Schedule Appointments
There are four different types of appointments you may schedule:
Individual
Couples
Family
Group
Your list of clients will appear based on your cases.
Create Openings & Slots
There are two types of openings you can create on your calendar:
One-Time Opening: One time slot that allows your current clients to reschedule within the week in which their appointment was originally scheduled to be held (can schedule up to 12 hours prior to appointment time). Clients have the ability to reschedule an appointment on their portal if you have one-time openings listed on your calendar.
Recurring Slot (Open): Weekly slot that allows new clients to book with you to be regularly seen in this timeframe. These slots are only visible to new clients, not to active clients in your cases list.
Recurring Slot (Pending): Weekly slot that has been reserved by a new client, but the client has not finished setting up their patient portal account. The client must complete the patient portal process before the session can be held.Â
There are two methods in which clients may reserve these slots:
Clients who reserve the slot through the homepage will have 24 hours to complete their portal account.
If the client completes their account within 24 hours, the slot will automatically generate on your calendar as an evaluation appointment.
If the client does not complete their account within 24 hours, the slot will automatically generate on your calendar as Recurring Slot (Open).
Clients who reserve the slot through the internal invite system (typically Kaiser clients) will have until the day of the appointment to complete their portal account.
Please call these clients at time of session. Once the client has completed their account, you can continue session via Zoom phone or switch to Zoom video.
You will receive a notification when a client books an appointment with you. The system handles notifications in both directions for provider and client.
