Attendance management systems allow you to calculate the hours employees work accurately. This is especially beneficial if you have hourly employees. You need to be able to calculate the exact wages you owe employees. And, you need to know if you owe overtime wages to employees.

You can purchase online time and attendance software to use as your attendance management system. With time and attendance software, you can enter employee time yourself. Or, you can set up employee self-service so employees can enter their own time. Employees can also input their used sick and vacation time. The used time off will automatically subtract from the total time off you allow each employee to use.

Time and attendance software can integrate with your payroll software. Once you approve employee time cards, the information will transfer to the payroll software. Then, the payroll software will calculate employee wages and withhold all taxes. You can easily pay employees.

ITS has developed an automated attendance system that's used in classrooms across campus. This system allows students to check in and check out of each course through the use of a mobile app called ODU Attendance (iOS or Android) or their student ID. The data is added to the Canvas Attendance tool that allows faculty to integrate attendance data with their Canvas Course and Gradebook.

Each time you attend class in one of the classrooms with attendance management (see list below) you should check in and/or out (based on faculty requirements) using a mobile app on your phone or by swiping your student ID card. It's easy:

When students check in, their attendance is recorded in a Canvas tool called ODU Attendance, which allows you to integrate attendance data with your course and gradebook. The data remains in Canvas for as long as the course is there, and if your course is cross-listed/linked, you will see a combined class roster in Canvas.

You can decide what percentage of each class must be attended before a student is considered tardy or absent, and determine how you would like to calculate grades based on attendance. Learn more in the Instructor Guide.

The following academic rooms have attendance management equipment in place for the Fall 2021 semester. As the system continues to expand to meet University needs, users will find some rooms will have both wall units and desktop units, others may only have desktop units. Most rooms will eventually be provisioned with both types of equipment as long as the physical facilities are available to accomplish that. ITS continues to manufacture wall units and anticipates full deployment by mid-semester. For those with desktop units only, attendance will be available through the use of the ODU Attendance Mobile app or through associated course schedule Zoom meetings (if applicable). Those rooms designated with ** are currently provisioned with desktop units only and faculty should plan appropriately.

Though centralized systems for tracking attendance are increasingly popular, supervisors still spend considerable time managing absences. Much of this time is spent locating replacement workers to cover for absent employees. Although supervisors are responsible for enforcing the organization's attendance policy, they often lack training about the guidelines and their enforcement. As a result, an HR professional must have designated responsibility for the company's overall absence management program and provide training to aid supervisors in their efforts to enforce it. As a general principle, management retains a good deal of flexibility in establishing the days and hours of work expected, rules for employee attendance, and the consequences for excessive absences and paid- or unpaid-leave policies.

Disability discrimination laws. Employers must take into account the federal Americans with Disabilities Act (ADA) and comparable state laws in enforcing their absence control policies. Although regular attendance might be considered an essential job function, an employer risks violating the ADA if it fails to consider modifications to its attendance rules as a possible accommodation. For example, a strict punctuality policy that is uniformly applied does not insulate an employer from liability under the ADA when punctuality is not an essential job function. The same analysis might apply to a no-fault attendance policy.

Other equal employment opportunity laws. All federal and state equal employment opportunity laws prohibit discrimination in terms and conditions of employment, which would include the employer's policies and practices with respect to attendance.
