MNM STUDIO LLC (“MNM STUDIO,” “we,” “us,” or “our”) is committed to your privacy. Identi Biometric Use & Admin Responsibilities Agreement (Organization / Team / Club)

Service: Identi (the “Service”)
Provider: MNM Studio LLC (“MNM,” “we,” “us”)
Organization: The team/club/program using Identi (“Organization”)
Admin User: You (“Admin,” “you”)
1. Purpose
Identi provides attendance and check-in features for sports teams, clubs, and similar organizations, including an optional Face Check-In feature that uses biometric processing.
2. Admin Authority
By creating an Organization account and enabling Face Check-In, you represent and warrant that you:
Are authorized to act on behalf of the Organization; and
Have authority to manage member enrollment and attendance processes for the Organization.
3. Your Responsibilities (Consent + Compliance)
You agree you are solely responsible for:
Obtaining legally valid consent from each member before enrolling them for Face Check-In;
Obtaining verifiable parent/legal guardian consent for any member who is a minor;
Providing members/parents the required notices about biometric processing;
Using Identi in compliance with applicable privacy, biometric, and youth protection laws.
4. Prohibited Uses
You will not:
Enroll a person without their consent (or parent/guardian consent for minors);
Enroll anyone who is not an authorized member of your Organization;
Use Face Check-In for surveillance, marketing, advertising, or unrelated profiling;
Attempt to identify individuals outside your Organization’s member list.
5. How Face Check-In Works (AWS Rekognition; No Image Storage in Identi App DB)
For enrollment and check-in, an image/video frame may be captured or uploaded.
Identi sends that image/frame to AWS Rekognition to detect and match faces.
Identi does not store face images in its application database as a default design.
Face recognition may create/use a biometric identifier (e.g., face template / FaceId) for matching within an AWS Rekognition collection (or similar mechanism).
6. Roster Accuracy & Enrollment Integrity
You are responsible for:
Maintaining an accurate roster (names, guardians for minors, status, team assignment);
Preventing incorrect enrollment (wrong person enrolled to the wrong profile);
Removing members promptly when they leave the Organization.
7. Minors and Guardian Consent
If a member is a minor, you agree to:
Obtain guardian consent before enrollment;
Keep a record of consent (date/time/method) for your compliance needs; and
Offer a non-biometric alternative when feasible (e.g., manual check-in).
8. Retention and Deletion
You agree to honor and facilitate deletion requests and roster removals.
Identi retention window:
Identi will delete the member’s biometric identifier (and related enrollment artifacts within Identi’s control) within 30 days of the earliest of:
The member leaves the Organization / is removed from the roster;
Consent is withdrawn; or
The purpose for collection is completed / the account is closed.
Note: AWS Rekognition processing may involve configuration-dependent retention for certain outputs. Identi’s deletion process will remove the member from matching workflows and delete biometric identifiers under Identi’s control according to the above schedule.
9. Security Expectations
You will:
Limit admin access to authorized staff only;
Use strong passwords and enable MFA where available;
Not share admin credentials.
10. Liability Allocation (Admin Responsibility)
To the fullest extent permitted by law:
You are responsible for obtaining valid consent and using Identi lawfully; and
You agree to defend and indemnify MNM Studio LLC from claims arising from your failure to obtain consent, wrongful enrollment, or unlawful use of Face Check-In.
11. Service Limitations / No Guarantee
Face recognition is not perfect. False matches or failures may occur. The Service is provided “as is” to the fullest extent permitted by law.

1. Why You Are Seeing This
Your Organization uses Identi to manage attendance and check-in. Face Check-In requires processing biometric information.
2. What We Collect
Depending on use, we may collect:
A) Personal Information
Member name
Team/club affiliation
Date of birth or age category (to determine if guardian consent is required)
Parent/guardian contact information (for minors)
B) Biometric Information (Face Check-In)
Facial geometry/scan information derived from an enrollment image/frame
A biometric identifier used for matching (e.g., an AWS Rekognition FaceId or face template)
3. How It Works (AWS Rekognition; No Image Storage in Identi App DB)
During enrollment/check-in, an image/frame of the face is captured or uploaded.
Identi sends it to AWS Rekognition to perform face detection and matching.
Identi does not store face images in its application database as a default design.
A biometric identifier (FaceId/template) may be created/used for matching within AWS Rekognition (or similar matching technology).
4. Purpose (Limited, Youth Sports / Club Operations)
We use biometric information only to:
Verify identity for attendance/check-in
Prevent unauthorized check-ins
Support team/club operational needs requested by your Organization
We do not use biometric data for:
Advertising or marketing
Selling or “sharing” for cross-context behavioral advertising
Unrelated profiling
5. Who Can Access It
Access is limited to:
Authorized Organization staff (coaches/admins) for roster and attendance
MNM Studio LLC personnel supporting Identi (limited, role-based)
AWS as the processing provider
Authorities if required by law
6. Retention & Deletion (30 days)
Identi retains biometric identifiers only as long as necessary for check-in.
Identi will delete the Member’s biometric identifier within 30 days of the earliest of:
The Member leaves the Organization / is removed from the roster
Consent is withdrawn
The purpose for collection is completed / account closed
7. Your Choices (Optional Alternative When Available)
You may choose not to consent to Face Check-In. When available, the Organization may allow manual check-in instead (availability depends on Organization settings).
8. Rights (Including Parents/Guardians)
You can request:
Access to the Member’s information
Deletion of biometric identifiers
Withdrawal of consent at any time
Requests: [privacy@mnm.studio] (replace if different)
Withdrawing consent stops future biometric processing and triggers deletion under the 30-day policy. Manual check-in may be used instead if available.
9. Parent/Guardian Consent for Minors (Required)
If the Member is a minor, a parent/legal guardian must consent. By consenting, you confirm you are the parent/legal guardian and have legal authority to provide permission.

Email verification link, and/or
Confirmation code sent to the parent/guardian email
