This Privacy Policy (“Policy”) describes how Veroa Studioz (“Studio”, “we”, “us”, or “our”) collects, uses, stores, and protects personal information relating to photographers, videographers, and creative professionals (“Photographers”) who work under the Veroa Studioz brand, whether as employees, contractors, or freelance collaborators. By engaging with Veroa Studioz, Photographers acknowledge and agree to the terms set forth in this Policy.
1. Information We Collect
1.1 Personal Identification Information
When onboarding or engaging with Veroa Studioz, we collect the following personal information:
Full legal name, preferred name, and professional alias (if applicable)
Contact details: email address, phone number, and mailing address
Government-issued identification for verification and tax purposes
Date of birth (where required by law or contract)
Emergency contact information
1.2 Professional & Portfolio Information
In connection with your role as a photographer, we collect:
Photography portfolio, sample work, and creative assets
Professional credentials, certifications, and specialisations
Equipment inventory and technical capabilities
Work history, references, and professional affiliations
Social media handles and professional website links
1.3 Financial & Tax Information
To process payments and comply with applicable tax law, we collect:
Bank account details or preferred payment method
Tax identification number (PAN, GST registration, or equivalent)
Invoicing information and payment records
Contractual fee agreements and rate cards
1.4 Assignment & Operational Data
In the course of Veroa operations, we may collect:
Booking and scheduling records, including event locations and client details
Communications exchanged via Veroa channels (email, messaging platforms)
Photographs, raw files, and edited images produced during assignments
Client feedback, performance reviews, and quality assessments
Location data relevant to shoot logistics
2. How We Use Your Information
Veroa Studioz uses Photographer information exclusively for legitimate business purposes, including:
Onboarding, contracting, and maintaining your engagement with Veroa
Assigning photography and videography projects suited to your skills and availability
Processing payments, issuing invoices, and maintaining financial records
Complying with applicable tax, employment, and regulatory obligations
Communicating project briefs, schedules, and operational updates
Promoting the Studio's services using your portfolio (subject to your prior consent)
Evaluating and improving workflow, service quality, and team collaboration
Resolving disputes, enforcing contractual obligations, or responding to legal claims
3. Sharing & Disclosure of Information
We respect your privacy and do not sell or rent your personal information. We may disclose your information only in the following circumstances:
3.1 With Clients
Your name, contact details, and professional profile may be shared with clients for the purpose of coordinating assignments. Sensitive financial information will never be disclosed to clients.
3.2 With Service Providers
We engage trusted third-party service providers (e.g., cloud storage, accounting software, scheduling tools) who process data on our behalf under strict confidentiality obligations.
3.3 Legal Obligations
We may disclose information to government authorities, regulators, or courts where required by law, a valid court order, or to protect the rights and safety of the Studio, its clients, or Photographers.
3.4 Business Transfers
In the event of a merger, acquisition, or sale of Studio assets, Photographer information may be transferred to the successor entity, subject to equivalent privacy protections.
4. Intellectual Property & Image Rights
All photographs, raw files, edited images, and creative works produced during Veroa assignments are the intellectual property of Veroa Studioz, unless explicitly agreed otherwise in a written agreement. However:
Photographers retain the right to include Veroa-produced work in their personal portfolios, subject to client confidentiality requirements.
Photographers shall not commercially reproduce, license, or sell images produced under Veroa assignments without prior written authorisation from Veroa Studioz.
5. Confidentiality Obligations
Photographers engaged with Veroa Studioz agree to maintain strict confidentiality with respect to:
Client identities, personal information, and event details
Contractual terms, pricing structures, and business strategies of the Company
Unpublished photographs and creative assets prior to official release
Internal communications, team compositions, and operational procedures
Confidentiality obligations survive the termination of any engagement with Veroa Studioz for a period of three (3) years, or as otherwise specified in your individual contract.
6. Data Retention
We retain your personal information for as long as necessary to fulfil the purposes outlined in this Policy, or as required by applicable law. Specifically:
Contractual records and financial data: 7 years from the date of last engagement
Operational communications and project files: 3 years from project completion
Portfolio and promotional materials: Until consent is withdrawn or engagement ends
Identity verification documents: As required by applicable legal obligations
Upon expiry of the retention period, your data will be securely deleted or anonymised.
7. Data Security
Veroa Studioz implements appropriate technical and organisational security measures to protect Photographer information from unauthorised access, loss, misuse, or alteration. These include:
Encrypted cloud storage for all digital files and personal data
Access controls limiting data access to authorised Veroa personnel only
Regular security audits and vulnerability assessments
Secure disposal of physical documents containing personal information
While we take all reasonable precautions, no method of electronic storage or transmission is entirely secure. In the event of a data breach affecting your information, we will notify you promptly in accordance with applicable law.
8. Your Rights
As a Photographer working with Veroa Studioz, you have the following rights with respect to your personal information:
Right to Access: Request a copy of the personal information we hold about you.
Right to Correction: Request correction of inaccurate or incomplete information.
Right to Deletion: Request deletion of your personal data, subject to legal retention obligations.
Right to Object: Object to the processing of your data for promotional or non-essential purposes.
Right to Portability: Request your data in a structured, machine-readable format.
Right to Withdraw Consent: Where processing is based on consent, withdraw it at any time without affecting prior processing.
To exercise any of these rights, please contact us using the details in Section 11. We will respond to all valid requests within 30 days.
9. Social Media & Promotional Use
Veroa Studioz may feature your name, photograph, bio, and portfolio images on its official website, social media channels, and marketing materials. Such use will only occur with your prior written consent. You may withdraw consent at any time by notifying Veroa in writing, after which your content will be removed from active promotional channels within a reasonable timeframe.
10. Policy Updates
Veroa Studioz reserves the right to update or revise this Privacy Policy at any time. Where changes are material, Photographers will be notified at least 14 days in advance via email or written notice. Continued engagement with the Studio following such notice constitutes acceptance of the revised Policy. The most current version of this Policy will always be available through Veroa management upon request.
