Thank you for volunteering to help with scoring our surveys. This is an incredible help to CHADS School Outreach Staff. Survey data is used to show we are reaching our outcome goals and that students are learning through our presentations. With over 2,400 presentations to 50,000 students and adults per year, your volunteer time makes it possible for us to continue to grow.
This page will tell you anything you need to know about tallying surveys for CHADS Coalition. We've also provided the links to documents you need and a helpful guide in case you do have questions. If you have questions that cannot be answered on this site, please let us know and contact Ben with your questions.
1. Before starting, please make sure you have signed the CHADS Confidentiality Policy. It is EXTREMELY important that you honor this agreement to protect the privacy of the youth and families we serve. All staff members, as well as volunteers, are mandated by law to always protect client and agency confidentiality.
2. As an agency, we need to track and report time spent on our surveys. This is an agency and funder requirement. Please accurately record your time on the Survey Check Out sheet each time you pick up new surveys.
3. Un-tallied surveys can be picked up in the CHADS office in first two drawers of the filing cabinet furthest from the window. They are separated by week and it is very important that we tally the older surveys first so select the oldest folder and pull from there. Our presenters turn in data weekly on Fridays so the best days to pick up surveys are Mondays and Tuesdays.
4. The header on the tally sheet should be completely filled out by the presenter, please keep each group of surveys rubber banded together with the tally sheet on top. You should also write your name in the box labeled “volunteer name” and put the date in the box labeled “surveys tallied.” If the tally sheet is not completely filled out, please do not score it and instead point out the error to Ben or Colleen.
5. Surveys should be scored and returned within two weeks. When you return scored surveys they should be placed in the pink box on the Data Manager’s desk (cube across from the filing cabinet). If you cannot return them in two weeks, please email Ben to work out an arrangement.
