Having a well built and managed instructor schedule is vital in making sure we have the right number of instructors in the center to teach our students. This guide reviews how to put together an instructor schedule in Math Made Simple.
Reach out to your instructors and have them set their availability in MMS under Manage Availability
They can visit Schedule/Manage Availability in MMS to do so
Have them set their Default Availability to set days and times that are unavailable
They can also set availability on a week by week basis
Take notes on any instructor preferences or other situations
Visit the Revenue/Instructor Hour Report in MMS under Reports/Revenue per Instructor Hour
Use the information on the report to determine number of weekly instructor hours to schedule
You can also determine weekly instructor hours to meet R/IH goals by using this formula:
Weekly Instructor Hours = Monthly Revenue/(RIH Goal * 4.2)
You can modify the formula above to get a simple estimate with this:
Weekly Instructor Hours = Monthly Revenue/400
Check your student appointments for the week under Appointments/Location Bookings
You can use this to help guide the number of instructors needed at particular times
Use the Viewing/Editing Student Appointments guide if uncertain how to view your weekly appointments
Look through the weeks student schedule and determine how many instructors you will need at any given hour
Each instructor scheduled can cover up to 4 students at a time
There will always need to be two employees at the center when student are prescent.
Also consider blocking your own CD schedule at busy times to reduce going over your total weekly instructor hours
This page can be found under Schedule/Create Schedule on the left-hand menu
You can add a shift for an instructor by hovering over the desired date and clicking Add
Then determine Shift Start, Shift End, Location, and Teaching Ratio
Teaching ratios are recommended at 4, but can be changed based on situation (new instructor, higher math students, etc.)
This may take some trial and error, but in the end you want a schedule that meets these criteria:
Has a total number of weekly instructional hours less than or equal to the value found in step 2
Does not have instructors scheduled outside of their availability from step 1
Tries to take instructor scheduling preferences into account from step 1
Covers your instructional needs on the student schedule reviewed in step 4
Guarentees that there are always 2 staff members in the center at opening and closing to satisfy our student safety policy
This step can be made easier with the Copy Week button if there are few or no changes from the previous week.
