Fitness Passport users wanting to access classes or the 2 weekly reformer sessions (same as Xpress) must be set up on the ‘Fitness Passport Xpress’ membership option.
This will automatically apply the $15 per week charge and attach the class and reformer sessions. (set up to reflect Xpress).
The activation fee will be charged.
The member’s Fitness Passport Membership Number must be added to their profile notes.
The spare key can be found in the top right hand drawer of the desk.
There's also a lock box outside, in the fenced area, on the wall with a spare key.

The front door is to be unlocked throughout the gym shift, along with the store room. Please leave members entrance locked unless pouring with rain, make sure to re-lock it if you do.
If the pilates room is un-occupied, please wedge the door open during shift. When occupied the door can be closed. If you don’t have access to the room via KISI, you can add this on KISI groups - under ‘Staff Pilates Room Access’.
Classes are run in the ‘X’ room & go for 30-45 minutes.
Information on the individual classes can be found under ‘class programming’ on the drive.
All bookings for classes are on the gymflow calendar. The gymflow staff app is set up on the Xroom Phone, please use this phone to check class numbers and check people in upon arrival.
If classes are needing changes, and Shenai is not available, please contact Cody or Alex.
XROOM TIMER
The remote for the xroom timer can be found on top of the printer with the phone.
XROOM TV
Our class workouts are displayed via the TV in the group fitness room. They’re all uploaded onto the USB which is pre-planned and plugged into the TV. (if not working, remove USB and plug back in). Please navigate to the folder of the week starting workout and the class which shows today's class. The remote for the tv can be found on top of the printer with the phone.
Our music is controlled via the AMP in the front cupboard labelled ‘XROOM’. To change to the group fitness phone complete the following;
Turn the AMP volume down.
Press ‘MODE’ and switch it over to bluetooth.
Connect the XROOM phone via settings > bluetooth.
Turn the phone down.
Turn the AMP volume up and control overall room volume by adjusting the phone.
When class is finished, complete the following;
Turn the AMP volume down.
Press ‘MODE’ and switch it over to the ‘cord image’.
Adjust the volume for the room to a nice volume to be left on.
SPOTIFY: You're welcome to share/create any playlists needed on the phone, just make sure they’re labelled clearly as to what class they’d be best used for or what genre they are.
Our bins are located in the fenced off area in the back carpark. Bin day is Tuesday.
Our wipes and additional cleaning products which can’t be found in the store room are kept in our front merch lower cupboard.
All spare merchandise is found in the front merch cupboards. There is a spreadsheet bookmarked to the laptop which keeps track of the stock in cupboards. Please update this if you take something out.
If you sign up someone under grassroots, please pass forward their name and club to alex or Cody so they can collect fees.

CLASS PROGRAMMING
Please make sure at all times we have aminimum of 3 weeksprogrammed in advance.
Example; On a Monday (that week) plus the additional 3 following weeks should be programmed.
Please double-check that all workouts are completed and uploaded correctly.
Extras;
- With three Empower Days per week, try to include one leg, one upper, and one full-body workout. If legs have already been programmed for that week, do an upper or full-body instead.
- If there’s a block focus written at the top of the spreadsheet, take that into account when creating your workout. If the week already includes a lot of that focus, feel free to mix it up.

XPRESS MEMBER EXPERIENCE
We’re leveling up our Class Experience and getting to know our members! Plus, striving to create the best experience for new comers.
Add the names of anyone who joins with an Xpress Membership or a trial to attend classes.
On their 7th day as a member, when you do our usual check in, level it up. If they haven’t booked a class yet, or have a no-show/late cancellation, reach out/bring it up in conversation.
Signing them up in the club? use this as a chance to personally help them book their first class. Make it personal, ask them their availability, interests (strength/cardio/pilates) and get it locked in.
When the Daily Deputy task ‘Action Xpress Member Sheet’ appears:
Add any new Xpress members or trials to this sheet.
Copy across any notes from Group Coaches.
Follow up with anyone who hasn’t booked their first class on their 7 day check in.
GROUP COACHES ROLE
When you see “1st booking” in the app:
Make them feel welcome from the moment they arrive.
Greet them, ask if they’ve done classes before, have any injuries and answer any questions.
After class, add/send feedback in the ‘Feedback/Notes’ column:
Injuries or movement restrictions
How they went in class
Confidence level
Personality or energy
Any support or follow-up needed
Basically - any feedback is good feedback! The more detail, the better, this helps us personalise their journey and make them feel part of the 24fit community.

GROUP COACHES ROLE
After your block of classes (AM/PM), add at least one member for follow-up or extra attention.
This could be:
Someone you spoke with during class
A member with a new injury or who seemed off
Could even be someone that isn’t present and you noticed hasn’t attended in a while
A positive note such as a birthday, PB, milestone, or great effort
Include:
Date
Class Time
Name
Notes
Whether extra contact is needed - make sure to note why so the gym crew have a good idea when making calls.
GYM CREW ROLE
Using the notes from Group Coaches:
Add details (including date/time) to the member’s profile.
Follow up, check in, or send a friendly message based on the notes.
Be personal and genuine. Whether it’s a quick “hope you’re feeling better” or “great effort in class this week,” those small touches make a big difference.

Pilates sessions are included in the Xpress membership, they are entitled to 2 sessions (credits) per week. They must book via gymflow for their sessions, and will gain KISI access prior to their booked slot to the room.
Members are to do the following for their session;
Connect their earphones.
Wear socks.
Watch the tutorial (if new to the machine).
Goolwa members are welcome to book into Pilates sessions or Xpress classes.
If they wish to use Pilates regularly, they must be on the $35/week membership.
