BookkeeperSnap Privacy Policy

This Privacy Policy describes how BookkeeperSnap ("we", "us", or "the app") collects, uses, and protects your information when you use the BookkeeperSnap mobile application.
Information We Collect
Photos and Images
- What: Receipt images you capture using the app's camera
- How: You choose which receipts to photograph
- Storage: On-device only by default. Images are stored in the app's private storage and are not uploaded to any server unless you use AI Boost (see below)
AI Boost (Optional Feature)
- What: When you enable AI Boost, receipt images are sent to our AI processing partner (OpenRouter) for enhanced OCR processing
- How: Only activated when you explicitly enable AI Boost and confirm the disclosure dialog
- Data handling: The image is processed temporarily and immediately discarded. It is not stored on any external server

App Activity
- What: Search queries within the app (searching receipts by vendor, date, category)
- Storage: On-device only. Not transmitted to any server
Receipt Data
- What: Vendor name, date, amount, line items, category, and notes associated with your receipts
- Storage: On-device only by default. If you use Google Sheets Push, receipt data is sent to your selected Google Spreadsheet (see below)
Google Sheets Push (Pro Feature)
- What: Receipt data (vendor, date, amount, line items, category, client name)
- How: Only when you explicitly tap "Push to Sheets" and have connected your Google account
- Where: Your own selected Google Sheets spreadsheet
- Authentication: You sign in with your Google account and grant explicit permission

Cloud Backup (Pro Feature)
- What: If you enable cloud backup, your receipt data and images are synced to Firebase for backup and cross-device access
- How: Only activated when you explicitly enable cloud backup in Settings

Third-Party Services
1. Firebase Crashlytics
Purpose: Crash reports and app stability
Data shared: Anonymous crash data, device model, OS version, app version

2. OpenRouter (AI Boost)
Purpose: Enhanced OCR for difficult receipts
Data shared: Receipt image (only when AI Boost enabled)

3. Google Sheets API
Purpose: Push receipts to your spreadsheets
Data shared: Receipt data (only when you initiate push)

4. Google Play Billing
Purpose: Subscription management
Data shared: Purchase tokens for verification

How We Use Your Information
- App functionality: Process receipts, organize by client and category, display search results
- AI Boost: Enhanced text extraction from receipt images (optional, user-initiated)
- Google Sheets: Push receipt data to your selected spreadsheets (optional, user-initiated)
- App improvement: Anonymous crash reports to identify and fix bugs
- Subscription management: Verify and manage your Pro subscription
What We Don't Do
- We do not sell your data to third parties
- We do not use your data for advertising
- We do not track your location
- We do not collect government IDs or health data
- We do not connect to bank accounts or financial institutions
- We do not share your data with third parties for marketing purposes
Data Security
- In transit: All network communication uses HTTPS/TLS encryption
- At rest: On-device data is stored in the app's private sandbox (Android secure storage)
- Google Sheets: Data pushed to your Google Sheets is protected by Google's security measures
- Cloud backup: Firebase data is encrypted in transit and at rest
Data Retention and Deletion
- Individual receipts: You can delete any receipt at any time from within the app
- All app data: Uninstalling the app deletes all on-device data immediately
- Google Sheets data: Receipts pushed to your Google Sheets remain in your spreadsheet — you control your own spreadsheet data and can delete rows at any time
- Cloud backup data: If cloud backup is enabled, you can request deletion by contacting us at bookkeepersnap.app@gmail.com
- AI Boost data: Images are processed and immediately discarded — no retention
Children's Privacy
BookkeeperSnap is not intended for children under 13. We do not knowingly collect any information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
Your Rights
- Access: You can view all your data within the app at any time
- Delete: You can delete individual receipts or all data by uninstalling the app
- Export: You can export your data via CSV, PDF, or Google Sheets Push
- Withdraw consent: You can disconnect Google Sheets, disable AI Boost, or disable cloud backup at any time in Settings
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the "Last updated" date at the top of this page. We encourage you to review this Privacy Policy periodically.
