Registration is OPEN!

The conference will run from Thursday, July 13th to Monday, July 17th, inclusive. For those attending the main conference only, plan to fly into Cuba on Wednesday, 12 July to transfer to Topes (however, if you have a late arrival time in Havana, you may need to fly in Tuesday, 11 July and ride the bus to Topes the next day). Note that there are a number of pre- and post-conference workshops and field trips, so you might adjust your schedule to attend one or more of these, or arrive early or stay on in Cuba for a holiday with your friends or family!

The BirdsCaribbean Conference Online Registration Form must be completed by all participants who are not Cubans.  When you register for the conference, you will also be reserving your hotel room and meals. Please note that the Early Bird Deadline (May 21) may be adjusted to the timing of abstract acceptance and travel award notifications.

Registration Fee INCLUDES:
  • Attendance at all sessions and workshops during the main conference
  • Conference bag, program and other materials
  • Welcome reception/dinner and coffee breaks
  • Mid-conference field trip (or lunch at the hotel if opting out of the field trip)
  • Banquet on 17 July, including dinner and meeting-end festivities (including presentation of awards, cultural event, music and dancing) 
  • A "carbon tax" of $10/person to be contributed to the Sociedad Cubana de Zoologia for projects that mitigate negative climate change effects.
Companions of meeting registrants must register and have a badge to attend any conference activity. Companion registration fee includes attendance at the welcome reception/dinner, plenary talks and poster sessions, coffee breaks, mid-conference field trip and closing banquet. Companions/guests will not receive a program or conference packet. 

Adult companions who do not wish to register (and any children) will be considered traveling to Topes de Collantes independently of the BirdsCaribbean conference, and will need to work with the management agency to mesh arrangements (please see below).

Other Costs:
  • Pre- and post-conference field trips are available at exceptionally low cost (special deal for conference delegates only. Please check the field trip pages for information on the amazing trip options we have organized for you.
  • Round-trip bus transportation between one of the 3 airports and Topes de Collantes (Havana - $75, Santa Clara and Cienfuegos - $40).  If only one-way is needed, then the price is halved.

Lodging and Meal Plan:

The conference is taking place in the Topes de Collantes Touristic Complex, managed by Gaviota Tours (Cuban government tour company).  There are no other options for lodging or meals within a reasonable distance.  When you register for the conference, you will also be reserving your hotel room and meals.

The price for a shared room (double occupancy) and 3 meals per day in one of the two Topes de Collantes Hotels is $85/person/day. The price is $95/person/day for a single room.

The expected stay for conference attendees is from the afternoon/evening of July 12 through breakfast on July 18 (6 nights). The total per person cost for room and board in a shared room for these 6 nights is $510; the per person price for a single room is $570. Additional days are possible at the same rates above for those arriving early or staying late to attend a workshop or meeting.

Hotels will be assigned according to preference to the degree possible, but participants are encouraged to be flexible. ALL rooms have air-conditioning, telephone and satellite TV.  Wi-fi internet is available at the Topes de Collantes facilities; however coverage is limited, service may be a bit slow, and there is a cost of ~US$2.5 per hour.  This situation may be improved by July. 

Attendees should contact Gaviota (see contact information below) for special requests, including arrangements for companions or family members who are not registered for the conference, extra beds for small children, for vacation stays before or after the conference dates, and/or if you would like to arrange a package excursion to some other areas of Cuba (costs to be paid directly to Gaviota in Cuban currency (CUCs). The Park offers many activities besides birding to increase enjoyment of its natural resources, including hiking on numerous nature trails, caving, horseback-riding, visiting waterfalls, swimming, and organized camping. Activities like these will be available for delegates, companions and children. They can be reserved at the front desk once you arrive at Topes.

Cancellation and Refund Policy: 

If you need to cancel or change your plans, please notify us as soon as possible via A full refund of fees paid to BirdsCaribbean will be provided for all cancellations less an administration fee, according to the following schedule: Cancel before or by June 1, 2017 - $50 admin fee. Cancellations up to July 1, 2017 - $100 admin fee. Cancellations up to 9 July, 2017 - $150 admin fee. No refunds will be possible after this date.
