An HR department is an essential component of any business, regardless of an organization’s size. It is tasked with maximizing employee productivity and protecting the company from any issues that may arise within the workforce. HR responsibilities include compensation and benefits, recruitment, retention, firing, and keeping up to date with any laws that may affect the company and its employees.
SYSTEM TASKS GUIDE
1. Employee 201 File
a. The employee 201 file must be constantly updated
b. Requirements are uploaded separately on the “Requirements” section the requirement type selection depends on the “Requirement list” entered however you have the ability to add, update or remove requirement types in the “Requirement List” section.
2. Check Time Records
a. Add or Update records accordingly, coordinate with branch heads to clarify questionable logs and inform managers through text/call upon updating their subordinate’s records.
Note: Check Overtime and DRD records. If the OT is past 24:00:00 the admin should coordinate with the app admin to perform justification and combining of OT records.
b. Report Leave Paid and Unpaid, Lates, Undertime, absent using the Time Log App
c. Holidays are automatically applied to the time record therefore, as the HR Admin it is your task to ensure that Holiday records are complete and constantly updated.
3. Change Schedule Procedure
a. Managers are obligated to administer their subordinates “Change schedule request” and should be the one to enter the specifics of the Change Schedule Request since subordinates must not have access to the HR App without the manger’s consent.
b. HR will then validate the request either to approve or disapprove and inform managers through text/call upon updating the request.
4. Leave Application
a. Managers are obligated to administer their subordinates “Leave Application” and should be ensure that the leave application reliever has acknowledge.
b. HR will then validate the request either to approve or disapprove and inform managers through text/call upon updating the request.
5. Man Power Request
a. Managers has the ability to request for manpower request either temporary or permanent stating the position needed and the reason of the request.
b. HR will then validate the request and update status constantly until the request is completed/deployed
6. Notice to Explain
a. HR must ensure that all NTE levels and NTE Categories are complete and updated.
b. Only the HR department has the power to issue NTEs.
c. Once an NTE is created HR must inform the manager through text/call while the manager must relay the NTE together with a proper discussion with his/her subordinate having them write an explanation to be submitted to the HR department.
d. HR department will assess the explanation and upload the Explanation to the database and 201 file
e. The HR Department will then send a final Reply to the Manger.
f. The Manager and Subordinate will perform a final discussion regarding the matter.
g. The Manger will then have the subordinate Acknowledge the HR Final Reply, and if the subordinate does not acknowledge 2 present people must be available to witness the refusal.
7. Loans and Charges
a. HR must encode all Loans and Charges to the app with its corresponding details.
b. The HR System will automatically update the loan balance every payroll extraction.
8. Memo Bank
a. All memos that are released would be coming form the HR Department and this feature allows the HR Department to keep track of all memos released and to prevent redundancy of Memo issuance. The database will preserve all released memos for future usage safely in a secure cloud service provider within the App.
9. Locations
a. Location/ Branch details must be accurate since this information is used in several areas not only in the HR app itself but as well as the general apps being used by the company. Registered mail must correspond to the Email used by the branches in using the app/s.
10. File format and Standards
a. Formats and Standards must be uploaded to the System in order to sustain the uniformity of all data, records, reports, files, and other documents that affects the standards of the company.
