the rest of it is optional for businesses. Many fields are also made optional, and users can choose to fill up relevant fields only. It has also described every field along with the sample inputs for the interested users. One can see that certain required fields from the e-way bill format are included now in the e-invoice, such as the sub-supply type.

Team Clear also offers various modes through which e-invoices can be generated by the taxpayers, such as seamless API integrations, Excel mode, FTP, SFTP or Tally connector. The user can enjoy numerous value additions such as-

An electronic invoice (e-invoice) is a document that facilitates a seamless exchange of invoice information between a supplier and a buyer. It is issued, transmitted, received, processed, and stored using specific data formats such as XML or other structured data formats that can easily be processed by ERP systems. Unlike other types of invoices, an e-invoice remains digital throughout its entire life cycle, from issuance to archiving.

Invoices exchanged over email as PDF, Word documents, or other image files are a first step away from a paper-based invoice flow. These types of invoices are commonly mistaken as e-invoices. However, these are not true e-invoices because the recipient must manually key in or capture the data using OCR technology. In addition, emailed invoices often need to be printed in paper for matching and archiving purposes.

The terms "digital invoice," "online invoice," and "e-bill" are sometimes used when referring to "e-invoice" or "electronic invoice". However, it's important to note that these alternate terms may not always encompass the same definition. So, keep in mind that not all digital invoices are genuine e-invoices. When in doubt, always refer to the previously mentioned definitions.

Improved cash flow management: E-invoicing allows businesses to receive payments faster, improving their cash flow management and lower DSO. Electronic invoicing also provides greater visibility into invoice status and payment history, making it easier to track and manage payments. ff782bc1db
