Planned Time Off
Planned Time Off
If you are going to be taking planned time off, it is your responsibility to:
Submit the time off request in TriNet at least 2 weeks in advance
Block off your calendar in SC 2.0 using the red calendar blocks to prevent new green openings
*Remember, you are able to block at any time in the future, including beyond 1 month out
***If a red block is placed on the calendar first, the green opening will not generate during that time
***If a red block is placed on the calendar after the green opening has already generated, you will need to go remove the affected opening
3. If there are clients already scheduled in these time slots, offer reschedule or coverageĀ
*More information on our Coverage Policy & Procedure can be found here
4. Cancel any scheduled appointments that you were unable to reschedule or client declined coverage for
*Only delete appointments for company holidays after the client has been notified either in session or via ticket system
When you mark an appointment as "Canceled (by Provider)" the following automatic text will be sent, if your client has opted-in to receive these messages:
-----Hi [patient_name], this is a message from [provider_full_name] at Sensible Care letting you know your appointment on [date_time] has been canceled. I'll see you at your next scheduled appointment or you can use the patient portal to reschedule or contact us. Please do not reply to this message.
5. One week prior to your day(s) off, remove any "Recurring Slot (open)" from your SC 2.0 calendar and remove any availability from your Lucet calendar, for the time you will have off
*This will affect all recurring slots in future weeks as they are linked in one chain
6. Re-add "Recurring Slot (open)" in SC 2.0 and re-add availability in Lucet, for the time you are back to ensure you are listed for new evals
