1. About this application
DVIS Arrival & Dismissal is an internal school operations application provided by Da Vinci International School (“DVIS,” “we,” or “the School”). It is intended for authorized school personnel, not for independent use by children or the general public. The application helps the School manage student arrival, attendance, authorized pickup, internal dismissal calls, program transfers, and related safety records.
2. Information we process
The application may process student names, identifiers, grade or class, arrival and dismissal times, attendance status, tardy or excused status and related notes, dismissal destination, authorized pickup-person names and relationships, special-permission pickup information, staff names, administrator authorization, operational notes, and pickup or student code identifiers.
Staff may access the application through a School-controlled account and identify themselves before recording an action. The application does not request payment-card, advertising, precise location, health, or biometric information.
3. Camera and code scanning
With device permission, the application uses the camera only to scan student or authorized-pickup QR codes and barcodes. Camera images and video are processed for scanning and are not intentionally recorded or stored by the application.
4. How information is used
Information is used to protect student safety; record attendance and tardiness; verify authorized pickup; coordinate dismissal and School program transfers; identify the staff member recording or completing an action; prepare daily and annual School reports; investigate discrepancies or incidents; and comply with applicable School recordkeeping obligations.
5. Storage, service providers, and disclosure
Records may be stored on School-managed devices and in Google Workspace services controlled by the School, including Google Sheets and Google Drive. Google may process information as a service provider under the School’s applicable Google terms. Information may be disclosed to authorized School personnel, a parent or legal guardian where appropriate, service providers supporting School operations, or authorities when required by law or necessary to protect safety. DVIS does not sell personal information and does not use it for behavioral advertising.
6. Retention
Arrival, attendance, pickup, and dismissal records maintained through the application are retained for up to two years after the end of the applicable school year, unless a longer period is required by law, an active investigation, litigation hold, or another official School record-retention requirement. Records are then deleted or de-identified using reasonable administrative procedures.
7. Security
DVIS uses reasonable administrative and technical safeguards appropriate to a School operations system, including restricted staff access, School-controlled accounts, device permissions, and access controls for School Google Workspace records. No method of electronic storage or transmission is completely secure. A pickup code assists verification but does not replace School identity and authorization procedures.
8. Children’s and family privacy
The application is operated by the School for institutional educational and safety purposes. Students are not asked to create accounts or use the application independently. Parents and legal guardians may contact DVIS to ask about access, correction, or deletion of applicable student information, subject to identity verification and legal or School recordkeeping requirements.
9. Your choices and requests
Authorized users may deny camera permission and use an available manual code-entry or student-selection method. Privacy questions and requests may be submitted using the contact details below. We may need to verify the requester’s identity and authority before responding.
10. Changes to this policy
We may update this policy to reflect changes to the application, School practices, or legal requirements. The effective date above will be updated when material changes are made.
