Duty Roster

Beginning January 2010 we have implemented a monthly duty roster where each scout family will be assigned a task for that month of meetings.  The duties will rotate monthly and as new scouts join, those families may be added into the cycle.  If any new duties are required they will be added into the roster as well.  In addition, since there are families with more than one boy in our pack we will combine the scouts monthly duties whenever we can.

If you are assigned a duty and you can not make the meeting then you must contact the Cubmaster within 24hrs and you must make alternate arrangements by swapping duties with another family and letting the Cubmaster know.  If you fail to attend a meeting where you have an assigned duty and it is not covered, then it will not be done.  Smart & Final is right up the street so you can always grab snacks on your way to the meeting or shortly after it started if cleared by the Cubmaster.

The Cubmaster usually arrives at the LGI by 6:10pm and all Den Leaders arrive by 6:20pm.  Please review the full job descriptions below this schedule and if you have any questions or comments, please contact the Cubmaster any time.

SNACK TEAM: 
Provide a light snack and drink for each cub scout and den leader after the den and pack meetings, plan on providing snacks for each scout and den leaders, and your cubmaster too.  Setup the snack table in the kitchen area and be prepared to serve the scouts.  Pack meetings may require a little more since additional family members or guests are usually in attendance.   Because of the late snack time, we do not want to over stimulate our scouts on sugar or caffeine so snacks should be a healthy snack like; cheese and crackers, trail mix*, check mix or homemade baked goodies verses store bought cookies, snack cakes or candy.  Drinks should be low/sugar free and caffeine free  like Crystal-lite or Cool-Aid or Sunny-D or Capri-Sun, no soda’s please.  Cups and paper towels will be provided by the pack unless your snack requires utensils, like cake, jello, pudding, etc.  There is a refrigerator and sink available.  Setup snacks on table in kitchen area on tile floor between 7:30pm to 7:45pm.

Snack Etiquitte:  Snacks are for scouts, potential scouts, special guest.   Parents, siblings and additional family should refrain from eating snacks until everyone else has had a snack (don't forget your Cubmaster)  NO SECONDS are allowed unless approved, please.

PEANUT-NUT ALLERGY ALERT
*As of 6/2018 there  ARE scouts with a nut allergies, please refrain from use of nuts and try to mark any items containing nuts.  We understand that many items are made with nut oils or a facility that may have nut oils and we cannot control that and for this reason it is the parents responsibility to monitor your child's food/snack intake.


SETUP TEAM:
The Cubmaster will usually open the LGI by 6:10pm.  The setup team should arrive no later the 6:15 to begin setting up tables, chairs, sign-in station, podium and flags so that they are all in place before the members arrive.  Den and pack meetings will require a different floor plan of tables and chairs.  See the Cubmaster for floor plan layout.  Also assist Cubmaster with unloading vehicle.

BREAKDOWN TEAM:
Is responsible for collapsing all tables* and placing them on the storage carts and roll them back into the storage container, if required.  Placing chairs back on carts and them back into the storage container, if required.  Put podium and tables back.   Put away the sign in station, flags and podium. Assist with taking down any additional equipment or decorations.  Assist Cubmaster with loading items into vehicle.

*Tables should not be broken down until the cleanup team wipes each table.

CLEANUP TEAM:
Wipe down all folding tables first so that break down team can put them away.  Wipe down kitchen counter, sink and floor.   Make sure that anything placed in the refrigerators has been removed.  Dry mop or sweep the LGI floor.  Dump the garbage can contents in dumpster located outside the LGI.  Check both outside bathrooms and report any messes to the Cubmaster, close bathroom doors and confirm they are locked, the lights are motion sensitive and will shut off automatically.  

Sign-In Sheet & Dues Roster (staffed by the Webelos Den)
The scout assigned to this monthly duty must arrive to each meeting no later then 6:15pm.  The scout is responsible for getting the sign in sheet and dues jar out the cabinet and setting it up on the entry table.  The scout must stand or sit behind the table and greet each scout upon arrival and make sure that each scout signs in and pays his dues or mark IOU if he forgot his dues.  At the end of the meeting, during snack time this scout must "balance" the dues ledger by verifying that the balance in the dues jar matches the headcount of each signed in scout.  If there is a shortage or overage or IOU's listed it must be recorded in the ledger.  The scout must make sure that any IOU's listed by a scout from the previous meeting are paid.  Once the ledger is completed, the scout must report the findings and turn the dues money over to the Cubmaster.
