Job Description  
Assistant Director-Administration 
 
GENERAL FUNCTION:  
The Assistant Director serves under the direction of the Executive Director and the 
Associate Director and provides overall management assistance and program support for 
BYA's multiple programs. This position requires that the person be able to handle some 
ambiguity at times, that the person share in the values of the organization, and that the 
person believes in the ability of youth and families to change their lives with wrap-around 
support. The person in this position must be able to absorb lots of information from 
multiple departments and multiple people and to be able to make good decisions with the 
information. He/She must be adaptable, analytical, and able to relate to multiple people 
from various backgrounds and cultures. Finally, this position requires a person of high 
integrity and a person willing to take on a lot of responsibility on behalf of the 
organization. 
 
RESPONSIBILITIES:  
Administration 
a.Supervises the Administration Manager in his/her duties. 
 
BYA Youth and Family Opportunity Hub  
a.Handles logistics for meetings 
b.Facilitates meetings of the staff affiliated with this project 
c.Ensures that the workplan is being implemented 
d.Works with the Data Manager and with the Evaluation team from the Alameda 
County Public Health Department with the goal of producing user-friendly, 
learner-centered data 
e.Ensures that youth and parent stipends are issued 
f.Supervises MATCH Mentoring Coordinator 
g.Assists with the supervision of the Family Support Coordinator 
h.Ensures that surveys and questionnaires are distributed on a timely basis 
i.Convenes monthly to bi-monthly meetings of stakeholders 
j.Helps with fund development to sustain the Youth and Family Opportunity Hub 
 
Invoices 
a.Takes the lead role in tracking invoices and contacting government and other 
entities for payment for BYA services rendered 
b.Maintains regular contact with the main payors of BYA contracts and grants 
c.Ensures that reports and necessary documentation from BYA staff and 
programs/departments are completed in a timely manner 
 
Community Relations 
a.Represents the organization as well as the Executive Director and Associate 
Director at events and meetings in the community 
b.Serves as a coordinator for BYA Special Events such as Annual Crab Feed and 
Day at the Races 
 
 
Payroll Administration 
a.Serves as a backup for Payroll administration 
 
Insurance 
a.Updates BYA's insurance policies in a timely manner.  
 
Rental Agreements 
a.Negotiates the rental agreements for BYA spaces.  
 
Performs other duties as necessary or as requested by your Supervisor.

EDUCATION/REQUIREMENTS:  
 
1.Master in Public Administration (MPA), Master in Public Health (MPH) with 
concentration in Management, or Master in Social Work (MSW) degree required.  
2.Five to 7 years of significant non-profit experience, preferably in a youth 
development organization.  
3.Must be able to work independently and to resolve problems in a fast-paced 
environment.  
4.Must have excellent organizational, leadership, and coordination abilities.  
5.Should have excellent interpersonal and communications skills.  
6.Should enjoy working with people from diverse ethnic and socio-economic 
backgrounds. 
  
COMPUTER REQUIREMENTS:  
Proficiency with Microsoft Office Software, including Word, Excel.  
 
OTHER REQUIREMENTS:  
1.Valid California Driver's License or State Identification 
2.Proof of ability to work in the US 
3.Fingerprinting and Criminal Background Check through LiveScan  
4.Transcripts of most advanced degree program 
5.Submit one recent writing sample 5-7 pages maximum 
 
LOCATION: 1255 Allston Way, Berkeley, CA.  
 
HOURS: 20 hours per week. This is an Exempt position. Candidates should be willing 
to work a flexible schedule to accomplish multiple tasks for the organization. 
 
COMPENSATION: Commensurate with Budget, Education, and Experience 
BYA is an Employment At-Will Employer.
