Privacy Policy — Diary & Dispatch Register
Last updated: 30 June 2026
Diary & Dispatch Register ("the App") is provided by Darkbird Studios ("we", "us", "our"). This policy explains what information the App collects, how it is used, and the choices you have. By using the App you agree to this policy.
If you have questions, contact us at darkbirdstudios961@gmail.com.
1. Information we collect
a. Account information (via Google Sign-In).
The App uses Google Sign-In as the only way to sign in. When you sign in, Google shares your name, email address, and profile picture with the App. We store your email address and display name to create and identify your account and to let workspace owners add you to a shared office by email. We do not receive or store your Google password.
b. Content you create.
Records you enter ("Diary" and "Dispatch" entries) — including reference numbers, subjects, sender/recipient names, descriptions, dates, and any other free-text fields — and any files you upload or photograph (PDF and image attachments of documents). This content is stored so the App can show it back to you and, where you choose, to members of a shared workspace.
c. Workspace / team information.
If you create or join a shared office (workspace), we store your membership and role, and the records and files shared within that workspace are visible to its members.
d. Usage and device information (analytics).
We use Google Firebase Analytics to understand how the App is used (for example, screens viewed and key actions such as creating an entry or uploading a file). This includes device and app information and a mobile advertising identifier (Advertising ID). This data is used in aggregate to improve the App and is not used to build advertising profiles by us.
2. How we use information
- To provide the core service: authenticate you, and store and retrieve your records and files.
- To enable shared workspaces and team collaboration that you choose to participate in.
- To maintain, secure, troubleshoot, and improve the App.
- To comply with legal obligations.
We do not sell your personal information.
3. Where your data is stored and who processes it
Your data is processed by the following service providers ("sub-processors"), acting on
- Supabase — authentication, database, and application backend (account data, records, m
- Cloudflare R2 — object storage for your uploaded files (PDFs and images).
- Google (Sign-In and Firebase Analytics) — authentication and analytics.
These providers may store and process data on servers located outside your country.
4. Sharing of information
We share information only:
- with the sub-processors listed above, to operate the App;
- with members of a workspace you choose to join, for the records and files shared there;
- if required by law, or to protect rights, safety, and security.
5. Data security
Data is encrypted in transit using HTTPS/TLS. Access to your records and files is controlled by server-side access rules so that private records remain private to your account and workspace records are
limited to that workspace's members. No method of transmission or storage is 100% secureures to protect your information.
6. Data retention
We keep your account information, records, and files for as long as your account is active or as needed to provide the App. You may request deletion of your account and associated data at any time (see
below).
7. Your choices and rights
Access / deletion: to request a copy or deletion of your account and associated data, email darkbirdstudios961@gmail.com. We will respond within a reasonable period.
Permissions: the App may request access to your camera (to photograph a document to attach) and photos (to attach an existing image). You can decline or revoke these in your device settings; some features
will then be unavailable.
Analytics: you can limit ad/analytics identifiers using your device's privacy settings (ing ID" or "Opt out of Ads Personalization" on Android).
8. Children's privacy
The App is intended for business and organizational use and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact
us and we will delete it.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the App after changes constitutes acceptance.

Once it's published, paste me the URL and I'll remind you exactly where it goes in Play Console (Store listing and it must stay consistent with the Data Safety form). Want me to draft the Data Safety answers next so they line up with this policy word-for-word?
