Before a lead comes in for an initial assessment, a CD Intro call is scheduled on Asana for the Center Director to get an opportunity to introduce themselves to the lead and answer questions.
Look over any details or comments left on the task. The communications team will often leave notes about any previous conversations they have had.
This will better prepare you to be engaged in the conversation with the lead when reaching out, allowing you to make a better first impression!
Check the Assessment Asana task to find the parent's contact information
Using the center's phone (or through the RingCentral app), give the parent a call
Introduce yourself
Remind them of the upcoming assessment
Ask if they have any questions about the assessment or Mathnasium
Answer Questions
Let them know you look forward to seeing them and their child tomorrow!
"Hi! This is ____ with Mathnasium, can I speak with _____? Oh great! I'm actually the Center Director here at Mathnasium so I'll be meeting with you and [child's name] tomorrow! I just wanted to call to introduce myself ahead of time and maybe answer any questions you might have before our meeting tomorrow. [respond accordingly] I'm looking forward to seeing you and [child's name] tomorrow! Have a great evening!"
If the parent does not answer the phone, leave a quick voicemail mentioning who you are, why you called, and leave a callback number for if they have any additional questions
Send a text message to the parent as well. Not all parents will check their voicemail and may be more receptive to a text message!
