What: Hoporee 2025 – The Magic Hoporee Bus
Who: Joey Scouts (ages 5-8) and their Leaders/Adult Helpers
Where: Camp Cottermouth, Stromlo, ACT
When: 4th - 6th October
Why: A fun-filled weekend of adventure, learning, and teamwork!

Payment Information: Payment Schedule is on OLEMS (Rego Software)
Leader & Adult Helpers: Everyone must be current financial and registered members within their branch and OLEMS
Camp Activities: Planned activities (e.g., themed challenges, science experiments, outdoor adventures, practical hands on activies and so much more)
Food & Catering: Meals will be provided, dietary requirements must be fully submitted to OLEMS (Registration Software), food will be cooked in Subcamps with Q Store collections.
Exact times and locations for arrival and departure
Arrivals from - TBC
Opening Parade - 1:00pm 4th October
Closing Parade - 10:00am 6th October
Please be aware that DROP OFF will be from the top carpark or from the concrete turning circle so it is strongly encouraged to work out ways to get their participant’s camping gear to their sub camp site as it could be a walk (Beach trolleys or carts work very well)
Sub Camps will be provided Sub camp setup & bump in times as there will be no recreational use of vehicles on site (other than approved vehicles and for event managment purposes)
Emergency contact details during the event (Each subcamp will have a Subcamp Captain they will share their information closer to the event)
Every Subcamp will have a colour and are encouraged like School carnivals to embrace the subcamp colour (red, blue, green, yellow, etc)
Sub Camps will receive a recommendation on what gear will be useful at camp for cooking, shelter, ETC . This will be shared with the Camp Captain
ALL EVENT STAFF (Committee, Activity leaders/youth helpers, Security, First aid, Welfare, etc) - Will be fed out of the cookout by the Catering Team (REGARDLESS OF WHERE YOU WILL BE SLEEPING)

Can parents attend?
Only adults requested by units to assist in running of the sub camp may attend. They must Register in OLEMS and pay the adult/ leader fee. They also must be a registered adult member of the branch they come from, with a current WWVP Card or equivalent
What if my child has special needs or medical conditions?
Carers will be allowed to be on site to support additional needs, they must be a registered member of their branch and be registered within OLEMS (Adult fee of $120)
What happens in case of bad weather?

Additional details
1 Decision making
All decisions in relation to the Hoporee are made by the Hoporee Management Team, chaired by Corey Coppin. Planning and operational decisions are framed by Scouts Australia Policy and Regulations; WHS and welfare considerations; and event participants’ medical, health, behavioural and identity information including, where relevant, personal privacy considerations. Requests to overrule a decision may be made to the Chief Commissioner, ACT Branch in writing.
2 Priority
Hoporee is a Joey Scout event, parents, siblings and members of other sections are invited to assist and where appropriate participate but only Joey Scouts are guaranteed to participate in the planned activities.
3 Camping
Diverse camping options are available at all camping bases. Joey Scouts are encouraged to camp in tents with other Joey Scouts but may camp with parents, family or as otherwise approved by their JSL. Suitability matrix has been developed and will be communicated.
4 Pre-requisites
Joey Scouts are required to have attended at least one night of a Joey Scout sleepover, Mob Camp, Group Camp or Family Camp or have other camping experience prior to the Hoporee. Attendance is at the approval of their JSL.
5 Child Protection
Any Child Protection issues must be reported immediately to the Welfare Team/Child Protection Manager. They may also be reported to the relevant line manager (e.g. JSL, Camp leader, Activity leader).
6 WWVP
All adults (and over 16s) attending and assisting require a WWVP card or interstate equivalent accepted by the ACT Branch Commissioner, Joey Scouts.
7 Buddy System
Joey Scouts who are not with their Mob should always be with a buddy. They should also check in with a leader when they depart the Mob and check back with the leader when they return to the Mob.
8 Level of Responsibility
Responsibility for any matters or issues is at the level closest to the Joey Scout as possible. For example, regular medication and minor first aid should be administered by Joey Scout Leaders; More serious issues should be referred to First Aid Team for the event.
9 Alcohol
The Hoporee is a dry event. Adult and youth members will not bring any alcohol on-site.
10 Smoking
Smoking is permitted out of sight of youth members and with respect to fire hazards and no littering.
11 Mobile Phones
Joey Scouts should not have Mobile Phones. Other attendees may have Mobile Phones but their use should be limited to any essential actions.
12 Emergencies
The Hoporee has an emergency plan, in the event of an emergency, the Management team will take over operations of the Hoporee with the priority of managing the safety and security of all participants.
13 Medicines
Medicines will be administered by attending parents or JSLs or camping base leaders or the first aid team - in that order of priority.
14 Sickness
Please do not bring sick people to the Hoporee. It could have a greater impact than you think. This includes potential Covid.
15 Hygiene
Please ensure all food handling and personal hygiene requirements are completed. Nobody wants to be a vector.
16 Privacy
All participants have a right to personal privacy. All attendees are asked to respect other's privacy and belongings. This may only be overridden if there is an immediate safety concern. Adults are not permitted in youth showering and toileting facilities except in the case of an emergency (as determined by the Camp Chief, Child Protection Team, First Aider or Joey Scout Leader in attendance (in order of priority).
17 Dress Code
Clothing must be appropriate for the active activities and camping, this includes closed in shoes, sun safe clothing and weather appropriate clothing.
18 Uniform
Leaders and helpers must wear either hoporee shirts, uniform or identifiable scouting clothing (which may include group shirts, event shirts etc.) as appropriate to their activity. Joey Scouts must wear Hoporee shirts or uniform or identifiable scouting clothing throughout the event.
19 Photography
Attendees may take photographs of their own youth members with their permission, this permission is implied for parents, leaders, carers and siblings unless specifically requested otherwise. The photography team will be requred to ensure that no photographs of "non-photo" members are published.
20 Lost property
Lost property will be made available through Branch HQ for one month after the Hoporee. After that it will either be sent to charity or otherwise disposed of.
21 Volunteers
Every individual assisting with the Hoporee is an unpaid volunteer who has given up their time to make this a great event for our Joey Scouts. Please give them the respect and consideration they deserve even if they haven't slept, are grumpy, surly or otherwise human.
22 Welfare
The welfare team is available to look after the welfare of youth and adult members and other participants and attendees. Their recommendations will be implemented but may be overruled by the Mangement team or the Chief Commissioner ACT Branch in writing.
23 Covid
The Hoporee will at all times comply with ACT Health directions in relation to Covid-19.
