Running Update of Playground renovations
Works have now started on renewal of structures and essential repair works. Callum Sida-Murray, our contractor, is leading a small team of experienced playworkers who started of Tuesday, 9th June and who will be working three days a week (Monday, Tuesday and Wednesday until completion.
These works are those remedial works considered necessary under the survey report issue by Chris Guy of February 2020 that was attended by Callum and we have extracted a "Scope" of works based the report. On completion, or at stages of completion, we will seek to have these works signed-off by the surveyor.

The Scope
The Scope
forms the basis of the contract with Callum and will be updated to show completed works and, because of the nature of the works, be added to as necessary, as additional works are found. As part of the survey requirements are to excavate and inspect the legs of structures and swings - we expect more work to be found and will need to adjust programme (and budget) accordingly. The Scope and revisions are viewable below.
The contracted works are not easy to price for any contractor (without putting large provisional sums against items) so we have agreed to work with strict net cost of materials (which is some cases we supply anyhow) and a fixed low labour rate. However, there will be continuous estimates posted as works proceed.
Callum will keep a "Live" report of progress on this site so we can all see what is happening and this will develop to take in ideas and mini-projects in the future
Natalie will be able to the output of this process to develop funding for some of these mini-projects and the whole process should, hopefully, benchmark a process that will garner ideas and critical input beyond the basic maintenance for our children and be attractive to funders who can see how schemes develop, how well their money is spent and the difference their support makes.

Update report on site (PP and NB)
- Work commenced onsite tuesday 9th June and will continue as 3 days a week. Contractor scope and contract based of the survey by Chris Guy of 14th February.
- Have been working through site, removal of rubbish, burning old wood- and excavation for inspection of structures. There have been problems in getting appropriate insurance for this type of building work but this is in place from today, 15th June and the Certificates awaited. He is happy with the draft contract- following current scope plus on-going flexible repairs. Currently 4 people working on site 2 days and 3 people are on one day a week.
- Lots to do and we will not get it all done. We need money plus more time to bring whole site up to scratch but we are prioritising list from survey with small alterations. As we progress, Natalie and I will divide up some adventure play repair tasks into a few smaller bids to fund an area? I will post mini projects - such as changes to the dragon area and wet play principally to seek extra or specific grants for identifiable projects with Natalie and Callum.
- As agreed, Callum will need to have reserves to pay labour weekly and has now been paid the £2000 up front suggested. Joey started today. Some new tools have been bought. Working on the first big material order via SCP today
- Flood in toilet - Discovered after female toilets were opened up after months not being used. Emergency repair by PP but needs removal to replace broken filler. Considered waiting for Parks when they come to do kitchen but with lack of response - need to be done now. Have engaged plumbers known by Emma - to do it - and at the same time raise the tank in disabled toilet to ensure proper flush (takes upto four pulls sometimes) and install an air admittance valve at the same time to correct a known issue with slow moving soil and waste water and prevent siphonage/smells. Doing this at one time saves considerably about £270.00 plus necessary replacement of loo seats
- In terms of raising money as mini project - area for wet play- refurbishment- tilting tables, move pump for water play, dragon? Redo it is £1000? Bottom needs resurfacing- drain/ tarmac/ sump to have a water spray to enhance play - separate fund raising for identified project restoring that beautiful dragon - £5k?

- PP CSM and NB are taking photographs a record of works and as to use in developing relationship with funders. The Phoenix project website being a place to demonstrate the progress of project and how the collaborative working produces value for money, development of ideas, engagement with children and funders - as well as a reporting tool. Photos taken will be posted to drive and be visible via web. Changes in scope and "blogged" reports (like this) by PP, CS-M and NB etc in a similar manner - Hopefully, the principle of a single submission for all reporting with make the whole process clearer and simpler.
- Other issues
- Followed through on Photo shoot booking in July. Have agreed member of staff (can be trustee) for £600.00 for 3 hours on two days. This is a Korean children's clothing manufacturer. Contract for venue being developed with No-Harm type exclusions and we do need to look at clearer contracts to meet COVID19 risks exclusion.
- COVID19
- Signage needed stating corona rules, some ordered in respect of washing/sanitiser but this will be considered further when we have had further understanding of how children can use site.
- Have ordered three automatic sanitisers and non- alcohol foam need to look at wash stations-Cold water - have some materials- £150 each? Need to look at how others are developing COVID19 protection -Recycle wastewater with no plumbing? Lots of soap? Expert advice? Warm water solar tank? Non alcohol type - effectiveness and issues with skin? As it stands - there is NO clear, uncontroversial advice so monitoring
- E mailing LBTH parks about their works- cleared fencing in preparation. Ongoing, cautiously.
- Removed flower bed containment (sharp edges) as they are within 2 meters of aerial runway and required in report. Have left beds to decide future - - pushed back against replaced fence and made narrower - how to link with new opening at the bottom to allotments for example - to have coherent growing area Can make opening in fence for opening now. Lady called Sabia Begum- 079464 626 54 – wants to get involved in allotments help? Johnathan to liaise?
- Volunteers general maintenance Mon/Tues/Wed. For Mowing, weeding, trimming, planting, flowers, veg and herbs. Excellent opportunity for Trustees to get involved with minor gardening. Contact with THVC ongoing
- Guttering needs attention- wasting water as Automatic roof watering is now installed and happening! Looking at washstations and "grey" water issues as above

The agreed contract is with Callum Sida-Murray as the contractor (and arms-length employer of Joey and 3 other skilled Playground workers with building skills. The contract is devised to provide us with the necessary labour and materials to complete the maintenance and refurbishment required under the Survey by Chris Guy. The standards are as specified in the scope extracted from the survey. The contract is without completion date - a running contract- that largely fixes a labour rate and with materials at net prices. Estimates for items are to be provided on a continuous basis - as and when details are known. The first part of the contract scope requires excavation of inspection holes to assess structural integrity - so specific detail emerges as works progress.
The collaborative aspect requires contractor to agree most works as they progress - for example - how to meet balustrading requirement around structures and determine new heights for aerial runway platforms. Callum has access to report via this intranet page.
