Sullivan County Youth Soccer needs more help in order to continue to provide soccer for the children of our community.

Bills for fertilizer and mowing were paid upon presentation of invoices.  Election of officers was held and modification of by-laws was discussed.  Modifications included splitting the secretary/registrar duties, but combining the secretary/treasurer postitions due to changes increased expectations of the registrar since the Indiana Youth Soccer began utilizing the GotSoccer computer program as an upgrade to their previous system.  Another change included allowing individuals who are not parents of current players to serve on the SCYSA board.  Anyone truly interested in supporting the club should not be discouraged as many of our parents are only beginning to learn the game.  The Google Voice number will now forward to all of the board members; each member will be able to access the voicemail system, accept calls, receive email notification and text messages.  Secretary/Treasurer will need to obtain a new signature card to reflect the changes with the addition of new board members.
Field improvements were also discussed including adding the signs for field sponsorships and the need to aerate the fields twice a year.  Field will be shifted toward the northern end of the property to allow the southern fields an opportunity for recovery.

January 2010 Meeting

Unfortunately, there were not enough members present to hold an election of officers.  Current officers are as follows:
    Vice President: Devona Ming
    Secretary/Registrar: Perry Thomas (not present)
    Treasurer/Webmaster: Amy Clouse
    Fields:  Tom Lahay
    Also present:  Katie Akers & Mike Smith
Approved field maintenance agreement, which has been post on the website
  • Fields needed fertilized in the Fall & Spring
Bills paid
  • Duke Energy
  • Reimbursed Louis Glascock for costs incurred from the referee recertification clinic
  • A-1 Sanitation

Received our non-profit tax-exempt status from the state of Indiana

Travel Registration Fees have been forwarded for bookkeeping to Perry- Need to check on deposit

April 10 will be the first weekend for Spring Recrational soccer with an 8 game season

  • February  13 first registration day
  • Discussion: schedule games for primarily Sunday afternoons

Add all board members to Google phone & email on website

Trash & Concessions options are still being considered

  • Katie Akers volunteered to manage the concession stand
  •  Will need to obtain club sam’s card

December Board Meeting Discussions

Current Business:

  • Board elections have been set for the January 12th meeting in order to reorganize and fill vacant offices.
  • Notice will be placed in the Sullivan Daily Times for field maintenance bids
  • Equipment purchases will be investigated to replace goals and nets for the U16 field as well as for balls, cones, etc.
  • Sunrise Coal sign needs to be erected as per sponsorship agreement
  • Repair of the gate in order to lock the fields is a priority as vehicles damage the fields
  • Tom Lahay expressed interest in organizing field maintenance
  • Amy Clouse agreed to continue maintaining the website and serve as Travel Coordinator
  • Devonna Ming offered to serve as board liason for the U16 travel team
  • Splitting the position of secretary and registrar with modification of the by-laws will be discussed prior to the election in January
  • There was an insufficient number of boys to form a travel team at either the U12 or U14 level. 

Looking Ahead:

  • SCYSA will have two travel soccer teams this spring: U16 ISL boys team coached by Shawn Shamsaie and Arnold Kump as well as the U12 girls team coached by Perry Thomas
  • Darrin Greggs agreed to look into other options for concessions that would relieve the board members of that responsibility. This will be revisited.
  • The fields are in need of aeration, reseeding, and fertilization.  At this time we can rotate the location of the fields to allow for appropriate rest time.  This will be more difficult as the program continues to grow.
  • Spring recreation organization will begin in January
