🎓 Promotion Ceremony

📍 Location: Clover Hill Elementary School Cafeteria
📅 Date: Wednesday, May 27th, 2026
⏰ Time: 9:00 – 9:45 a.m. (doors open at 8:30 a.m.)

Join us as we celebrate our 5th graders before they head off to middle school!

Families are invited to attend this special ceremony honoring our 5th-grade students. Due to capacity constraints, only two guests per 5th-grade student are permitted entry to the promotion ceremony. All remaining guests are welcome to rejoin their 5th-grader at the Promotion Celebration Party (please see details below).

🟢 Promotion Ceremony Guest Reservations

🎉 Promotion Celebration Party

📍 Location: Woodlake Soccer Complex (soccer fields directly behind CHES)
📅 Date: Wednesday, May 27th, 2026
⏰ Time: 9:45 – 11:00 a.m.

Immediately following the ceremony, students will rejoin their families and friends on the soccer fields for our CHES Promotion Celebration Party. All family members and guests are welcome to join us for this post-promotion celebration featuring music by DJ Andy, photo-prop stations, and outdoor games.

If you plan to check your student out for the day, a sign-out form will be available with their teacher during the event. Each teacher will have a balloon attached to their clipboard so you can easily locate them.

🏊 5th Grade Pool Party

📍 Location: Woodlake AFC Pool (14710 Village Square Place, Midlothian, VA, 23112)
📅 Date: Thursday, May 28th, 2026
⏰ Time: 4:30 – 6:30 p.m.

Sign-Up Deadline: Please complete your sign-up by Tuesday, May 26th, 2026.

A beloved CHES tradition! Our 5th-graders will celebrate the end of elementary school with a party featuring swimming, games, prizes, and music by DJ Andy. Photo stations and props will also be available for the students.

A big thank you to Sergio’s Pizza for providing cheese and pepperoni pizza for our 5th graders! Each student will receive a ticket for two slices of pizza to enjoy during the pool party. Pizza quantities are limited and will be served on a first-come, first-served basis. Students may bring additional snacks or a packed meal if they prefer or have dietary restrictions.

Please note the following rules for this year’s 5th Grade Pool Party:

🍀Each 5th-grade student attendee must be accompanied by an adult chaperone (chaperones can be responsible for multiple students). Due to capacity issues, adult chaperones are not allowed to swim in the pool.

🍀We kindly ask that no siblings attend. Due to pool‑capacity limits, this policy will be strictly enforced. The party is a private event, and the Woodlake AFC Pool will be closed to its members during this time. Please be aware that siblings will be turned away at the gate to ensure compliance with pool safety requirements.

🍀Guests are allowed to bring outside food and drink. Guests are welcome to bring their own food and beverages; however, alcohol is strictly prohibited.

🪧 5th Grade Promotion Yard Signs

Celebrate your student at home with a CHES 5th Grade Promotion Yard Sign!

These signs are a fun way to show CHES pride and celebrate your 5th grader throughout the community. Each yard sign costs $17, measures 16” x 12”, is double-sided, and comes with yard stakes for easy placement.

Pick Up: Signs will be available for pick-up at CHES on Friday, May 22nd, from 4 – 6 p.m. Any remaining signs will be available for final pickup at the Promotion Ceremony Party or the Woodlake AFC Pool Party.

📺 Digital Marquee "Shout Outs"

Celebrate your 5th grader with a personal message on the Clover Hill Elementary digital marquee!

Your message will appear on CHES’s electronic marquee sign for the community to see. For $10, your message will run periodically throughout the day that is assigned to your student’s teacher (please see dates below). Please note there is a hard limit of 60 characters (including punctuation and spaces).

Perfect for families who want the best view and easy arrival for this special milestone. Raffle Tickets are $3 per ticket, or four for $10.

We will be raffling TWO sets of 2 Front Row Seats for the Ceremony, as well as FOUR Front Row Parking Spots. A strict limit of two guests per student still applies, and if you win these seats, it does not grant you additional guests. Each raffle ticket drawn will be for one specific prize—either one set of 2 Front Row Seats or one Front Row Parking Spot. These are separate prizes, and each family is only eligible to win one prize per drawing. If your name is drawn more than once for the same prize, an alternate winner will be selected.

Yard Sign Pick-Up Table

5th Grade Promotion Celebration – Wednesday, May 27th, 2026

Set-Up (7:30 - 8:45 a.m.): Decorations, games + photo prop background set-up
Classroom Food Delivery (8:00 - 8:15 a.m.): Deliver celebration treats to classrooms
Ceremony Assistance (8:00 - 9:15 a.m.): Hand out programs and/or help seniors, individuals with disabilities, or parents with infants find seats
Yard Signs (9:45 - 11:00 a.m.): Yard sign pick-up table
Game Table (9:45 - 11:00 a.m.): Oversee outdoor games
Clean-Up (11:00 a.m. – noon): Pack up decorations and clean up

5th Grade Pool Party at Woodlake AFC Pool – Thursday, May 28th, 2026

Set-Up (3:30 – 4:30 p.m.): Set up check-in table, decorations + photo props
Party Help (4:30 – 6:30 p.m.): Check-in, refreshment table, games + prize table, pizza table, yard sign “Last Call” table, etc.
Clean-Up (6:30 – 7:30 p.m.): Pack up decorations and clean up
