Accessing ETO Results


Go to the Navigation Bar and click Reports, then View Reports.  Click the Create Report button at the top of the page.  If View Reports is not on the Navigation Bar, go to the Manage Site Navigation feature below Site Administration to add the feature.  Note that you must be an ETO 

Creating Custom Universes

As of June 20, 2014, Enterprise Managers are able to create their own custom universes when reporting on data otherwise found in the enterprise specific "flattened" universes (see the first two in the list below). This feature is available on the Navigation Bar > Reports > Manage Report Universes.  Alternately, as seen below, it is a button available on the View Reports page.  A video tutorial can be found for this feature on our Training Library. 

Understanding Universe Options

A Universe in ETO is a specific dataset.  In addition to the custom universes mentioned above, Social Solutions has built Standard Universes as well as enterprise specific universes.  These universes organize data in various ways to make data reporting more efficient.   Below is a list of the most commonly used universes. 
 
Enterprise-specific Universes employing "flattened" data elements
 
  • etoXXX Participant Universe: Participant data specific to your enterprise; this is the universe users will use most often when reporting on Legacy features (Points of Service and Assessments)>
  • etoXXX TouchPoint Universe: This includes the flattened TouchPoint folder and collections. This universe includes data for both participants and entity TouchPoints. 
 
Best practice is to build a custom universe and include only the specific features and TouchPoint forms indicated for a narrow scope of reporting needs.
 
Standard Universes containing generic "key-pair value" data; no enterprise-specific objects are included.
  • Standard Approvals Universe: Allows you to access data on approval requests and approval forms.
  • Standard Collections Universe New: Allows you to access collection data.
  • Standard Enrollment Universe: Allows you to access enrollment data. You should use this universe if you are creating a new enrollment report or are editing an existing one.
  • Standard Entity Universe: Includes all entity data
  • Standard Family Universe: Includes all family data. Family ID is the center of the universe.
  • Standard Participant Universe: Includes all participant data
  • Standard Programs Universe: Includes all general efforts and assessments, as these data elements are associate with the program overall.  Not helpful to the typical user.
  • Standard Reference Universe: Includes all data points in ETO, but no data.  It is for SSI use in creating Standard Reports.
  • Standard Schedule Universe: Contains all data recorded in the Scheduling feature. 
  • Standard Staff Universe: Allows you to access staff data. Use to create a new staff report or editing an existing one.
  • Standard Survey Universe: Contains all survey data.
  • Standard TouchPoint Universe NEW: Includes all TouchPoint data.  Useful when needed to aggregate information across multiple TouchPoint forms or responses.  Contains the value for pseudonym among other useful objects. Contains filters for release of information and TouchPoint enrollment filtering. This universe refreshes on the quarter hour.
  • Query Wizard Universes: Ad-hoc universes created with the Query Wizard and “shared”
  • Standard Enrollment Universe: Enrollment ID is the center of the universe.
  • etoXXX Participant Universe 3.1: This is a copy of your universe that is frozen in time. All of the data will be current, you just won’t have new demographics and TouchPoints
  • Standard Collections Universe: Includes all collection data. This universe is not recommended for use. In this universe the query is hardcoded. This is primarily for our standard reports.
  • Standard Workflow Universe: Includes workflow versioning, workflow history, checkpoint history, workflow enrollment information, checkpoints, and checkpoint options.

Responding to Prompts

 

Depending on the settings on your computer, you may see these prompts.  On the first prompt, click Run.  On the second prompt, click No.  If you accidentally click Yes, reports cannot be run.  Close out of ETO Results and go back to your ETO Software and click on View Reports on the Navigation Bar and click the Create Report button to launch ETO Results again.

Query Limitations for ETO Results
 
In order to maintain optimal speed and performance in ETO Results reporting, report writers should strive to use the minimum number of queries necessary to create their reports.  Users will find that the more queries included in a report, the slower the report will tend to load when launched, and the slower the report will return data as it takes more time for each query to execute. The platform ETO Results is built on (Business Objects WebIntelligence, or WebI) does not officially support reports with large numbers of queries due to potential performance limitations. We recommend using no more than 10 queries in a single report, and are unable to provide support for reports that exceed 15 queries. Reports with more queries than the supported number may return errors, including HTTP 500 errors and "SQL Not Ready". Users who experience this type of error should attempt to revise their reports to have fewer queries.
