Committee Projects 2016-2018

Business Partners
Purpose:
        To solicit donations from community businesses for BBEF.
Duties:
  • Solicit donations from Businesses for approved projects
  • Advertise businesses who donate
  • Coordinate w/Auction Committee
  • Issue thank you letters to all businesses who donated

Community Service
Purpose:
To inform the membership of volunteer opportunities in the community and to involve the membership in donating needed items for local charities such as Caring Closet, Good Neighbor Center, holiday giving projects.
Duties:
  • Choose committee members to liaise with the organizations we assist: Tigard Caring Closet, Tigard Good Neighbor Center, and Holiday Giving Project.
  • Publicize the needs of each project through the Chapter newsletter.
  • Explore and publicize volunteer opportunities for Chapter members with these organizations.

Educational Excellence
Purpose:
To research and communicate current issues that impact education and to promote excellence in education.
Duties:
  • Report regularly on current issues that impact education.
  • Encourage members to participate on boards, commissions & in local decision making by reporting on opportunities in the community.
  • Implement ways to recognize members who contribute to the community and who serve on boards and commissions.
  • Take a role in publicizing our Society in the local media
  • Promote Supporting Early-career Educators (SEE).
  • Administer Beta Beta Education Foundation approved application process and request funding from the Foundation for the High School Mini-Grants
  • Plan and conduct the October program.

Fall Auctions
Purpose:
To organize a Fall Auction each year to raise funds for BBEF
Duties:
  • Publicize the auctions asking members to attend and to invite friends.
  • Put reminders in the Chapter newsletter to bring small items for the silent auction and larger items for the oral auction.
  • Secure an auctioneer. 
  • Administer Beta Beta Education Foundation approved process including issuing receipts for donors.

Financial Awards
Purpose:
To provide information to members about Society scholarships and to manage the Chapter’s Margaret Nielsen Memorial Financial Awards.
Duties:
  • Report current Alpha Rho State and International scholarship information to members.
  • Send information about our Financial Award awards to area colleges and universities.
  • Collect the applications for Financial Award awards and select recipients.
  • Administer Beta Beta Education Foundation approved application process and request funding from the Foundation for the Financial Award recipients.
  • Plan and conduct the January program.

History
Purpose:
            To maintain a record of and celebrate the history of our Society and Chapter.
Duties:
  • Document organization activities and membership each biennium.
  • Take pictures of members and events.
  • Keep a digital history of this biennium.
  • Collect copies of articles published by or about our members and Chapter.
  • Report significant events in members’ lives.
  • Maintain the member Bio Books.
  • Plan and conduct the program in February which celebrates our Society’s birthday, each even year.
  • Digital history ie: Banter, DVD, Slide Shows, etc

Literacy

Purpose:
            To promote literacy among our members, in our schools, and in our community.
Duties:
  • Inform members of State and International programs in literacy.
  • Collect and distribute children’s books to the community.
  • Administer Beta Beta Education Foundation approved application process and request funding from the Foundation for the Dictionary Project, Battle of the Books, and maintenance of Free Little Libraries.
  • Plan and conduct the April program.

Membership
Purpose:  
To retain current members and to facilitate the recommendation, orientation, election and initiation of qualified new members.
Duties:
  • Oversee new member selection process.
  • Organize and conduct a new member orientation reception.
  • Organize and conduct the new member initiation ceremony in April.
  • Send or take a rose when a member is hospitalized.
  • Maintain contact with members who are unable to attend meetings.
  • Follow up with members who change status and notify the Executive Board.
  • Plan and conduct Chapter memorial for deceased members. Send rose to family.
  • Help new members and transfers transition into the Chapter. Match a new member or transfer with an established member.
  • Recognize members who have 25 years or 50 years of Membership.
  • Establish a phone tree for emergencies 
  • Facilitate nomination of members for Alpha State Awards

Music and Art
Purpose:
            To promote music and art among our members, in our schools, and in our community
Duties:
  • Announce current arts opportunities.
  • Administer Beta Beta Education Foundation approved application process and request funding from the Foundation for the Music & Art grants to Elementary Schools
  • Plan entertainment and program for December.

Spring Tea Fundraiser
Purpose:
            To organize a spring fundraiser to raise funds for BBEF.
Duties:
  • Plan the tea during odd years and the alternate fundraiser for the even years.
  • Choose the tea date. Reserve/confirm the date and venue.
  • Prepare a list of chores for the Chapter members to help with this important project. Sign up in the spring meetings.
  • Encourage members to sell tickets to friends for the Spring Tea.
  • Administer Beta Beta Education Foundation approved process including issuing receipts for donors.

Summer Garage Sale
Purpose:
            To organize a summer garage sale each year to raise funds for BBEF
Duties:
  • Choose the date in July or August for the sale. Reserve the date at Tigard High School.
  • Put reminders in the Chapter newsletter to save items for the sale.
  • Prepare a list of chores for the Chapter members to help with this important project.
  • Sign up in the spring meetings.
  • Arrange for money collection with the treasurer.
  • Administer Beta Beta Education Foundation approved process including issuing receipts for donors.

Website
Purpose:
            To develop and maintain a Chapter web site.
Duties:
  • Ensure website is maintained and current.
  • Organize website for public viewing.
  • Work with committees for publicity pictures and articles to upload.
  • Include link to DKG

Separate Committees

The Finance Committee and the Nominations Committee are treated in a separate manner from the rest of the committees, as their tasks are very specific and time limited. Additional committees may be appointed for a short term assignment of duties.


Auditing Committee:  appointed
Purpose: Perform year-end audit

Purpose: to nominate a slate of candidates for election to office
