Travel Funding & Policies
Travel funding is available to students and postdocs, with priority funding given to those associated with the partner institutes of the AI Institute in Dynamic Systems. Funding is limited to $1,000 (USD) per traveler, however, if this limit presents a financial hardship, please reach out to Lauren Lederer at llederer@uw.edu. Be sure to indicate your request for funding on the workshop registration form. For those who registered by January 27, 2023, funding was approved and you should have received a confirmation email on January 27, 2023. in Funding is provided in the form of reimbursement after the workshop. (See below.).
For workshop attendees with approved funding, trip costs such as hotel, flight, and ground transportation are generally reimbursable. However, please consider the following before booking travel:
Per diem is a daily limit that is allowed to be spent on lodging and meals depending on location. (See per diem rates.)
Meals may be reimbursed based on actual costs, up to per diem rates. i.e., rather than paying a flat per diem, we request receipts per meal and we will reimburse that amount, up to the limit
The Fly America Act is a federal policy that mandates the use of U.S. certificated air carriers for federally funded international travel. Additionally, upgraded tickets/seats are not reimbursable.
We cannot reimburse costs associated with personal travel and/or other business related trips that may be adjacent to this trip. If you have a unique travel situation, please contact us in advance for guidance.
Please save all receipts and the hotel folio for the reimbursement process.
For a closer look at policy information on any of the above topics, or more, please visit the University of Washington's Travel Services website or email llederer@uw.edu with questions.
Reimbursement Process
Please submit your reimbursement request by March 15, 2023. We will work to process your reimbursement as quickly as possible. Reimbursements will be sent through mail, so please keep that in mind when considering timing.
