All State Job Descriptions

Center Manager

  1. When you arrive for your shift check in at the office and pick up your clipboard with a schedule on it and masking tape to cover school names.
  2. Place yourself directly outside of the performance center door with a schedule of events to keep track of all “scratches” / no-shows (mark as a scratch on the schedule) and all who perform. We must have an accurate count of total scratches. You must deliver this schedule on the clipboard to the office when you are finished with your shift.
  3. Make sure the door to the center is closed and kept closed except for student performers entering and exiting. Do not allow directors to look inside to see who the judge is in your center.
  4. No one except for student performers are allowed in the room with the judge. (The only exclusion is calculators for instrumental centers and student pitch givers for vocal.) **No adults or directors are allowed inside the center except the adjudicator and the vocal designated pitch giver.
  5. The judge must not know where student performers are from. Be watchful of folders, clothing, or anything that a student may have marked with a school name. You will have masking tape to cover any marking or you must make the student leave this marked material outside the room. Do not let a judge see a schedule with school names on it.
  6. NO CELL PHONES are allowed with students in the center. You have an envelope to collect their cell phone before they go in the room. Make sure you give it back after they are done!

Remember you are the boss of your center. Know all of these do’s & don’ts.

Wind/Percussion/String Centers: you may have students appear out of order to keep the center going. But do try to stay in order if possible. Each instrument category should be finished within their time allotment to allow for recall. Students having mechanical difficulties with an instrument will be given some leniency. If you are asked to take audition cards to the office, do not let anyone see them. This information is totally confidential.

Vocal Centers: These centers must operate on time and in the order of the performance schedule. The time allotment in the warm-up room is equal to the audition time and for efficiency the order and time schedule must be maintained. If a center is running ahead of schedule, students will not be forced to audition without the appropriate warm-up. Warm-up center managers will be timing the student’s warm-up and moving them to you for the audition. If there is more than one entry waiting to audition, the warm-up center should be notified to wait until the audition center catches up. We don’t want singers warming up and then having to wait too long for their audition.

7. Keep the noise level down in your area. If you have a problem, get word to the office and we will come assist you. If you need a break or have questions, one of our student runners can assist you.

8. At the conclusion of the auditions

  • Take the schedule with all the marked scratches to the office
  • Take any music stands back to the band room
  • Take down any center signs and put them on the table in the band room
  • Check room for neatness and please straighten it up if you can


Calculators for Instrumental Centers

Instrumental rooms require a person equipped with a calculator to total the numbers on audition cards. These people need a high degree of integrity and must keep all point total information confidential. The auditor instructs you where to sit and the procedure for the room.

  1. Add the score 3 times to be sure it is done accurately.
  2. When the ballots are completed and the judge has released the cards, give the cards to the student assistant or to Mrs. Hecht or Ms. Garner-Prouty. Do not let anyone see these cards.

Instrumental Warm-Up Center Manages

  1. Pick-up a clipboard, roll of tape, & a stopwatch at the office & go to warm-up room
  2. You are to allow a student & director to go into the warm-up room 2 time slots 10 minutes for wind instruments (14 minutes for bassoons and french horns) & 30 minutes for percussion before the scheduled audition to have a 5-minute warm-up (bassoons and french horns are allowed 7 minutes and percussion are allowed 15 minutes). You can warn them that there is only 1 minute left. At the conclusion of their warm-up time you open the door and hope they get the idea to leave. If they do not vacate, then ask them to leave.
  3. Each student is only allowed to use the warm-up once.They cannot use it a second time.
  4. Coordinate with the center manager’s schedule. It does not do the performer any good to warm-up too early. Do your best to stick with the schedule. If someone elects to go early, mark them off. They do not get to go in again.
  5. Return the clipboard, tape, and stopwatch to the office at the end of your shift.

If there are problems, find Mrs. Hecht.

Remember you are representing Storm Lake so be cordial but business-like.

Dress up but be comfortable.

Runners

  • Help student assistants check on judges (donuts, coffee, pop, etc.)
  • Hang up “Recall” and “Accepted” signs in the appropriate areas in the Gyms (see map of wall for correct placement)
  • The office is NOT a hangout place. Only see what can be done and then stay out.
  • Any scores or names you see are to be kept confidential. You are NOT to tell anyone the scores or names of people recalled or accepted.
  • If you have questions or are unsure of something, ask the student assistants, one of the directors, or someone in the office.

Student Assistants

  • Assist directors before, during, and at the conclusion of All-State auditions. (Do signs, paperwork, be a courier, photocopier, very congenial host/hostess, and goodwill ambassador of the music department, school, and community.)
  • Make sure when judges arrive they fill out their payment vouchers in the office.
  • Make sure centers run correctly and efficiently. They may have to run a center for a person using the bathroom or for other absences. Do what is needed to keep things working.
  • Take care of the judges: Show them their centers, judge’s lounge, and nearest bathroom. Supply them with coffee or other refreshment and help serve them lunch in the lounge.
  • Instrumental Assistants: Pick up recall sheets and ballots and take them to the office.
  • Always be courteous, cheerful, and accommodating. You are the “big dogs” of the workers and you do have more authority. Use it, but don’t abuse it!
