For Returning and New Vendors:
Interested in becoming one of our vendors this year? This will be our 30th year for this wonderful event that always occurs on Mother’s Day weekend, and this year is May 10-11-12. We welcome sales of native plants, annuals, perennials, trees, shrubs, garden tools, supplies, decor, and related items to nature and gardening in general. We also welcome like minded non profit organizations that have products or information of interest.
Booth Size:A booth on our event field measures 15 feet by 20 feet deep for retail vendors. A booth for non profit organizations measures 10 feet by 20 feet deep.A booth for food vendors will be based on per foot required.
Weather:Garden Fair is a Rain or Shine event. Come prepared. Gardeners are hearty souls and so are mothers!
Attendance:Garden Fair averages 10-12 thousand over the two plus days. Preview Night is for our Members only and is a very special evening.
Vendor Appreciation Dinner-We hope you will enjoy our third annual Vendor Appreciation Dinner on Friday, May 10. Like last year, we are going to offer a boxed meal, available for pick up at the Membership tent at the beginning of Preview Night. That way, you can eat your meal when it is convenient for you, either during the event, when it is over, or on your way home. Each vendor is entitled to up to two meals. If you have more people working on Friday night, please contact Koy Mislowsky at 540-837-1758 ext. 246. (You must RSVP for the boxed meals on the Garden Fair application. If you do not, we will not have food available for you to pick up.) Attention Food Vendors–Like last year, food vendors are not required to be open during Preview Night. Because our Foundation serves food to our members at that event, the vendors who sell food make very little, if any money. However, food vendors are still required to be set up by 5 pm on Friday. All vendors must submit the following paperwork by March 4, 2019 in order to participate:
  • Completed, signed, and dated Application
  • New Vendors must submit photos of your booth or setup
  • Signed and dated Guidelines
  • Payment for booths, electric service and/or tables.
  • Certificate of Insurance, if selling goods and services that covers May 10, 11 and 12, 2019 (see guidelines #6) due April 8, 2019.
A late fee of $10.00 is charged if your application and payment is received after the final deadline. Your booth is not truly confirmed unless we have received your payment. Hotel Accommodations–For your convenience, we have worked out arrangements with the Fairfield Inn & Suites. The rate sheet is available. Please read the guidelines carefully as we have made some changes. We want this to be a fun, fair and profitable experience for all. Again this year we also have the option to complete your application using an easy emailmeform application, and payment via secure credit card process. This form and online payment saves us administrative costs. You may also complete the printable form, and mail. Please note all vendors with oversized vehicles, trailers etc. must set up on Thursday. We want to make sure those with larger vehicles are able to get onto the field and into their vendor space without incident. Remember, the deadline for applying this year is Wednesday, March 4, 2019. We always have a waiting list for Garden Fair so please register early. Garden Fair 2018 was hugely successful because of you, our fabulous vendors! We look forward to another great event in 2019!
