Effective Tools for Self-Archiving
IN INSTITUTIONAL REPOSITORIES
IN INSTITUTIONAL REPOSITORIES
This is a final year project at the university of Zambia (UNZA), conducted by five students of information and communication technologies supervised by Dr. Lighton Phiri. Below is the overall aim of this project.
The University of Zambia (UNZA), like most Higher Education Institutions, has set up an IR (“UNZA Repository Home") which, in part, is used for archiving faculty staff authored pre-prints and post-prints, and Electronic Theses and Dissertations (ETDs). However, while UNZA has had a functional repository for a considerable number of years, the content that is in the repository or IR does not represent all the work that has been done by its staff and students in terms of writing, In addition, most of the recent work by the university of Zambia staff and student's academic papers do not reflect in the institutional. This is enough to tell us that uploading literature or academic work on the IR is a major issue. Prior literature has identified a number of issues associated with the low uptake of IR content, some of which are lack of self-archiving practice, insufficient number Library staff available to deposit content and lack of IR awareness of faculty staff. One of the solutions that have been suggested involves the use of easy to use and effective self-archiving tools and it is the focus of this project.
This project is meant to design effective third-party self-archiving tools that will improve the uptake of IR content, the main focus is on coming up with tools that will allow the specification of relevant metadata elements and are easy to use.
Possible Outcomes
The implementation of the third-party self-archiving tools shall have a positive impact on the users of the Institutional Repository who are the Library Staff, The Lecturers as well as the Postgraduate Students. The benefits that come with the implementation of the tool include a reduced amount of time in depositing digital content to the IR. The metadata elements shall be automatically extracted and the users shall only have to confirm if their details are correct.
The tool shall also simplify the process of self-archiving whereby the users shall only have to complete few steps to complete the self-archiving process by uploading the digital content in a PDF format, Confirm the metadata and submit it to the UNZA IR.

General Objective
To implement a third-party self-archiving tool that will be easy to use and in-turn shall increase the uptake of digital content into the institutional repository by practising self-archiving.
Specific Objectives
To quantify the uptake of institutional repository content in the University of Zambia Repository.
To design and implement user friendly, easy to use and useful repository software tool.
To evaluate the usability of the self archiving software tool.
Making self archiving effective at the university of Zambia, a tool that is easy to use will will motivate a lot of faculty to come on board in uploading content thus taking the university of Zambia to another level. document proposal outlines more on this.
Evaluating how usable the third part self archiving tool is helps in determining the effectiveness. to get more information check out the requirement specification document.
