Leave Procedures
Teachers earn ten sick days during a year. They may use five of these days for personal reasons. By regulation, if more than five days of personal leave are used they will be charged as leave without pay. If you are out sick more than five days in a row, Sedgwick must be notified (see below). Regulations preclude a staff member from having another employee “cover” for an absence without notifying the principal or subject area assistant principal except in emergencies. Personal leave needs pre-approval from your administrator.
Administrative Leave
Adminstrative leave requests must be accompanied by this form: https://hub.fcps.edu/organizations/document-management/official-fcps-forms/administrative-leave-request
Personal Leave during a "Blackout Date" Request form:
If you are requesting pre-approved Personal Leave during any of the "blackout dates" please complete this form. Approvals will be given to the first 10 requests for any given date. Complete a form for each request.
MyTime
All leave doctor appointments included, must be entered into the MyTime system. MyTime is the FCPS time and attendance reporting system that allows all employees and supervisors the capability to enter and take action on employee leave and time worked information. For more information on My time please go to: https://hub.fcps.edu/organizations/time-and-attendance-mytime
Emergency Coverage
In the event that a substitute is not secured by a colleague, faculty and staff will be expected to support emergency coverage. The goal will be to ensure fairness and equity in emergency coverage situations. Department Chairs are in charge of arranging coverage with support from administrators. All instructional faculty are to complete at least one emergency lesson plan for all assigned teaching preps and to leave plans in a place accessible to chairs and administrators. If an emergency plan is used, the teacher is responsible for replacing the used emergency plan with a new plan immediately upon his/her return.
Holiday Leave
Finding a substitute teacher before and after a holiday, on Mondays, and on Fridays can be difficult. In order to ensure that instruction continues in your absence, please remember the following:
After receiving approval from your administrator, acquire your own substitute, and email your Administrator and Department Chair the name of the person and the job number.
Immediately after receiving your administrator's approval, submit your leave through MyTime.
Same-Day Leave
If you call in a substitute teacher on the same day of an absence, please email and call your department administrative assistant.

This e-mail should be copied to Lori DeSantes Waldick at lldesanteswa@fcps.edu, and your department chair to assist in obtaining coverage when necessary. This will ensure that the AAs /Department Chairs can make emergency provisions the morning of the leave request. Generally, same-day leave requests cannot be filled and will have to be picked up by colleagues using the rotation schedule.
Checking Out and In
If you need to leave the building for a half hour or less and your absence does not impact instruction, please alert Department Chair and the Administrative Assistant of your Department Administrator. It would also be helpful to let your Department Chair know that you are leaving the building
For absences that will last for more than 30 minutes, please go to MyTime and sign out for the hours missed. You should also check with an Administrator before leaving, especially if it is during instructional time.
