Purpose:

To define the procedures and instructions for the 3M Personal Computer Club – Recording Secretary


Definitions:

3M Club – 3M organization that manages a variety of individual sports and activity organizations

PCC - Personal Computer Club


Scope:

This document covers the process used to manage the Recording Secretary duties of the 3M Personal Computer Club.


Process:

The 3M PC Club Recording Secretary produces and publishes a written “minutes” account of decisions and important comments that occur during the meetings of the 3M PC Club officers’ meetings.


Procedures:

    • Take written notes during officer meetings

    • Transcribe written notes into a MS-Word document

    • Scan the MS-Word document for spelling and grammatical errors

    • Correct any detected errors

    • Save the document; creating minutes of the officer meeting

    • Attach the minutes to an email document

    • Email the minutes to all of the Officers


Roles and Responsibilities:

    • The Recording Secretary is responsible for attending and taking monthly board meetings minutes. 1 hour a month

    • The Recording Secretary is responsible for sending out the minutes within a week after the board meeting. 1 hour a month.
