Privacy Statement

This Privacy Statement explains how Verge Collaborative Limited (ABN 91 609 809 501) collects, uses, and discloses personal information collected from customers, contractors, staff and stakeholders, in accordance with the Australian Privacy Principles drawn from the commonwealth Privacy Act (1988).

Personal information means information or an opinion about a person, such as their name, address and other contact details, history, coaching discussion content, individual assessment reports (of strengths or personality, for example), or even bank account details.

What types of information do we collect?

The nature of the personal information that we collect from you will depend on the nature of the relationship we have with you. For example, if you:

· Register for a single-day WORKSHOP or EVENT, we will collect your name, contact details, postcode, payment details (if relevant), and any information you voluntarily offer regarding your dietary or accessibility requirements.

· Register for a LEADERSHIP DEVELOPMENT PROGRAM, we will collect your name; contact details; information about your work, leadership experiences, current and future challenges; your expectations for participating in the program; payment details; and any information you voluntarily offer regarding your accessibility requirements. During your participation of the program workshops and online forums, you will choose how much additional information you disclose about yourself, to the facilitators, guest speakers and to the other participants – however, this information will not be recorded. Some information that you share with your coach during coaching sessions will be recorded in writing and will be shared with you (if agreed or requested).

· Work with us as a CONTRACTOR or VOLUNTEER, we will collect your name, contact details, and organisational details (including bank account details). In some instances we may also need to collect information pertaining to your compliance with relevant legislation (for example, a Working with Children Check number or evidence of a Criminal History Check).

· Subscribe to the Verge Collaborative EMAIL LIST, we will collect your name and email address.

· Participate in one of our SURVEYS, we may collect your name and contact details, and will collect your survey responses.

· Submit an ENQUIRY, we may collect your name, and contact details.

· Submit FEEDBACK or a COMPLAINT, we may collect you name, contact details; and will keep a record of the nature of your feedback or complaint, any actions taken to address your concerns, and the outcome of our feedback and complaints resolution process.

· Join the BOARD of DIRECTORS, we will collect the personal information needed to successfully undertake checks required by the ACNC of Responsible Persons being appointed to the Company Board of Directors.


Sensitive Information

Some personal information, such as information relating to health information (including mental health information and information about a disability), gender or sexuality, racial or ethnic origin, religious beliefs or affiliations, criminal records or genetic information, is considered sensitive and thus requires a higher level of protection under the Privacy Act.

We will only collect your sensitive information where you feel that it is important for us to know this information, given the context of the interactions you will have, or are having, with us.


What if you do not want to provide us with your personal information?

Whenever it is possible for us to interact with you without requiring you to identify yourself, we make this option available (for example, providing feedback or answering surveys anonymously).

Additionally, we aim to collect and store the minimum personal information required for us to fulfil the expectations of our relationship or interaction with you. If you feel that, under the circumstances, you could provide us with less information without negatively impacting on the value we can provide to you, please draw this to our attention.


How do we collect personal information?

We collect personal information via a number of mediums, including:

· Through direct interactions with you, via email, phone, text, mail or in person conversations

· Through online or paper forms or surveys

· At workshops, events, online forums or during coaching sessions


Why do we collect personal information?

We collect, hold and use personal information for the purposes of:

Education and Training:

· providing high-quality education and development programs

· improving program delivery and outcomes

· communicating with you

General Administration:

· recruiting staff, contractors, and volunteers (including Board Members)

· issuing invoices and processing payments

· answering questions

· addressing complaints

· evaluating services and experiences


Who do we disclose your personal information to?

It is rare that we need to disclose your personal information to other parties, with the following exceptions:

· If you are participating in a LEADERSHIP DEVELOPMENT PROGRAM, general information about your work, leadership experiences, current and future challenges, and your expectations for participating in the program may be shared with the program facilitators (many of whom are contractors), in order to assist them to prepare their learning content, and

· If you Join the BOARD of DIRECTORS, we will be required to disclose your personal information to the ACNC (Australian Charities and Not-for-Profits Commission).


Storage and security of the information we hold

It is important to us that your personal information is stored securely. We collect and store personal information in digital formats only, using software platforms including Google Workspace, Squarespace, Dropbox, Eventbrite, AirTable, Thinkific, AddEvent, Mailchimp, and Quickbooks, that meet the recommended industry standards for encryption technology.

We keep any personal information we hold secure by restricting access to computer and software systems, particularly via password protection measures.


Access to and correction of your personal information

We are open to providing you access to the personal information we have stored for you, and we are keen to update or correct any of the personal information we have for you that is inaccurate, out-of-date or incomplete.

To access or correct your information, please contact us via email or phone to detail your request. We will respond as soon as possible, and definitely within 30 days.

If in the unlikely event we are unable to address your request, we will contact you to discuss the reasons for our decision and provide you with a written response.


Feedback, suggestions for improvement and complaints

We are interested in any feedback, suggestions for improvement or complaints that you have for us relating to our Privacy Policy. You are welcome to contact us directly by phone to discuss your concerns, or to provide your feedback or complaint more formally via email.

We will respond as soon as possible, and definitely within 30 days of our receipt of any complaint. If we are unable to resolve your complaint immediately, we will keep you inform on the progress of your complaint.

If you are not happy with our response to your complaint, you can refer your complaint to the NSW Privacy Commissioner (https://www.ipc.nsw.gov.au).
