 Role Description:

Help to oversee the Accounting staff and the functions of the department in assistance to the Controller.  This position will act as the lead person on the accounting staff, as well as assume some critical daily functions of the Controller in his absence.  This person must be able to critically analyze data for cost effectiveness and evaluate processes to insure the most efficient use of time and capital. 

 Essential Duties and Responsibilities:

q  Receive and process internal Purchase Order Receipts and vendor invoices related to inventory items

q  Match all invoices to receivers and facilitate necessary corrections from purchasers

q  Monitor and control outstanding invoices and receipts

q  Process invoices to be paid, once invoiced amount matches PO, work with Controller to assign proper G/L codes

q  Make sure that all inventory invoices have internal purchase order, no PO – no payment

q  Contact vendors when necessary to resolve payment issues

q  Assist with payroll processing, perform payroll in Controller’s absence

q  Aid customers and GLC staff with account questions, issues or payments

q  Handle phone call overflow

q  Process approvals for “credit holds”

q  Backup Controller by performing certain daily functions when Controller is out

q  Leadership role with other Accounting staff positions, aid Controller with evaluation, motivation  and delegation

q  Receive and process payments to customer accounts (A/R)

q  Collect payments on overdue customer accounts

q  Obtain and monitor aging reports of customer accounts receivable

q  Add new customer accounts and new job accounts

q  Obtain credit worthiness information online for applications for new customer accounts

q  Other responsibilities and tasks as requested by management including filling in temporarily for other accounting/admin staff when they are absent

 

Skills Needed:

q  One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience

q  Ability to read and interpret general business periodicals, detailed spreadsheet information or professional journals. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of customers and management

q  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and taxes.  Ability to apply concepts of basic algebra and geometry

q  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations

q  Ability to work in Excel a plus
