Privacy Policy for Chroma Scan AI

Chroma soft built Chroma Scan AI as a document-scanning, text-recognition, document-organisation, and smart document insights application.
This Privacy Policy explains how Chroma Scan AI accesses, processes, stores, uses, and protects information when you use the application.
1. Information processed by Chroma Scan AI
Chroma Scan AI may process information that you intentionally scan, import, edit, save, search, copy, or share through the app, including:
Scanned document images
Imported images and PDF files
Recognised document text
Document titles
Search terms
Favourite status
Extracted dates, amounts, email addresses, phone numbers, links, keywords, action items, and other document insights
Documents may contain personal, confidential, or sensitive information. You are responsible for ensuring that you have permission to scan, import, process, store, or share the documents you use with the app.
2. Local-first processing
Chroma Scan AI is designed as a local-first application.
Recognised text, document titles, favourites, and saved library information are stored locally on your device. Recognised-text records are protected using Android Keystore and AES/GCM encryption.
Chroma soft does not operate a server that receives or stores the contents of your scanned documents.
The app does not send your document contents to OpenAI, ChatGPT, Gemini, Claude, or another cloud-based generative artificial-intelligence service.
3. Document scanning and text recognition
Chroma Scan AI uses Google ML Kit and Google Play services components to provide document scanning and optical character recognition functionality.
These components may be used for:
Document detection
Multi-page scanning
Cropping and image correction
Rotation and filters
Text recognition
PDF text recognition
Editable recognised text
According to Google’s ML Kit disclosure documentation, ML Kit may collect limited technical information such as device information, application information, performance metrics, diagnostics, and installation-related identifiers for diagnostics and usage analytics. This technical data is separate from Chroma soft’s local document library.
Chroma soft does not use this technical information for behavioural advertising.
4. Smart Insights
Chroma Scan AI may analyse recognised document text locally to produce Smart Insights.
Smart Insights may identify:
Extractive summaries
Key points
Action items
Dates and deadlines
Monetary amounts
Email addresses
Phone numbers
Website addresses
Keywords
Structured document fields
Sensitive-data signals
Text-quality estimates
Evidence matching within recognised text
Smart Insights are created through local deterministic or extractive processing. They are not a cloud chatbot and are not guaranteed to be complete or accurate.
You should review all extracted information before relying on it for legal, financial, medical, business, or other important decisions.
5. Redaction helper
Chroma Scan AI may provide a redaction helper or preview intended to help identify and hide certain sensitive information.
The redaction feature does not guarantee complete anonymisation or removal of every sensitive item. Always review redacted content carefully before copying, exporting, or sharing it.
6. Permissions and file access
Chroma Scan AI may use Android system interfaces or permissions necessary to:
Launch the document scanner
Select images
Select PDF files
Read files selected by the user
Save app-created information
Share user-selected text or files
Open supported links in external applications
The app is designed to minimise permissions and use Android system file pickers where practical.
Chroma Scan AI does not require unrestricted access to all files on your device.
7. Sharing information
The app allows you to copy or share recognised text and other user-selected information through compatible applications installed on your device.
Information is shared only after you initiate a sharing action and select a receiving application or service.
Once information is shared with another application, that application’s privacy policy and data practices apply. Chroma soft is not responsible for how an external application, website, recipient, or service handles information that you choose to share.
8. Advertising, analytics, accounts, and payments
The current version of Chroma Scan AI:
Does not display third-party advertisements
Does not include AdMob
Does not include Firebase Analytics
Does not require a Chroma soft account
Does not sell personal information
Does not use scanned documents for advertising
Does not use a Chroma soft cloud document database
Does not require a paid cloud OCR or generative AI service
If these practices change in a future version, this Privacy Policy and the Google Play Data Safety declaration will be updated before or when the updated version is released.
9. Local storage and data retention
Documents and recognised information saved in Chroma Scan AI remain on your device until you:
Delete an individual document
Clear local app data
Remove the information through Android settings
Uninstall the application
The app asks for confirmation before destructive actions such as deleting documents or clearing local data.
Deleted local data may not be recoverable. You should export or back up important information before deleting it or uninstalling the app.
10. Data security
Chroma Scan AI uses reasonable technical measures intended to protect locally stored information, including Android platform security, Android Keystore, and encrypted recognised-text storage.
However, no application, device, storage system, or security method can guarantee absolute security.
You should:
Use a device screen lock
Keep Android and Google Play services updated
Avoid installing untrusted applications
Review information before sharing it
Keep independent backups of important documents
11. Children’s privacy
Chroma Scan AI is not specifically designed for children.
Chroma soft does not knowingly operate a system intended to collect personal information directly from children.
Parents or guardians should supervise a child’s use of document-scanning applications, especially when documents contain identity, education, financial, health, or other sensitive information.
12. Third-party services
Chroma Scan AI may rely on third-party Android components, including:
Google ML Kit
Google Play services
Android system file pickers
Android sharing services
These services may process limited technical information under their own terms and privacy policies.
Google Play requires developers to account for data handled by third-party SDKs in both the privacy policy and the Data Safety declaration.
13. International processing
Technical information processed by Google services may be handled in countries other than the country in which you live, according to Google’s applicable policies and infrastructure.
Chroma soft does not independently transfer your scanned document contents to its own external server.
14. Your choices
You can control your information by:
Choosing which documents to scan or import
Editing recognised text
Deleting individual saved documents
Clearing local app data
Choosing whether to copy or share information
Uninstalling the app
Because Chroma Scan AI does not provide user accounts or operate a Chroma soft cloud document database, there is no remote Chroma Scan AI account or cloud document record to delete.
15. Changes to this Privacy Policy
This Privacy Policy may be updated when:
App features change
New SDKs or services are added
Data handling changes
Legal or Google Play requirements change
Security or privacy practices are improved
The updated version will be published on this page with a revised effective date.
