Before a lead comes in for an initial assessment, a CD Intro call task is scheduled on MMS for the Center Director to get an opportunity to introduce themselves to the lead and answer questions.
You can find the assessment task in MMS under Reports -> Assessments
Look over any details or comments left on the task. The communications team will often leave notes about any previous conversations they have had.
This will better prepare you to be engaged in the conversation with the lead when reaching out, allowing you to make a better first impression!
Check the Assessment task in MMS to find the parent's contact information
Using the center's phone (or through the GoTo app), give the parent a call
Using the information below, introduce yoursellf and have a quick conversation about the upcoming assessment
If you are able to reach a parent:
Greet customer by name
Introduce yourself (include your name, title, and center name)
Let them know that you will be doing the assessment (confirm date/time)
Confirm details (if any) or ask for more info if needed.
Add any info you would like them to know, based on their situation (we’ve helped many students with ADHD, it’s important to get those foundation skills down, high school classes are stressful, etc)
Give a basic rundown of the assessment process & what to expect (verbal, written, partial results/plan/enrollment discussion), and estimated time it will take.
Make sure they know where you are located (confirm location)
Ask if they have any questions.
Thank them for taking the time to chat with you, and let them know that you are looking forward to meeting them in person on (day of assessment)
Let them know that they can call us back if anything comes up, if they need to reschedule, or if they have additional questions.
If the parent does not answer the phone, leave a quick voicemail mentioning who you are, why you called, and leave a callback number for if they have any additional questions
Send a text message to the parent as well. Not all parents will check their voicemail and may be more receptive to a text message!
Hi (parent name)! This is (your name) from Mathnasium of (center). I’m calling because you scheduled an assessment for (child name) on (date/time). I’m the Center Director, and I’ll be the one doing (child’s) assessment. I just wanted to introduce myself and chat with you about what to expect on (day of assessment), and answer any questions you may have at this time. The assessment should only take about an hour, and we can even get the paperwork done so you can get (child) started right away. If you have any questions, feel free to call me back at (###), and select option 2 to get straight to my office. If not, then I look forward to meeting you and (child) on (day)! Have a wonderful day!
Follow up with a text: Hi (parent name)! This is (your name), Center Director for Mathnasium of (center). I just left you a voicemail. Feel free to give me a call back if you have any questions. You can reach me at (###), just select option 2 at the call menu. I’m looking forward to meeting you and (child) on (day of assessment)! Have a wonderful day!
