Minutes of the 62nd AGM of the York Philatelic Society

Held at the Priory Street Centre, York

On the 9th November 2010 at 7.30pm.

    1. President's Report

A successful first year of my three year tenure. How quickly it has gone with an attendance of 20 to 30 members at our meetings. On Saturday 23rd January, York hosted the meeting with the National Philatelic Society and 15 York members and 11 NPS members in attendance, with myself and Christopher Oliver in the Chair. Thanks to all who displayed (M Lewis, P Byrne, P Hyde, T Fisher and David Antill), thank you to all those who attended, it was a very successful afternoon.

4. Secretary's Report.

This calendar year again saw 3 visiting speakers. In April, John Sussex displayed “Social Philately”. In May, David Brown displayed “GB Line Engraved” and at the July meeting Brian Wilkinson displayed “Canada 1930 to date”. I hope the Society enjoyed these talks and I would like to thank all the speakers for their excellent displays. At our January and April meetings we saw some very good displays from our own members and I would like to take the opportunity of formally thanking them again for their displays.

During the year we visited Wakefield Philatelic Society, thanks to the team who presented. On the 23rd January we had a joint display event with the National Philatelic Society which went very well.

On Society membership we have seen a trickle of members joining our Society last year, which is pleasing to see.

A programme of events has been submitted to YPA for 2011. Next year sees the first year of the changed schedule with the AGM being in March and the Competition in October. Please look carefully at the new schedule and adjust your efforts to create displays for our competition accordingly.

Thanks – I would like to record my thanks to Trevor Collins for continuing to run the bourse every meeting. I would also like to thank, on behalf of the Committee, the work of Susan Kotek as auditor and Captain Philip Hyde for his work in publicising the activities of the Society which he has again done exceptionally well over the past year.

5. Treasurer's Report

Subscriptions and all incomes have gone up over the last year. In addition to annual income items there was an exceptional income from the Library sale which raised £655.75 (which closely matched the value as per the accounts last year). In total the income was £2,575.79 including the Library sale. Expenditure also rose but not substantially. The result was an excess of income over expenditure of £1642.09. Peter proposed the acceptance of the accounts, seconded by Tony Ward. The accounts were accepted unanimously.

6. Exchange Packet Secretary's Report

The packet circuit comprises of nine different routes. There were 49 boxes distributed in 2009 which generated sales of £3963 for an average of £81 per box. Trevor has secured some new vendors who are supplying him with material and we would like to thank them and the 45 members of the Packet Circuit for their support throughout the year.

7. Publicity Officer’s Report

Details of the Society's Programme for the year were sent to Gibbons Stamp Monthly, the Stamp Magazine, Coin and Stamp Mart the ABPS News, the National Philatelic Society, the Yortime Web Site, the Handy Magazine, the York and County Press, the Gazette and Herald and the Yorkshire Post. and in addition e-mails were sent to the York and County Press, Gazette and Herald and Yorkshire Post prior to the monthly meetings to enable these publications to include these details in their publications. This information was also sent to Radio York and Minster F.M.

Details of the York Philatelic Website were also passed to the above. My contact details were also passed on to enable contact to be made by anyone unabel to contact our website. Details of the location and frequency of our meetings was also passed on.

Details and photographs of our meetings with the National Philatelic Society and visitors from Munster were passed on to the A.B.P.S., the National Philatelic Society and the other stamp magazines. Response was rather mixed from all the people contacted. I am pleased to say the York and County Press did a little better after I complained about their lack of service.

The 2010 Programme cards were passed to various stamp dealers, shops and stamp fairs along with membership application forms. Suggest for the future we include a section on the application forms asking prospective members how they heard of the Society and how they made contact.

8. Librarian’s Report

The Library has been sold off over the past year because storage space was withdrawn. The majority of the library has been sold off and a sum of £655.75 has been raised for Society funds, many of the books being sold to Society members. This is the last year a report will be made to the AGM.

9. Y.P.A. Report

In the past year YPA supported the “Festival of Stamps 2010” with standing displays at the annual convention. These displays featured the 1840 issues, the 1890 celebrations and the 1990 issues.

The Management Committee agreed the new Competition rules and these were put forward and accepted at the Annual General Meeting of YPA. Each club secretary and YPA representative now has a CD of these rules together with helpful guidelines for competition entries. Appropriate copies can be printed for members if requested.

At the AGM your representative stood down as Chairman, being succeeded by the outgoing President David Brown, who in turn was succeeded by James Hartley of Sheffield. Richard Wheatley was elected as the new Vice-president.

The Annual Convention was hosted by Leeds Philatelic Society at Pudsey this year and appeared to be well supported by most affiliated Societies.

Management Committee have been informed of a very large increase in rent for the usual Annual Convention venue and, consequently, the AGM in 2011 will be held during the ABPS National Philatelic Exhibition at Sheffield in May 2010. In the meantime, a new venue at a reasonable cost has to be found for 2012. Any suggestions of a suitable venue will be welcomed. The Committee are loath to increase Society subscriptions unless absolutely necessary.

10. Election of Officers

Proposal to disband the position of Hon. Librarian was made by Peter Byrne seconded by Tony Ward and accepted unanimously.

Peter Byrne proposed that the existing Committee remains in post until the next AGM which is in only a few months time. Seconded by Tony Ward, the proposal was carried unanimously. For the meeting records the committee remains as:

11. 2011 Events Programme

Events programme for 2011 was tabled.

12. YPS Safeguarding Children Policy

Tony Ward proposed the introduction of a Safeguarding Children and Young People's Policy. The proposed policy was read out and those present were asked if they had any comments. No comments were made. Peter Byrne seconded it and was carried unanimously. There were no opposers or abstentions.

14. Other Business

Trevor Collins raised the matter of concertenering of exchange packet boxes as they go round the circuit. He requested those who received a large batch pass them on in pairs separated by a few days.

Keith raised a question of a Society competition that feeds into next year's YPA Competition. The Society has agreed to review prospective YPA competition entries so they meet the requirement of being approved by the YPS.

Keith asked whether copies of the AGM minutes could be made available earlier than at the following year. Action Hon. Sec. Agreed to publish the minutes on the web and to bring along a printed copy to a future meeting.

Mike asked asked if the responsible Society Officer could report on the actual number of members in the Society. Action Hon. Treasurer

There were no other items of business. The President closed the meeting at 8.15pm.
