What do I do when a client does not show for their initial evaluation?
Call client at time of session, leave voicemail if applicable stating you can wait until 15 minutes after session start.
Call client two business days after initial intake was scheduled, leave voicemail if applicable to inform client of one more attempt at contact and client will need to contact Kaiser for new referral.
Call client three business days after initial intake was scheduled and inform client of release of appointment and need to call Kaiser.
Document all attempts at contact in Lucet and release the slot on SC 2.0, add availability back to Lucet.
You will follow the same protocol of communication as a missed intake. You will call day of session, if unable to contact call 2 business days later after scheduled session, and if still unable to contact call 3 business days after the scheduled session. All attempts at contact documented in Lucet and Sensible Care 2.0. Complete Lucet Discharge Summary, upload into SC 2.0 and add availability back to Lucet and SC 2.0.
You will conduct a new intake evaluation if it has been at least 3 months since last evaluation. If not, it will be considered a follow up appointment.
You will manually send out the TPI. You will go to patient file in SC 2.0, select billing tab, copy MRN (note: copy the number after 0’s if applicable). Go to Lucet homepage, select “Add Assessment” use MRN to manually send out TPI.
You can conduct a new evaluation if the previous evaluation was completed at least 3 months ago. In the cases of transfer of care you should complete a new evaluation when it has been 3 months since last evaluation, not since last appointment.
Write a freeform note in the patient file of Lucet to indicate client was not seen for evaluation and any communication with patient. Mark as discharged on SC 2.0 if applicable.
Complete intake on Lucet. Fill out KPEP Referral for Medical Center Behavioral Health Services and choose appropriate referral.
You will complete Lucet Intake and fill out KPEP Referral for Medical Center Behavioral Health Services
The TPI must be conducted weekly. Kaiser tracks TPI completion percentage and it is sent monthly to Kaiser Program Manager.
Feel free to use the beginning of session time to send it to them to fill out or to proctor it to the client by using the option of “Launch Onsite”. TPI must be completed within same week of session. It is preferred to have client completed same day and before session for most accurate numbers.
Kaiser clients can only be seen by Kaiser psychiatrists. You will complete KPEP Referral for Medical Center Behavioral Health Services to refer for psychiatry if client meets criteria.
Please provide information regarding TPI necessity and information for client, if client still refuses notify SCAL-BH-PANEL@kp.org via email for options.
Yes, you will complete a freeform with clinicial indication and duration of 2x weekly sessions. It should only be for a brief amount of time, and if client is asking for more than appropriate, please consider referral.
Yes, but you must get approval from Kaiser through referral form before starting both. A client can choose to discharge from individual therapy to start couples/family therapy without a referral.
This is standard procedure for Kaiser with their providers. It is a support session where Kaiser is gives you more information about their policies and answers questions. A great place for receiving resources for your KP clients.
These trainings are optional (although highly informative) and you do not have to attend. They are based on their Feedback Informed Care model
