There are a huge number of email apps for Android, especially for power users who have to deal with a large amount of email every day. Most people are better served by sticking with the two big-name apps.

Although it shares a name, Outlook for Android doesn't have much in common with its desktop counterpart. It's clean, easy to use, and isn't overladen with features. Though the features it does have help to make it one of the best mobile email apps:

When you launch the Outlook app, you'll see the Add Account screen. Choose Outlook for your Microsoft account, even if your email address is @hotmail.com or @live.com.

Finally, you'll need to give the Gmail app permission to access your account, so tap Yes when prompted. The Account options page completes the setup. You can keep the defaults, which include checking for new emails every 15 minutes.

It'll take a few seconds for your emails to load from your Outlook account. Once done, you'll be able to see your inbox. At the top of the screen is the option to use Gmailify. Tap Give it a try to get started, then walk through the subsequent screens.

When you Gmailify an account, all of your emails are automatically imported into your Gmail account. They will be sorted and filtered just as normal Gmail emails are. When you reply to any of those emails, you will continue to use your Outlook (or other) email address.

I get a lot of phishing emails, and when I do, I use the Outlook app's "report phishing" button. I don't know if it actually helps in any way, but at least it feels good and it deletes the email from my inbox. However, I received a phishing email last week that, since reporting as phishing, Outlook has been repeatedly notifying me about. These notifications are coming in multiple times per day. Trying to open the message by tapping on the notification just shows the error "couldn't open message." Is this a known bug? Does reporting phishing actually do anything? Do I need to delete and redownload the app to fix this?

I use the Gmail app to read emails on my Android phone. I defined two accounts, a Gmail account and a Hotmail account. The Gmail account works w/o a problem, for syncing, reading, writing and deleting emails.

However, when using the Hotmail account, reading and writing emails work fine, but whenever I delete an email (with any of the various standard methods), the email is removed from Inbox, only to re-appear next time the account syncs (of course, when doing this from the web interface, it works just fine).

If you previously used Android's built-in Email app on this device and have decided to switch to Outlook, please delete your existing PennO365 account configuration before proceeding with a new setup. No email will be lost in this process.

If you encounter problems receiving mail or syncing calendars on your mobile device, you may be directed by your LSP to delete your older PennO365 account settings and reconfigure. No email will be lost in this process. See the instructions at the bottom of this page for how to remove an existing configuration before proceeding with a new setup.

Enter your PennO365 password in the Penn window and tap Sign in to verify your account



(If you do not recall your email password, cancel this setup and go to the PennO365 Password Change page to reset it. Allow up to 3 minutes for this change to take effect.)


Your password should only be entered in the official Penn sign in window as pictured above. If you are prompted for your password (or any additional manual settings, such as server) in a different window during the configuration process, please cancel the setup and try again (make sure you are entering your email as yourpennkey@upenn.edu). If problems persist, please contact your LSP.

Focused Inbox intelligently presorts your emails, placing your most important messages in Focused and the rest in Other. When an important meeting request comes in, for example, you can RSVP right away, rather than lose it in a stream of incoming messages.

If you are on the go and want to have your emails read to you, you can activate the Cortana integration. Once activated, Cortana will take you through the emails in your Focused inbox, pausing after each so you have the opportunity to provide voice commands. You can quickly flag emails for followup later, dictate a quick reply or have Cortana delete the email.

Email encryption is the process of disguising the content of your email messages to protect them from being read by unwanted parties. Sensitive information such as Social Security numbers, passwords, login credentials and bank account numbers are vulnerable when sent via email.

S/MIME is used most often because it is built into large web-based email companies such as Gmail and Outlook and can secure plain text messages and attachments. It is most common for industrial or commercial use.

Within this model, there is more flexibility and control over how well you want your emails to be encrypted, but it requires a third-party encryption tool. PGP/MIME is most common for personal or organizational use and is compatible with Android devices. It can also be used in VPNs, whereas S/MIME cannot.

Encrypting emails in AOL can be done manually, but requires a third-party tool to implement the PGP/MIME criteria. You first must download the PGP implementation and then obtain a program that allows you to use PGP encryption with your webmail provider.

Proton Mail is an end-to-end encryption and zero-access encryption email service with PGP compatibility. It has different pricing levels depending on the number of domains needed and messages sent per day.

Email encryption is essentially mixing up the contents of an email so it becomes a puzzle that only you have the key to solve. The public key infrastructure (PKI) is used to encrypt and decrypt emails. Each person is assigned a public and private key in the form of a digital code.

Enter the password for the email account you are adding.

Next, enter the name you want other people to see when you use Outlook to send mail.

Then, give the account a name so you can easily identify it in Outlook. This is useful if you have multiple accounts setup in Outlook.

Starting May 10, 2023, every email communication to BYU students from a BYU entity must be sent to the student's BYU-provided email. This change is to help BYU align with security best practices and federal regulations (FERPA).
