Important Notice About Background Location Tracking
Trip Expense requires access to your device's location even when the app is closed or not in use (background location) to provide the core trip tracking feature:
Automatically record your travel route and distance when you press "Start Trip".
Continue tracking in the background until you manually press "Stop Trip".
How your location data is handled:
Location data (latitude, longitude, and timestamps) collected during each trip will be securely uploaded and stored on our servers for corporate record-keeping.
This allows you to view your complete trip history at any time, even if you change devices or reinstall the app.
The data is linked only to your Trip Expense account and protected with industry-standard encryption.
Data is managed strictly according to your organization's corporate data retention policy. (Details are in Section 3)
We only request the "Allow all the time" (background location) permission after you press "Start Trip" and explicitly agree to this corporate data retention policy.
A persistent notification will always appear while background tracking is active, so you know exactly when the app is recording your location and can stop it anytime.
The app cannot accurately record your full trip distance if location access stops when you lock the screen, switch apps, or close the app. This is the core functionality of Trip Expense – to automatically measure travel distance for expense claims without requiring you to keep the app open the entire time.

All trip and location data is stored on our secure servers for corporate record-keeping and associated with your corporate account.
Data Retention Policy: Trip records are managed and retained based on corporate auditing requirements.
Automatic Deletion: Data older than 2 years (counting from the date of recording) will be automatically and permanently purged from our servers.
Permanent Retention is Avoided: We do not retain trip data indefinitely.
You can stop background tracking instantly by tapping "Stop Trip" in the app or swiping away the persistent notification.
You can revoke the permission anytime in phone Settings → Apps → Trip Expense → Permissions
Corporate Data Deletion: Due to organizational requirements for expense auditing, employees cannot delete trip records directly within the app. However, data deletion is managed by the organization as follows:
Upon Employee Separation: Data linked to your account will be permanently deleted by the designated Administrator as part of the corporate off-boarding process.
Request for Deletion: You may submit a formal request for data deletion through your organization's IT or HR department, which will be facilitated by the Administrator.
We do not sell, rent, or share your location data with any third parties for advertising or any other purpose. Your data is used solely to provide and improve the trip recording and history features of Trip Expense.
