These Terms and Conditions (“Agreement”) govern all Services provided by Travels by Isabel (“Travel Advisor,” “we,” or “us”) to the Client. By making a Booking or engaging our Services, you agree to be bound by this Agreement.
By signing, you consent to communications via phone, email, text, and mail (service updates & marketing). You may opt out of marketing at any time.
All bookings are subject to availability and confirmation by suppliers and third-party vendors.
Full or partial payment, including deposits and final balances, must be received by the deadlines specified in your itinerary or booking confirmation.
Payments will be processed through the host agency, vendors, or tour operators as applicable.
Clients authorize Travels by Isabel to process payments on their behalf per signed Credit Card Authorization forms.
Failure to make payments on time may result in cancellation of bookings and loss of deposits or fees.
If monthly or installment payment plans are offered by the vendor and accepted by the client, a valid credit or debit card must be kept on file. Clients hereby authorize Travels by Isabel and/or the vendor to charge the card for all scheduled payments under the agreed plan. Failure to maintain a valid card on file or to complete scheduled payments may result in cancellation of services, penalties, or forfeiture of deposits in accordance with vendor policies.
Regardless of payment method, including payments made via secure payment links provided by Travels by Isabel or its vendors, a signed Credit Card Authorization Form is required. This authorization permits charges for final balances, changes, penalties, or other booking-related fees. Failure to provide such authorization may delay or void your booking.
By agreeing to these terms and authorizing payment, clients acknowledge that initiating a chargeback or disputing any charges without first contacting Travels by Isabel to resolve the issue constitutes a breach of contract. Clients will be liable for any and all related fees, including but not limited to legal fees, collection costs, and any additional charges incurred.
Flights are not provided unless specifically requested and agreed upon in writing. When booked by Travels by Isabel, flights are arranged only in special circumstances and are not part of standard travel packages. Airlines typically communicate exclusively with Travels by Isabel as the booking agent, which may limit your ability to make real-time changes or resolve issues during travel. Additional fees may apply for flight management services. Discounted flight pricing is not offered. Clients are strongly encouraged to book and manage their own flights independently for greater flexibility and direct communication.
All prices are subject to change and are not guaranteed until your booking is confirmed and a deposit has been made directly to the vendor. Pricing may vary due to currency fluctuations, supplier rate changes, taxes, fees, or fuel surcharges.
Travel Advisor will notify clients of any price changes as soon as reasonably possible.
Final pricing is confirmed only after full payment and supplier confirmation.
Any requested changes to bookings after confirmation may incur fees and are subject to supplier policies.
To begin the planning process, a non-refundable planning fee is required. This fee covers itinerary research and design, supplier coordination, and professional support before, during, and after travel. It is not applied toward the cost of the trip unless otherwise specified in writing.
Individual or Family Travel (up to 5 travelers): $125
Group Travel (6–15 travelers): $300
Group Travel (16–30 travelers): $450
Large Groups (31+ travelers): Starting at $600 (custom quote)
Destination Weddings / Room Blocks: Starting at $450 (based on number of rooms/guests)
Planning fees are due before proposals are delivered and are non-refundable. Travels by Isabel reserves the right to waive or credit a portion of the planning fee toward the total cost of travel services, at the sole discretion of the advisor. Any such decision will be confirmed in writing prior to booking.
Travels by Isabel offers a variety of travel services including individual travel, group travel, destination weddings, cruises, resorts, tour groups, flights, and luxury or specialized travel. Each booking type may have unique terms as outlined below:
Group Travel, Destination Weddings, and Tour Groups:
These bookings often involve multiple participants and coordination with vendors such as hotels, resorts, event venues, and tour operators.
Clients acknowledge that:
Vendors require signed contracts for room blocks or group services that include specific requirements, deposit schedules, cancellation policies, and penalties.
Clients will sign a contract with Travels by Isabel and are responsible for complying with all vendor contract terms and policies to maintain the booking.
Failure to comply with vendor terms, including not meeting minimum room or group size requirements, may result in penalties, loss of group rates, or cancellation fees.
Clients agree to be liable to Travels by Isabel for any costs, damages, or fees incurred due to failure to comply with the group contract.
Timely coordination with group members is essential.
Travels by Isabel acts as an intermediary and is not liable for vendor policies or group member cancellations.
Cruises and Flights:
Bookings are subject to airline or cruise line availability, pricing, and cancellation policies. Clients must comply with carrier-specific documentation and health requirements. Travels by Isabel is not responsible for carrier delays, itinerary changes, or penalties.
Clients acknowledge that excursions not booked through the cruise line are at their own risk and may affect their ability to rejoin the ship if delayed. Cruise line excursions are strongly recommended as they follow the cruise line’s policies to protect guests in case of delays or issues.
Tours:
Tour bookings are subject to availability, pricing, and the specific terms and conditions of the tour operator or provider. Clients are responsible for complying with all tour operator policies, including payment schedules, cancellation terms, and participation requirements. Travels by Isabel is not responsible for delays, cancellations, changes, or other issues caused by tour operators or external factors.
Clients acknowledge that all tour recommendations are suggestions only, and Travels by Isabel cannot guarantee 100% satisfaction. Travels by Isabel is not responsible for any injury, accident, or loss sustained during any tour, destination activity, or excursion.
Luxury and Specialized Travel:
Includes tailored itineraries and exclusive arrangements. Pricing and availability may change until full payment. Additional deposits may be required. Travels by Isabel is not liable for vendor actions and strongly recommends comprehensive travel insurance.
Planning fees are non-refundable.
Cancellation policies and fees vary by supplier and booking type and are detailed in your booking confirmation.
Clients are responsible for understanding and complying with all supplier cancellation policies.
Refunds for cancellations are subject to supplier approval and processing times. If a refund is issued, it will be returned to the original form of payment in accordance with the vendor’s refund policy. Travels by Isabel is not responsible for refund delays, processing timelines, or changes to the client’s payment method after booking.
Travel Advisor is not responsible for any supplier penalties or non-refundable fees.
Client agrees not to initiate a chargeback or dispute any charges without first contacting Travels by Isabel to resolve the issue. Unwarranted chargebacks may be subject to legal and collection action.
Clients are responsible for ensuring all travelers have valid passports, visas, vaccinations, and other travel documents required by airlines and destination countries.
For domestic U.S. air travel, travelers aged 18 and over must carry a REAL ID-compliant form of identification or other TSA-accepted ID. Please check with your airline.
For international travel, all travelers—including minors—must possess a valid passport. Passports must be valid for at least six (6) months beyond the travel dates.
All traveler names provided for bookings, including flights and accommodations, must exactly match the name on the traveler’s government-issued identification or passport. Travels by Isabel is not responsible for issues arising from name discrepancies or changes after booking. Clients are responsible for carefully reviewing and approving all traveler names promptly to catch and correct any errors or misspellings before finalizing bookings.
Clients acknowledge that legal issues, outstanding warrants, or visa problems may prevent departure from or entry into the U.S. or destination country. Travels by Isabel is not responsible for travel denied due to such matters.
Travel Advisor is not responsible for denied boarding, entry, or other travel disruptions due to invalid, missing, or insufficient documentation.
Clients are responsible for reviewing all travel documents, itineraries, and confirmations upon receipt. Any discrepancies must be reported within 48 hours. Travels by Isabel is not responsible for errors not reported in a timely manner.
For flight bookings, clients must review and report any errors immediately and no later than 20 hours from the time of booking in order to allow sufficient time to process changes within the airline’s 24-hour cancellation or modification window. Because of the urgency, a phone call is also required to notify Travels by Isabel of any issues, in addition to written notice.
Most resorts, car rental agencies, private villa/luxury rental providers, and wedding or event venues require guests to present a valid credit card at check-in or check-out to cover any incidental charges or security deposits not included in your travel package—such as room service, minibar use, spa treatments, on-site expenses, fuel, damages, or overtime fees.
Please be aware that debit cards or cash are often not accepted, and a temporary hold may be placed on your credit card. This hold is managed solely by the vendor (resort, rental agency, or venue) and is beyond the control of Travels by Isabel.
It is the traveler’s responsibility to ensure that a valid credit card is available and has sufficient funds to cover these holds or charges. Travels by Isabel is not responsible for any issues, denials, or additional charges resulting from failure to meet these requirements.
If transfers (airport, hotel, or other ground transportation) are included in your booking, you agree to provide accurate flight details (arrival and departure times) within the timeframe specified by the transfer vendor. Failure to provide timely or accurate information may result in missed transfers, additional fees, or forfeiture of the transfer service, for which you will be responsible.
Clients must notify Travels by Isabel in advance of any special requests, including but not limited to dietary restrictions, accessibility needs, medical conditions, adjoining room preferences, or mobility assistance. While every effort will be made to accommodate these requests, fulfillment is not guaranteed and is subject to vendor availability and policies.
Clients are responsible for staying informed about travel advisories, health requirements, and entry restrictions issued by the U.S. Department of State, destination countries, or other government entities. Travels by Isabel is not responsible for changes to travel eligibility, entry rules, or border closures.
Some charges may appear in foreign currency based on vendor location. Clients are solely responsible for any applicable currency exchange rate differences, international banking fees, or foreign transaction charges imposed by their credit card provider or financial institution.
Travels by Isabel is not responsible for airline schedule changes, delays, cancellations, or missed connections. Clients are responsible for coordinating directly with the airline or travel insurance provider in the event of changes. Any necessary rebooking is subject to airline policies, availability, and additional charges.
Travel insurance is strongly recommended for all trips.
Travels by Isabel does not provide insurance advice or coverage and is not responsible for insurance claims.
Offering insurance options through a third-party provider by Travels by Isabel does not imply or guarantee full coverage. Clients are solely responsible for reading and understanding the scope, exclusions, and coverage limits of any policy purchased.
If a client declines the travel insurance options presented by Travels by Isabel, they may obtain coverage independently. Clients who choose to decline coverage offered through Travels by Isabel will be required to sign a Travel Insurance Declination Waiver, acknowledging that they were advised of the importance of travel protection and have elected to proceed without it.
Clients must comply with all health and safety guidelines, including those related to COVID-19 or other health risks.
Travel Advisor is not responsible for any illness, injury, or loss during travel.
Travels by Isabel acts as an intermediary between clients and suppliers and does not provide travel services directly.
Travel Advisor is not liable for acts, omissions, errors, or negligence of suppliers or third parties.
Travel Advisor’s total liability shall not exceed the amount of Planning fee paid by Client for travel services.
Clients agree to indemnify and hold harmless Travels by Isabel from any claims or damages arising from travel.
The Client agrees that no refunds, credits, or compensation will be owed by Travels by Isabel due to Force Majeure Events beyond what is recoverable from suppliers or vendors. The Client further understands that vendors’ individual policies and requirements may still apply despite the occurrence of such events.
Travels by Isabel reserves the right to retain any non-refundable planning fees for services already provided.
Client information is collected and used solely for travel planning and booking purposes.
Travels by Isabel complies with applicable data protection laws and privacy policies.
Payments and credit card information are processed securely through the host agency’s (Cruises and Tours Unlimited/Outside Agents) or vendor’s authorized payment platforms. Travels by Isabel does not directly store payment information but may access it solely for authorized travel-related payments processed via these secure third-party systems.
Digital or electronic signatures shall be deemed to have the same legal effect as original handwritten signatures.
11. Dispute Resolution, Governing Law, and Chargebacks
Any disputes arising from this Agreement will be resolved by binding arbitration in Clark County, Nevada, under the rules of the American Arbitration Association. This Agreement is governed by the laws of the State of Nevada.
Travels by Isabel is committed to assisting clients with travel arrangements, changes, and concerns; however, all bookings are subject to the terms and policies of third-party suppliers and vendors. While we will advocate on your behalf, Travels by Isabel cannot override vendor policies, including cancellation fees, change restrictions, or penalties. Clients agree to comply with all vendor rules and accept responsibility for any fees or penalties imposed.
If issues arise while at the destination, clients must inform Travels by Isabel in writing immediately so that we can attempt to assist in resolving the matter. Issues must be reported promptly and not delayed until the end of the day or the completion of the trip, as timely notification is essential for effective resolution. Clients are encouraged to attempt to resolve the issue directly with the vendor, since they are in front of the staff and could potentially reach a faster resolution. Please understand that once travel services have been rendered or utilized, vendors rarely provide full refunds or credits, per their individual policies. Such policies are determined solely by the vendors and are beyond the control of Travels by Isabel.
Clients expressly agree not to initiate chargebacks or payment disputes against any charges without first contacting Travels by Isabel to resolve the issue. Unauthorized chargebacks or disputes constitute a breach of contract and may be considered fraudulent. Proceeding with a chargeback without a genuine attempt to resolve the issue with Travels by Isabel and/or the vendor may be considered an act of defrauding Travels by Isabel and will be pursued accordingly. Clients will be liable for all related costs, including legal, arbitration, and collection fees, arising from such actions.
By proceeding with your booking or accepting travel services, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
You also confirm that you consent to electronic, telephone, and postal communication, including marketing, unless opted out.
