CALL FOR NOMINATIONS – Adams Road Elementary PAC AGM

We are now accepting nominations for Executive & Committee roles which will be voted on in our

Annual General Meeting on Thursday, June 6th at 8:40am. The meeting will be held in the staff

room at the school. Any parent of the school for the 2019/2020 school year is welcome to put their

name forward for a position. All PAC roles are elected each year. If you would like to put your name

forward for a role, or have any questions, please email us at adamsroadschoolpac@gmail.com or

come to the Annual General Meeting.

Our executive positions MUST be filled in order to receive BC Gaming Grant funding for Adams

Road Elementary. Unless parents step up to fill these executive roles, we will lose over $12,000 in

funding for 2019/2020! Below is a list of the Executive PAC (Parent Advisory Council) Positions

and their descriptions that need to be filled.

Executive Positions:

President, Vice-President, Secretary, Treasurer, Communications & District PAC Rep

President Role:

Chairs all meetings, follows the PAC bylaws, reads and distributes all material sent to PAC,

communication with staff /principal on a regular basis, corresponds with secretary, ensure that an agenda

is prepared for all meetings, be a signing officer.

Vice President Role:

Support the President, assume the duties of the President in the President's absence or upon

request, assist the President in the performance of his or her duties, accept extra duties as required,

follow the bylaws and be a signing officer

Secretary Role:

Follow the PAC bylaws, record minutes of all PAC and executive meetings, take attendance at

meetings, record and file minutes of all meeting, keep an accurate copy of the Constitution and

Bylaws, ensure safekeeping of all records of the PAC, including a copy of all records to be kept at the

school

Treasurer Role:

Be one of the signing officers, ensure all funds of the PAC are properly accounted for, ensure that

proper financial records and books of account are maintained, prepare a treasurer’s report for the

general and executive meetings, make financial records and books available to members upon

request, have the financial records and books of account ready for inspection or audit annually,

submits annual financial report and yearly budget / gaming grant applications.

District PAC (DPAC) Representative Role:

Attend all meetings of District #36 Parent Advisory Council and represent, speak and vote on behalf

of the PAC, maintain current registration of the PAC, report regularly to the membership and

executive on all matters relating to the DPAC, seek and give input to the DPAC on behalf of the PAC,

receive, circulate and post DPAC newsletters, brochures and announcements, receive and act on all

other communications from the DPAC, liaise with other parents and DPAC representatives, follow

bylaws and accept other duties as required

We also have the following Committee leads at Adams Road Elementary.

Committee Leads:

Communications, Hot Lunch, Fundraising, Fruit & Veggie, Emergency Preparedness/Health, Grade 7

Liaison

Communication Committee:

Prepares posters around school for upcoming PAC events, sends out communication to parents of

the school with regards to upcoming PAC events via Facebook, PAC website and email. Makes sure

the latest PAC minutes are available online on the Adams Road PAC website.

Hot Lunch Committee:

Organizes and orders hot lunch for the school. Organizes volunteers for hot lunch days to distribute

lunches.

Fruit & Veggie Committee:

Organizes and distributes fruit and vegetables to the classes once a month

Emergency Preparedness Committee:

Organizes and distributes emergency kits at the beginning of the school year as well as at the end of

the school year. Puts in the order to purchase new emergency kits each year for the families that

purchased one.

Health Committee:

Volunteers on immunization days at school to help organize and distribute snacks. This happens a

couple times a year.

Grade 7 Liaison Committee:

Organizes and fundraises for the Grade 7’s year end event at the school

There will be goodies & childminding at the meeting. We hope to see you there and we look forward
