This Privacy Policy explains how FormFit ("FormFit", "we", "us", or "our") handles information when you use the FormFit mobile application.
FormFit is designed around a simple principle: your documents should stay on your device.
FormFit allows you to select photos, signatures, JPG files, PNG files, HEIC files, and PDFs from your device.
Your files are processed entirely on your device.
FormFit does not upload your photos, signatures, documents, or PDFs to our servers for processing or storage.
Your original files are not modified by FormFit.
Processed files are saved to a user-visible location on your device when you choose to save them. You can also share processed files using your device's sharing functionality.
FormFit supports optional accounts using email and password authentication.
If you create an account, we may collect:
Email address
Authentication credentials required by our authentication provider
Account and session information necessary to maintain your signed-in state
Authentication information is handled through our managed authentication provider. FormFit does not store passwords in application logs, analytics, or ordinary local storage.
Your account is used to support features such as saved profiles and portability of your Pro entitlement across supported installations.
FormFit offers optional Pro subscriptions or purchases through the applicable app store and RevenueCat.
RevenueCat is used to manage subscription and entitlement information.
FormFit may receive information necessary to determine whether your account has an active Pro entitlement.
FormFit does not receive or store your complete payment card details.
Payments are processed through the applicable app-store payment system.
All image and PDF processing in FormFit is performed locally on your device.
This includes:
Image resizing
Image compression
Image format conversion
Image cropping
Signature processing
PDF compression
JPG-to-PDF conversion
Compliance validation
Removal of EXIF metadata from processed image outputs
Your files do not need to be uploaded to a FormFit server for these operations.
FormFit also does not maintain cloud storage for your uploaded files.
FormFit contains presets for exam and government-portal upload requirements.
Preset data may include:
Portal or examination name
Asset type
Required file format
Minimum and maximum file size
Target file size
Image dimensions
Required filename
Notification date
Last verification date
Source or notice reference
Verification status
The preset registry may be updated from a static remote data source so that outdated requirements can be corrected or updated.
If the remote preset update cannot be reached, the application continues using its bundled preset data.
Preset update requests do not upload your photos or documents.
FormFit may use analytics to understand how the application is used and to improve reliability and the user experience.
The analytics specification is designed to avoid collecting personally identifiable information, file contents, file names, email addresses, passwords, or document contents.
Examples of product events may include:
Preset selected
Processing completed
Processing failed
Sign-up prompt shown
Sign-up completed
Paywall shown
Purchase completed
Where applicable, events may include technical information such as a preset identifier, processing success or failure, error code, or processing duration.
FormFit does not intentionally send your document contents or passwords through analytics.
FormFit uses managed email-and-password authentication.
When you create or use an account, your email address and authentication information may be transmitted to the authentication provider to create and maintain your account.
Authentication sessions may be stored securely on your device using platform-backed secure storage.
FormFit does not store authentication tokens in ordinary application preferences or expose them in application logs.
If you choose to remain signed in, your session can be restored when you reopen the application, including when the device is temporarily offline.
FormFit uses RevenueCat to manage in-app purchases and subscription entitlements.
RevenueCat may process information necessary to:
Identify the applicable customer account
Process purchase-related information
Determine active entitlements
Restore purchases
Maintain subscription status
Payment transactions are completed through the relevant app store.
FormFit does not directly collect or store your full payment card number, CVV, or other complete payment-card credentials.
When you save a processed file, FormFit writes the output to a user-visible location on your device.
FormFit may also temporarily create intermediate files during processing.
Temporary files created by FormFit are intended to be removed automatically when appropriate.
Your original source file remains unchanged.
FormFit can use your device's standard sharing functionality to share a processed file with another application.
Once you choose to share a file with another application, that application's handling of the file is governed by its own privacy policy and terms.
FormFit does not control how another application handles a file after you choose to share it.
FormFit removes EXIF metadata from processed image outputs.
This is intended to prevent unnecessary metadata, such as embedded camera information, from being carried into the processed file.
We take reasonable measures to protect information handled by FormFit.
These measures include:
Secure authentication sessions
Platform-backed secure storage for applicable authentication tokens
TLS-secured communication with supported external services
No server-side storage of user-uploaded documents
No storage of passwords in application logs
No inclusion of passwords or authentication tokens in analytics
However, no electronic system or method of transmission can be guaranteed to be completely secure.
FormFit does not maintain server-side copies of your uploaded photos, signatures, or PDFs.
Files saved by you remain on your device until you or your device's operating system removes them.
If you create an account, account information may be retained for as long as your account remains active or as necessary to provide the requested services.
FormFit may store certain application data locally, such as:
Saved profiles
Local conversion quota information
Cached preset information
Cached subscription entitlement status
Authentication session information where applicable
You can remove local application data by using the application's available account/data controls or by uninstalling the application, subject to the behavior of your device and operating system.
If you create a FormFit account, you may request deletion of your account.
Account deletion is intended to remove the account associated with the authentication service and wipe applicable local application data.
If an account-deletion request must be submitted through email because the authentication provider does not support direct deletion through the application, we will use the information supplied in the request to process the deletion.
Deletion of an account does not necessarily delete information that must be retained by an app store, payment provider, RevenueCat, or another third-party service under its own legal or operational requirements.
FormFit is not specifically directed toward children.
We do not knowingly request personal information from children for the purpose of creating an account.
If you believe a child has provided personal information to FormFit without appropriate authorization, please contact us so that we can review the request.
FormFit may use third-party services necessary to provide selected functionality, including:
Authentication provider: for email/password account authentication and password reset
RevenueCat: for in-app purchase and subscription entitlement management
App stores: for application distribution and payment processing
Analytics provider: for privacy-conscious product analytics
Static hosting/CDN: for updating the FormFit preset registry and hosting applicable policy pages
These services may process limited information according to their own privacy policies and terms.
FormFit does not authorize these services to receive user documents for FormFit's image or PDF processing.
FormFit may provide presets based on requirements associated with government services, examinations, universities, or other third-party portals.
FormFit is not responsible for changes made by those organizations.
Requirements may change after a FormFit preset has been published.
Users should always check the current official notification or portal instructions before submitting a file.
FormFit does not submit applications or documents to government or examination portals on your behalf.
Some third-party service providers used by FormFit may process account, purchase, analytics, or technical information in countries other than the country in which you reside.
Where applicable, such providers are responsible for implementing their own appropriate safeguards and privacy practices.
Your uploaded photos, signatures, and PDFs are not uploaded to these services for FormFit's file-processing functionality.
We may update this Privacy Policy from time to time to reflect changes to FormFit, its services, or applicable requirements.
When we make changes, we will update the effective date shown at the top of this policy.
We encourage you to review this Privacy Policy periodically.
