Bucket Brigade Volunteer Instructions Red Bucket Follies 2019 (updated 10-3-19)


Please do not share these instructions or videos. They are for your eyes only as a volunteer of Broadway Cares. Should you find there are changes that need to be made to these instructions, please email Trisha with details at doss@broadwaycares.org.

The money you're raising allows Broadway Cares/Equity Fights AIDS to help provide lifesaving medication, nutritious meals, counseling and emergency financial assistance to those who need them most. We fund the social service programs of The Actors Fund and award grants to AIDS and family service organizations in all 50 states.

As of spring 2019, there are new card readers to use with the iPads. They are a combination chip-enabled and magnetic stripe-enabled card reader. Simply plug the readers into the iPad’s earphone jack until you hear a “click.” You’ll see a status bar across the top of the screen in Square that will tell you when the card reader is connected (orange for “Not Ready” and black for “Ready”). The front slot is for chip-enabled cards to be inserted (card facing towards you and aligned with the guide on the left side of the slot), and the back slot is for magnetic stripe cards to be swiped (card facing towards you). 

For credit card transactions please ask donors to input their email address for donations $250 - $999 for their receipt. If the donor is from a foreign country and declines to give it to you, that's fine. For transactions over $1,000 please either have them fill out one of the provided forms (if there are forms) OR send the buyer's name, address and email to Ngoc Bui at bui@broadwaycares.org

Checks should be made payable to “Broadway Cares.” All merchandise prices are subject to change.

For people who would like a cash receipt, the preferred option is for them to fill out the paperwork we have on hand for donations over $1,000 (formerly $250). Use this for all cash donation amounts.

Commonly used phrases when holding a bucket: “Help support Broadway Cares/Equity Fights AIDS” and “Every dollar makes a difference.” Remember to smile and wear your volunteer button. Be vocal so the audience knows where to put their money.

These instructions may change on a daily basis so check them before each scheduled collection. If a stage manager gives you information that differs from what we’ve listed here, please always go with the stage manager’s direction.

Aladdin

Bucket volunteer will wait inside the stage door (which is on 41st Street) for a stage manager to escort you to your position during the end of the curtain call. Be advised that we realize you may have to wait for a few minutes. The reason the call time is early is that sometimes the SM has to escort the volunteer earlier and if they miss their chance, you won't be able to get to your spot. Last season, two people were late and missed the opportunity to collect. Please don't let that happen to you! :)

While waiting, please stand on the stairs so you will be out of the way of passing personnel. You will go to the hallway at the front entrance of the theatre, stand against the wall (left side) near a ticket kiosk stand where you can place aprons and hold the bucket and autographed posters. Once most of the audience has exited, please bring your items and bucket to the table at the back of the orchestra section where the stage managers will be positioned.

Come From Away
Schoenfeld Theatre (236 W 45th St, between Broadway and Eighth Avenue)

The iPad charge volunteer (designated in reminder email) should go to stage door and pick up iPad, buckets and all items for sale (even if there are 5 sets, please pick up ALL OF THEM). All volunteers should meet in the front theatre entrance (being very quiet in the lobby).

During the final number, the iPad charge volunteer should quietly enter the house through the door farthest from the box office. The iPad volunteer will quietly set up behind the bar during the speech. The three bucket volunteers should spread out to fully cover the lobby exits. IF THE ALLEY DOOR OPENS (to the immediate left of the lobby), one of the three bucket volunteers should step into the alley to collect there, returning any money collected to the house through the exit doors those audience members just used (directly into the theatre). A stage manager will collect buckets and supplies inside the house once it clears.

Music Box Theatre (239 W 45th St, between Broadway and Eighth Avenue)

The iPad charge volunteer will pick up items from the stage door. PLEASE KNOCK (DO NOT RING THE DOOR BELL). The iPad volunteer will bring items to the box office lobby, where all volunteers will meet. Please refrain from talking indoors because conversations echo. If you need to converse or to take a call, please do so outside.

During the curtain call, the iPad charge volunteer and iPad charge assistant will set up to sell items at a small table at the back of the orchestra section (small light is on the table). At the same time, the side exit bucket volunteer will walk along the side of the orchestra section and stand at the side exit door leading to the street. The other bucket volunteers will remain in the lobby to collect, spreading out to cover all doors. When the house is mostly clear, please return buckets to the table at the back of the orchestra section. Generally a stage manager will come and get the buckets and items. If you're done and no one is there, please take the buckets and items through the pass door (house right side) to the stage management office, which is just inside the door.

Please be quiet in the lobby while the show is going on.

All volunteers should enter through the main lobby. Buckets and any items that may be for sale should be picked up at the stage door by the iPad charge volunteer (designated position in reminder email).

iPad charge volunteer should help set up behind the bar. One bucket volunteer should cover each of the following: the front lobby, the side entrance on the right (which exits from the house right orchestra section) and the hallway/alley (this exit is behind the bar where the iPad volunteers are located). After the house has cleared, please drop off your buckets at the bar, where a stage manager will meet the iPad charge volunteers to pick up the buckets and any leftover items for sale.
Please ensure paperwork is filled out for all transactions over $1000 and is sent back to Ngoc via the staff person who's present (usually Josh). Should you need to touch base with Ngoc directly, email her at bui@broadwaycares.org.


Harry Potter and the Cursed Child

Items for sale (Showbills only) and iPad should be picked up at the stage door. The stage door person will get someone from the house staff to let you into the lobby, where a stage manager will meet you some time after the applause starts to direct you where to stand. The price will be in the iPad menu and may change frequently based on demand. Please stand in front of the large bar in the center of the lobby facing the mezz stairs and please be very vocal. A stage manager will meet you to pick up iPad and any unsold items once the house has mostly cleared.

The Lion King

All volunteers should report to the main lobby via the breezeway. Main lobby is one level up from the street (please note, escalator is reversed to go down as of about 2:05 after show starts in case you prefer to go early and avoid the many stairs). Set up is by coat check to the right at the top of the escalator. This collection has two positions: one set-up and one collecting. A staff member will be there to assist in the set-up and explain the collecting to anyone who is unfamiliar with the set-up, as well as let any additional bucket volunteers know where best to stand.

Please note that this show has two iPads. The chip-card readers (for chip-enabled credit cards) each work only with their assigned iPads. Please look at the back of the iPad, where they will be labeled iPad 1 or iPad 2, and marry them with the corresponding chip-card readers, also labeled 1 and 2.

Please enter with your button on via the main lobby entrance. Meet at the table in front of the bar where a stage manager will meet you to assign your position. If you are a staff person, please bring any filled out forms for $1000+ purchases back to the office to Ngoc's attention. Volunteers can leave them with stage management.

To Kill a Mockingbird

Please sell only one poster to each patron to prevent eBay abuse. 

iPad charge volunteer
—designated in email—will pick up items (buckets, iPad, items for sale) at stage door and then will head toward the lobby to meet other volunteers. Volunteers should remain quiet in the lobby and head into the house only when the clapping begins and the door opens.
iPad charge person will be behind the bar (it’s a tight squeeze so be advised). 


When iPad volunteer arrives, two bucket volunteers will grab their buckets from that person and will remain in the alley until the doors in the photograph in the link below open.

The mezzanine volunteer will go in the door nearest the stage door and the balcony volunteer will go into the far left door as indicated by the arrow. Both volunteers should collect on the mezzanine level as even the balcony patrons will exit past you at that level. You will wind up in entirely different areas of the mezzanine on the house right side. You will not see each other and your exiting audience members will only see one of you.

 
After the house has mostly cleared please go into the house and go downstairs via the house stairs (you may have to up a few or more steps to access the stairs at the rear of the house). Please go to the bar at the rear of the orchestra level, where a stage manager will collect your buckets.


Waitress
Brooks Atkinson Theatre (256 W 47th St, between Broadway and Eighth Ave)

Please note before reading these instructions that stage management has asked that you man your positions for up to 20 minutes after the curtain speech has been made. Should you have another collection following this one, please let another volunteer know and spread out to cover as best you can.

Also, please do not go in to watch the end of the show, even if the house staff offers to let you. The iPad charge volunteer will be looking for you to give you the buckets.

The iPad charge volunteer (designated in email) will go to the stage door to pick up all buckets and the iPad. Please ensure that the iPad is connected to the wifi network blueberry bacon pie.The charge person will be stationed in the hallway exit, using the ticket taker box to charge any iPad donations. 

The password is saved in the iPad. Please complete paperwork for any items sold at $1000 or more. The slips should be on a clipboard in the items you receive when you pick up everything. 

When the door to the theatre opens indicating that the show is over, the side alley bucket volunteer (sometimes there isn't one, depending on the performance) will head into the alley behind the orchestra, positioning yourself to one side, but being willing to move should you be asked to by house staff. 

The two lobby bucket volunteers will remain in the outer lobby and will collect there until a stage manager comes to pick up the buckets. Once the house clears, a stage manager will come out and pick up buckets and the iPad.

*Should alley doors outside open prior to theatre doors, side alley bucket volunteer may go in to the alley area that way.


Wicked
Gershwin Theatre (222 W 51st Street between Broadway and Eighth Avenue)
2:35 hours after show starts
4-6 volunteers (2 iPad bar charge, 2 downstairs buckets. On Sundays, there are an additional 2 buckets for upstairs escalator)

Two downstairs bucket volunteers should pick up their buckets at the stage door and then go to the downstairs lobby to stand in front of either big trash cans between the revolving door exits. Once the crowd has mostly dissipated, the buckets can be taken back up the stairs on the left and brought to the bar. iPad bar charge volunteer and bar assistant will meet at the bar (where iPads and items for sale will be delivered) and sell any items being offered. All paperwork for charges over $1000 should come back to the Broadway Cares office via the Broadway Cares staff member who is at the bar. 

On Sundays and select performances, two escalator bucket volunteers noted in the email (who should pick up their buckets at the upstairs bar) will be stationed at the top of the escalators on either side of the upper level. A stage manager will head to the bar once the house has mostly cleared to collect the buckets and leftover items for sale.
