Find a staff meeting date that best fits your schedule and the schedule of your instructors
Keeping a consistant staff meeting schedule will make it easier for instructors to remember
Try to schedule staff meetings out as far in advance as possible. This way your instructors can block off their calendars far in advance
Make a quick announcement post in your center's Paylocity group to remind instructors of your upcoming staff meeting
Promote the staff meeting by reminding them that you'll be giving the free pizza and drinks!!
You can also post additional reminders coming up to the staff meeting date
Remind your instructors that staff meetings are MANDATORY! They will need to reach out to you if they have a conflict.
You can use the list of staff meeting activities in the Resources section above
Try and pick a meeting that covers topics in which your instructors would most benefit
Determine the necessary materials to run your chosen activity and prepare!
The warm-up activities can also be found in the Resources section above
Warm-up/Icebreaker activities can help get your meeting going, especially if you have newer staff
Put together a list of announcements to go over at your staff meeting, including:
Good kid notes
Students with challenging behavior
Introducing new instructors
Exciting news from parents
Upcoming events
Updated procedures/processes
Birthdays/Work Anniversaries
Etc.
You can use the Pizza Ordering guide linked above for information on ordering pizza
It's best to place this order to finish 15 minutes before your staff meeting is scheduled, giving you enough time to pick it up
Prepare sodas and water before the meeting and chill them in an ice chest
Use your company credit card to pick up supplies from your closest convenience store.
Ice (for chilling drinks in ice chest)
Soda! Ask your staff what they prefer to drink
Water bottles
Paper plates
Paper towels (you probably have these in the center already)
Depending on your preference, move tables and chairs in the center to make it easier to host staff meeting
Wait until most students are out of the center before completing this step
Visit your local Domino's and pick up your pizza!
Put together a table for staff to grab pizza, plates, paper towels, and drinks
Give you staff 10-15 minutes to grab pizza and drinks
This is a good time to talk to your instructors about what's been going on in their lives
Try to start things off and break the ice. No one likes a silent staff meeting!
Take note of any instructor who is not in attendance that you expected
Reach out to instructors who are not there
You can also remind them that staff meetings are MANDATORY to attend
Remind your instructors that they should be clocked-in for the staff meeting
It is also good to remind your instructors to fill out the "Report Completed CE Training" form on the Instructor Dashboard to receive their CE credit for attending
Use the materials you have prepared and start the meeting off with an icebreaker/warmup
Spend some time to review your prepared notes
Announcements/Notes may include:
Good kid notes
Students with challenging behavior
Introducing new instructors
Exciting news from parents
Upcoming events
Updated procedures/processes
Birthdays/Work Anniversaries
Etc.
Using your prepared materials, go through a staff meeting activity with your instructors!
Take note of the time during your activity! Make sure your staff meeting is not exceeding 90 minutes in length total
Once you have gone through all of your prepared staff meeting, have your instructors help you clean up before leaving
Thank them for taking the time to be there for the staff meeting and remind them to clock out and fill out the CE credit form
