IT Onboarding

Supervisors/Administrators begin the onboarding process with Information Technology (IT) by requesting access to Email, Colleague UI, and other enterprise systems for newly hired employees. Please follow the process as soon as you know the employee is hired so that we have sufficient time to prepare the accounts. The Human Resources (HR) department must enter the staff record in Colleague before the accounts can be created.

To get started, complete sections 1 & 2 for new employees.

  1. STCC SYSTEM ACCESS:

Request access to IT systems, including Email, Colleague UI, Business Objects, Blackboard, ImageNow, and Zoom. This form is also used to request new access for existing employees and for position changes.

  1. COMPUTER / LAPTOP REQUEST:

When filling an existing position held by a former employee, a computer or laptop will be provided by IT. If this is a brand-new position a computer or laptop is funded by the hiring department.

REMINDER: Requests for access to the Virtual Private Network (VPN) or shared accounts in sections 3 & 4 below require the employee to completed Information Security Awareness Training. While you can request VPN access now, it will not be granted until the employee has completed the training. Registration information for KnowBe4, the Information Security Training provider, is sent to the employee during the first week of employment.



3. VPN ACCESS:

VPN access is authorized then granted to STCC employees requiring remote access to Colleague UI, network shares, and select systems not available on the public network. Not all employees require VPN access, so please be mindful of the requirements of the position, remote work conditions, security, etc. for the employee.

4. SHARED / ADDITIONAL EMAIL ACCOUNTS:

Occasionally, employees require access to shared/department email accounts, or request new email accounts for a new program or project.

Please keep in mind that it is the responsibility of the supervisor/administrator to initiate the IT onboarding process by completing the above listed forms. All requests and approvals to grant account access MUST be fully documented according to audit requirements, so these steps are important and required. Please provide two weeks for IT to process the STCC account request, since multiple systems and permissions are created to enable access across the network.
